Position Title: Receptionist/Immigrant Services Worker

Position Summary: Within the broad guidelines of Integrated Service Program funded by Citizenship and Immigration Canada, and Alberta Employment and Immigration, the Receptionist/Immigrant Services Worker will answer a multi-line phone calls professional, politely, and directing the calls correctly; assist in clerical needs of the ISP team; assist with providing counter service and act as relieve to the other Immigrant Services Worker.

! s0 a& u6 ^ B. a4 y! |• Answer incoming calls and route calls to appropriate person
+ k+ W8 C$ p5 D# a* L! \- ~% L1 `• Take and deliver messages to the staff of ASSIST8 I7 `0 r& F$ j! h N
• Welcome clients and direct them appropriately& l( S8 u k+ Y( a* r a0 A
• Order and maintain office supplies for the front counter9 X. `( A4 u: w! @
• Oversee the front counter when other front counter staff are on holiday or in trainings
. Z- S( {- H; s5 d( ?• Perform general clerical functions such as photocopying and faxing documents) F& u7 S- x1 Y) i9 H0 K6 i
• Provide assistance to immigrants and clients seeking settlement related services in the capacity of immigrant services worker6 p' y. L: u! d: T% L' @- l
• Maintain and update the information boards with upcoming events- F* ]+ g0 M8 B6 C
• Assist the ISP team in reminding clients to appointments of workshops or other events6 W5 y7 c7 d/ J9 c$ X- a, v& X
• Keep the reception area tidy and clean
% N: \4 y4 t8 N• Attend meeting and training to stay current on immigrant settlement matters

• Perform general office duties as assigned$ D5 n: {3 l: V
• Report to ISP Program Manager

& n8 B& q g, D: o8 |Knowledge, Skills and Abilities Required:
6 S. Y: `" M& C% V5 v. U• Excellent communication (verbal and listening) on phone and in person/ K0 }! T, `: l9 L3 X/ @
• Fluent in Mandarin and Cantonese as an asset
3 z( x: c9 U; `' G, B0 J( N6 a• Good English writing and oral communication skills
$ E* |* r W) P6 h4 @1 K• Ability to work with newcomers and general clients* u* T3 ~6 z- c* q2 {! z) }
• Microsoft Office operation skills- Excel, Word, Outlook
7 g5 N& Z, {% I t) d" h7 e1 X• Ability to address multi-task and set priority appropriately 7 I! W: B# ?( [ v" ]
• Sensitive to the needs of immigrants with multicultural backgrounds. ?1 Z: {6 N! G# G4 k5 R/ x% A
• Ability to work effectively in a fast paced office environment
% q4 P; Y/ y7 }6 Q" F• Knowledge of immigrant services4 S- t2 O* q2 z& r6 a" z
Qualifications:& Y8 ]- m# W& h
• 2-4 years of office and clerical experience
* N8 A2 l9 H9 T• Receptionist or customer service experience in a fast paced environment
* r2 C8 q3 u' G5 c3 _0 _• Demonstrate workplace maturity and professionalism
, F P/ t! H: n$ R h' o: K• Ability to work well under minimal supervision, ~: @8 O9 ?3 g
