The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. $ E/ O/ I% a ~/ {0 X! x• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.; Z# y1 A5 B9 o) S Q% F0 g
• Assist in development and implementation of policies and procedures for volunteer services. K2 g+ [6 \$ s- D% D
• Maintain the volunteer files and update the database using Raisers Edge
/ c$ z o7 E+ u7 j( ~• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.% N d4 _% J5 m% z, i
• Develop and implement a comprehensive volunteer recognition program.) k0 A r. r+ B; \6 A' Q5 N
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
) r9 g9 t/ Y$ K# T• Identify and implement best practices in regards to volunteer development.
+ d- F1 v2 e6 X, T1 s• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
0 n9 d8 m; ?* u; I. |3 E/ P1 C• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up6 x; ?4 `/ f6 E

• Develop and maintain job descriptions for each volunteer position2 _9 O& u. e. l5 q! y
• Maintain secure volunteers files in accordance with privacy legislation+ W( n2 j: C Y1 j
• Provide feedback on volunteers’ performance, as appropriate
2 O, E) Y# o k& v* r5 |• Ensure Human Resource policies and procedures are adhered to within the department! h% b( v* x B* l; t8 \
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required 9 Y+ g+ v1 _8 U0 O! e+ e: P' |
• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency8 z; z; w; O u/ O( f
• Develop resource and orientation materials for Volunteer Services: w5 C; }' o X9 M. y4 H
• Maintain monthly and yearly volunteer statistics for reporting purposes$ @8 m: a3 c6 ^- t$ R* R
• Prepare a regular monthly program report

FINANCE
& I8 ]4 M5 @3 W9 l• Ensure the program operates within approved budget and be familiar with potential variances
1 ~3 [" E; }2 d' J0 H• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

INTERNAL/EXTERNAL RELATIONS0 {1 P1 z6 F/ Q" I8 G
• Act as liaison to the Y-Knit group of volunteers
0 n- K. k6 V2 {6 E: ]" `; k) g• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)3 `) |# O5 h+ Z' b& }
• Follow up with correspondence to outside agency volunteers as appropriate 7 Q' D; x9 H7 r
• Attend external functions such as volunteer fairs, trade shows, and special events as required

• Minimum 2 years experience in Volunteer Coordination4 P$ _& Y% i8 B7 Q
• Excellent organizational skills and multi-tasking ability
9 @: g C, l5 f/ ^' ~2 q• Demonstrated superior volunteer supervision skills
4 I& `6 U/ {" `• Collaborative working style and excellent interpersonal skills ! Z* t5 `& k* P) M9 O2 F! _, w$ I
• Ability to work to meet deadlines and to work under pressure
- k4 }; R ?( c• Ability to work in a team-based environment, with cross-functional work teams on projects 6 Y6 `" S1 v' D' ^9 P
• Sound judgment and ability to maintain confidentiality
