( f4 T% T$ q* f' ~1 S5 N6 T• Preparation of meeting agendas and taking minutes as required.3 q: N  i1 T# R* E* k9 O
• Preparation (formatting, compilation) of Monthly reports/Warehouse management (BW) monthly reports.; `+ W) j+ n! E7 d/ J& L$ q( N
• SAP match reporting and monthly management
, I. l# k; F$ `! \. Y• Responsible for coordination and organization of office needs and supplies.  v4 ^7 v6 E( a. w1 J
• Organization of company functions/luncheons as required.4 s8 |- H$ Q  p3 h. W! k
• Coordinate network ID / requests for new hires, internal orientations.
' x' @: X* {1 L- \, `. `• Train new Visa card holders ¿ Visa Administrator.
, i1 l! _9 N4 E• Preparation of Monthly Visa Statements.+ m- Q7 r. V* V- g' J- Z8 I
• Order business cards as required.
: i& c4 h8 ]* Y' O0 J& h( R: H; a• Maintain contact list, employee files (including expenses)
- [+ Y+ {& u' L* j5 l• Prepare travel approvals, books accommodations / meeting rooms / luncheons.
% S7 o) J+ r$ |  s7 O• General filing, phones, mail distribution incoming / outgoing, mail shipping & receiving / distribution of material, courier tracking.8 i3 l( @/ o! I0 ~; g# o
• Vacation relief for other administrative staff./ R: _, b; A* Z$ Q3 j
• Preparation, organization and record keeper for Maintenance Department training

4 J' g! G" U3 G- J  w' ]Education / Experience
( ]5 N" G: o( I# i* p• Grade 12 or equivalent
1 }( v" r; w- \2 t, Z• Proficient in Microsoft Office Products (Word, Excel, PowerPoint and Calendar)
2 a/ o5 F( ^; R: e& ~* g) k• 3-5 years of related administrative experience2 n% f! i8 E5 ~! N- y5 x" k+ d' o
• Keyboarding Skills ¿ 50 w.p.m or greater
6 ~  Q5 O- h/ p$ v( i9 \. W- B• A high level of discretion, confidentiality, and reliability is essential.
3 a2 h' @! K/ L1 M2 c• Attention to detail is required.
& q! `  M: r1 b• High level of customer service skills is a must.
* @& O* H+ N0 D' w+ f: b• Good planning and co-ordination skills.! O9 O* G/ l2 _3 n; l
• Shorthand/Word processing skills.
3 Y: T1 @* ]4 X2 V• Business Administration Diploma or relevant certificate would be considered an asset.& [, B4 B5 o, P2 e6 s2 O; t1 Z
• Prior work experience with SAP is an asset.
