Job Duties / Responsibilities$ L/ F3 O  [; v& ~$ P* Q) v
• Preparation of meeting agendas and taking minutes as required.5 g' z0 b2 v! ?4 @
• Preparation (formatting, compilation) of Monthly reports/Warehouse management (BW) monthly reports.
$ c2 b  ?/ l0 S( `) `6 d1 v- T! C• SAP match reporting and monthly management
0 z/ o3 d( @9 Y; p6 q' ^3 j8 X# S, K• Responsible for coordination and organization of office needs and supplies.
1 S# x0 F: q, z' Q$ d• Organization of company functions/luncheons as required.# S, H. a1 X/ e- G
• Coordinate network ID / requests for new hires, internal orientations.  \7 O; X: _9 w* J
• Train new Visa card holders ¿ Visa Administrator.4 h, `, \/ R* Z  N8 I
• Preparation of Monthly Visa Statements.
6 J$ o+ S( M! z3 `4 L9 [1 Y• Order business cards as required.
# n7 [. x3 e1 z• Maintain contact list, employee files (including expenses)
$ F2 @  L# C/ l: q5 r' s( ]- V• Prepare travel approvals, books accommodations / meeting rooms / luncheons.* V$ S+ Z; V  o1 F' N' i
• General filing, phones, mail distribution incoming / outgoing, mail shipping & receiving / distribution of material, courier tracking.
( n7 S2 S1 ~% g. U1 B8 J  [• Vacation relief for other administrative staff.
4 j7 e" h. D$ S, R5 M+ b, K( ]• Preparation, organization and record keeper for Maintenance Department training- ?7 D2 w% @  n& N

Education / Experience, i5 R) x! Y/ |9 z
• Grade 12 or equivalent' ^) x/ Q5 @0 \! n
• Proficient in Microsoft Office Products (Word, Excel, PowerPoint and Calendar)
% q  H1 d3 j) `  i4 I# l% i- n• 3-5 years of related administrative experience
! Z$ _* k$ h3 X1 x. W• Keyboarding Skills ¿ 50 w.p.m or greater5 `$ w" X. ^, z6 C# `- v
• A high level of discretion, confidentiality, and reliability is essential.
1 O, P5 @0 u* d0 E$ t• Attention to detail is required. # K- E3 V: U' l+ Y2 `4 s, y! x" N+ L3 h
• High level of customer service skills is a must.
6 \3 `# t  C$ V, j# k5 x' f• Good planning and co-ordination skills.3 \) w2 \8 H2 d4 \9 [+ ^5 h6 j4 {
• Shorthand/Word processing skills.

• Prior work experience with SAP is an asset.
