Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

) S& S: Y( {5 z' ^* rCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.# L. j  ?! h. g% W5 h

Key administrative duties:

5 r7 A6 Z' |4 I4 H6 w• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.8 Y# T; ?( R/ B6 _9 p

" ]8 v5 y5 C( J8 P• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.( F: u' U+ H6 ]/ R2 W# O3 N8 Z

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.+ x% \5 N- _- I' w3 q

• Support maintenance of Human Resources records and the development of employee handbook.

• Perform financial administrative duties as required.

• Maintain inventory of communication materials.* f- g: m3 K% V. E3 B

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.6 C0 `; `1 G7 F* L  W1 q

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.# A2 S! W2 Q. Z( o

• Support management of online publicity and communication tools.

) i: N# E- m7 C( D/ @• Support the management of requests for CFCA information and resources at public events.

* v  `+ @" P2 D• Manage database and support distribution of print publications.0 J" V4 q$ n4 Y) m) n3 m

• Provide administrative support for public engagement events and mail outs.

6 \4 i* U- ?. n% a: }• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.* j' h4 G9 `0 \

Fund Development; J; ^  J3 Y1 m6 ^0 N5 E/ L/ Y

• Provide logistical support for key fundraising events such as silent auctions

0 L9 S1 ?" h; q% O4 V) U• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.. R2 v/ e) ~3 D0 L2 w

( X& L6 Z$ @- z, U" t• Coordinate volunteers for some fundraising events such as Casino and annual sales events.
! S6 P3 Z' v  t$ p: C9 K# I$ ~7 M- l9 o) I% `" j' c
• Support logistical work required for CFCA’s Annual General Meeting  @  f1 B. |) S  ]5 d8 U8 I

, i) d& P8 F+ i5 @• Assist in administrative tasks related to donor recognition and event reconciliation as required.

9 b- [0 o' L, f3 mSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.
