Receptionist

The YWCA is recruiting a Receptionist. The Front Desk is the central point for internal and external communications for all departments, programs and events. A sound understanding of overall activity of the agency is essential. This is a position that requires strong customer service skills, as it works collaboratively with staff and volunteers to provide the best possible information and assistance.

• Greet and provide assistance to incoming visitors! J+ t& M9 b5 Z8 A4 D2 M
• Answer multi line telephone system
6 D4 ~; v' f0 U. N' W) I1 _• Receive and distribute mail and deliveries4 Z- v% |6 L5 `' z
• Arrange courier services for all departments8 a& n# i5 Y& ~; ^# h5 X, O
• Oversee Y-Knit program; provide support to its volunteers( k! w1 m7 w$ O- y! y. j

• Receive sort and distribute mail and packages; post outgoing mail& b- X9 W& o/ ^+ i& ^
• Sort and distribute mail and deliveries
; e6 V/ r* d3 j9 X6 j• Provide clerical support (e.g. word processing, data entry, photocopying, faxing, e-mailing, printing labels, mail-outs, and filing) to all departments of the agency
; K* h& @. j ^8 m• Update and maintain databases as assigned, including those for Fund Development and Administration
9 V* a6 h9 y* J. Z+ ?' l• Assist with task management for administrative volunteers
# U) X: Q( b/ B5 K; A3 J0 \• Create monthly staff bulletin and prepare for distribution

• Assemble and forward information packets as requested

• Accept and process registrations for participants or attendees at various special events and staff training n5 s3 F! d5 `5 y& O& [3 f

• Assist YoWoChAs Outdoor Education Registration as required$ S: ]3 {, H3 e: f: r) a0 F f

• Minimum 2 years office experience in areas related to office reception, and office procedures
& h8 h/ y( d. n( n• Experience and proficiency in Microsoft Office including Word, Excel, and PowerPoint.
9 H: {: T4 Z! H' G• Skill in Desktop publishing is an asset
]# [ ]$ z. |8 G5 j2 k• Excellent verbal and written communications skills " U) e8 {8 @- h/ S/ m' r# Q
• Mindful of need for accuracy, detail and discretion

• Strong customer-service skills
