financial and operational success of the Horowitz Theatre as well as
5 @5 D" y9 O. k9 @6 V% {# v8 W; sthe logistical organization and smooth rental of the additional ( d' g" r6 E7 ]( r d% V0 g! K
venues within the realm of the Students´ Union. In the light of that

a. To ensure, at all times, that the venues listed below meet the

renter.

a. To develop and implement a marketing plan for the venues that 2 a) }8 ~7 z- C& I' o+ Z
focuses upon advertising and promoting the venue to faculty, 0 P W* v! [3 D5 N! e
students, and internal and external clients on an on-going basis. ( x9 y2 C) h. Z1 W
This strategy will include implementing and/or delegating the following:
3 b B) C4 E4 ^7 Z· To develop and maintain promotional materials, the Horowitz + z9 \0 r1 ?+ g+ m+ W
Theatre and SU Venues home page, newspaper and other advertising; to ! Q0 p( p9 l$ b
take advantage of other internal and external advertising 3 `3 j, g h9 P
opportunities; and to develop press releases and other promotional 2 b+ _4 q& i9 U5 L4 }3 f
literature on an ongoing basis.* d P0 c, k) ?" d5 T2 o
· To coordinate tours of the venues for potential renters.
; M. U4 @& c' X. R· To promote upcoming events in the Horowitz Theatre through the

3. Staff and Supervisory Roles and Responsibilities5 h" N6 ~2 O, L' K, T
: b5 C6 D5 N. D* Y" a8 Ua. To ensure, at all times, that the venues are adequately and cost- # A( x) f) L- a; \
effectively staffed, and that the staff utilized by or within the
+ ?1 M% t2 F# ~0 t% A; C2 Evenues meet the appropriate standards, requirements and needs, and
9 X% R% ^6 X2 j: ]: Hcontribute in a positive way to the smooth operation and success of o# s u- C9 W' P2 r
the renter´s events. This includes, but is not necessarily limited
- ?* A7 `1 [ D- k. J# sto, the following:
; q5 g' m+ L! W· To be responsible, under the direction of the Manager of Venues 7 p, v* e" b' E; o
and Programming, for all staff issues including hiring, disciplining, * V* p& b! T5 N: G- P; w# a' H* q
evaluating and terminating, as necessary.( D& c* m) l3 z7 K: s( n
To ensure that the Horowitz Theatre is adequately supervised at
! Y# V, `) K7 j- H9 y' t: ?all times, this includes the development and implementation of such ' h8 x9 ]$ ~7 v# V$ p4 {
schedules and rosters as may be necessary to ensure the effective and
6 {2 Q; f% S5 w+ Mcost-effective supervision of the venues at all times during which it
& j( o: d, u; ]; U' E: Cis in operation or needs to be in operation.# o/ c8 p( A/ x$ C
· To work with the Technical Director, when necessary, to ensure ) V& `- a% g* r5 Z- o
that an adequate and appropriate level of part-time staff exists to
& y f9 i1 y" p% q( ?facilitate the smooth operation of the venues and to ensure all
( H- Y" n/ M# S/ W6 \; Nrenters needs are met. y/ K: U+ R8 z4 V+ ?+ ]9 P' T3 D
· To work with the Technical Director to ensure that the skills
& d/ r0 ~7 o3 x3 Z8 u$ Qand attitudes of all subordinate staff are appropriate in light of
% N& p/ `5 Q) _5 v6 |9 t. kthe roles they must perform. This includes providing adequate and 0 j+ m6 d0 [) i0 n8 b$ h( w
effective training (and re-training) in all applicable and
0 a; d+ G) A3 Z8 \* G! Aappropriate areas, and ensuring that the Policy and Procedures manual ( g2 n. w4 U3 |; x8 |& [, b2 g

· To ensure all staff are trained in and committed to providing 7 ?' b* Q9 L, r

· To work with the Technical Director to arrange staff , E# v- B( E0 [% i( |+ _
scheduling. To handle payroll related matters, under the guidance

the staff of the venues.

the appropriate setup/tear down of each venue.

4. Overall Financial Performance/ J8 s1 z2 e* a
( G5 n7 c! r3 p- C+ p' G# na. To ensure, at all times, that the Financial and Administrative

appropriate standards, requirements and needs, and contribute in a " C/ h9 M- w% j/ F0 r

includes, but is not necessarily limited to, the following:

operating budgets covering the venues to the SU´s Manager of " A4 H# l! c5 |+ p
Programming and Venues and to discuss and refine those budgets

% ~( I" ~3 a0 B5 U: ZAdministration prior to their submission for final approval.

; y# s: @3 p- R0 p) jreflects the budgets approved for the venues and/or which reflects
# P9 t( R3 i9 v( F: p3 }6 l2 othe best interests of the venues and the Students´ Union.
' i( L/ _+ M3 M4 d· To function as the key player in the submission of financial and
( v1 f. p) g9 r, ~3 jadministrative documentation covering the venues to be used in the 0 L0 A* P! B# p2 A6 D4 P. F
compilation of monthly and annual financial statements, and such 7 f4 U6 Z8 |; r
other reports as may be necessary.

with all financial and administrative procedures, with the SU´s

aimed at improving the financial and/or functional effectiveness of

costing systems to be used in connection with the determination and " A) ^7 i6 Y6 H) C7 h! H6 G$ A% L
setting of appropriate prices for rental and staffing rates for

· To develop accurate documentation to be used in connection with
' \/ J/ E! i$ C6 k8 b! O/ Athe billing clients, and to forward such documentation in a timely

contributes positively to the smooth operation and success of the # P T! T- Z, L+ S# r8 m2 ^8 E
venues.

5. Overall Roles and Responsibilities
& g" r$ N/ o, G8 Xa. To ensure, at all times, that the systems and processes used in * F8 y4 [% i2 v3 D# B3 V
renting the venues meet the appropriate standards, requirements and 0 C6 _8 z) u4 k' C1 r4 ~4 b* q0 C
needs, and contribute to the smooth operation and success of the
6 e2 Y! h& {8 ^* S6 [venues. This includes, but is not limited to, the following:

· To recognize, develop and set in place such rental procedures as 4 Y% n' I: r8 |0 }. X( e- Q! v
may be necessary to ensure the smooth operation of the venues, this - J5 S5 K4 G3 k& I$ N$ D/ ?' b
is to include but not necessarily be limited to systems and processes
3 K6 y; Z* [, A1 @" l# r$ g5 min the areas of contracts, inventory management, contract evaluation,
/ }" a: ?$ y4 G2 }0 y5 C# kpricing, costing, equipment usage, rental/contract invoicing,
1 y j2 Y L! T! `# |6 r0 Y; ttogether with such other systems and procedures as may be necessary
( h; J: J/ w e Q! O4 s, {! mto ensure the smooth, secure, efficient, cost-effective and
# a* s7 n+ B ]functionally-effective operation of the Horowitz Theatre.1 ` q5 u1 {- W+ R3 I7 P% Z- G9 b3 S
· To recognize, develop and set in place such operational procedures
- u1 f) }2 c9 i+ K p/ _+ R T9 e% xas may be necessary to ensure the smooth, efficient and cost-

· To negotiate rental lease agreements (contracts) relating to 2 @' Q; d0 V2 A8 L
dates, rates, staff and miscellaneous charges.
9 N+ d0 W7 F1 b· To ensure that adequate inventory is available at all times and
+ C! B0 f# G! |/ ]0 {. y2 ~that such inventory is stored and issued in effective and secure ways.8 b4 o3 e' \* d2 l c/ G+ ?8 ^
· To consult with renters as to facility issues in producing their / Y- e. E, E9 ^, ]" ]5 I
particular event in the venues.# l1 S# q/ b3 |
· To provide the venues on-site staff with such documentation and
/ d5 ]! A& \! @+ F7 csupporting information as it may need to effectively fulfill the # [+ j0 G7 g1 g/ R# ~$ ~ M
roles they are to perform to ensure the success of the renter´s event.( T4 F, Q) q" O" I y6 g
· To produce quotes in respect to staffing costs for a particular
- ?& E" ?* T4 \6 ], \9 Y2 urental with consultation with the Technical Director. {9 O! l; Y& e5 u' {# V2 h
· To ensure that all queries raised with the venues whether from the 7 D7 q( k% V) [ b& M
SU or renters, are promptly and effectively handled and adequately
- o; t4 I U% J3 E/ }( hanswered, and to ensure that such action as may be necessary in
! v, R X' ~% K. |8 zfollow-up to such queries is taken in a timely manner.
" ~# N- N' Q- O( s- E& H3 c To ensure that the venues and its capabilities are adequately,
7 y2 }2 ]+ w+ Z7 r' q) ~& F9 Eeffectively and cost-effectively advertised and promoted, and that
9 Z0 M( h3 H5 N6 o! r: H$ Kthe cost of such endeavors does not exceed the budgetary provision
* R) t. K5 y% R7 A1 Y6 Ymade for them unless prior approval is given by the Manager of 8 ?" W! w5 c# w

· To act as an informed and knowledgeable resource in the case of

marketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth

an acceptable combination of education and experience.
