' H& h. |  c! qThe duties of the Operations Manager - SU Venues are diverse and  8 D0 f4 I1 ~: H& s& s. ^- O1 y
extensive, and are targeted at the all round smooth operation and  : V$ \5 [9 D  g2 U8 L# h! M* `
financial and operational success of the Horowitz Theatre as well as  
# J- W4 |( U  B5 f1 W! c$ Ethe logistical organization and smooth rental of the additional  
2 q  @/ r4 [, U+ z9 E- B5 \venues within the realm of the Students´ Union.  In the light of that  
4 @$ b* K& u9 X+ ~+ `  nbreadth and complexity, it is not possible to fully define or  
, Y4 r2 I" C, C, T. udescribe all roles and responsibilities in a document of this kind.   
  q/ }1 ^. y) P  KHowever, the main roles and responsibilities of the Operations  
) O1 p* ]$ e& C9 i( j9 P0 uManager are as follows:$ y+ {* r/ P% C

1.        Space Roles and Responsibilities

a.   To ensure, at all times, that the venues listed below meet the  
- m  o: T: l& W+ Y- j# x1 [) c! fappropriate standards, requirements and needs, and contributes in a  
- b! b" M6 L5 A/ V  Spositive way to the smooth operation and success of the individual  * s: x! \) D! N0 T2 |

·     Myer Horowitz Theatre' t" f; U# q1 q0 E2 i" a
·     Dinwoodie Lounge

b.   This includes, but is not limited to, the following:1 {- W6 ^# }; y! g! x5 ]& U
·     To plan the capital and supply expenditures to meet the  
% y* r$ }, M, `production and facility requirements.
0 f: b! }% J% B+ V. H, b1 \5 z7 I·     To ensure the day-to-day compliance of the venues with existing  ! r1 U8 G- c3 D2 }
safety regulations and building policies./ @2 W" s( I5 n8 ^
To ensure that the maximum potential of renters is met.

a.   To develop and implement a marketing plan for the venues that  
( f5 }$ ^8 P% W+ d3 \6 @6 A/ h4 Cfocuses upon advertising and promoting the venue to faculty,  ! G2 K+ b( ]3 ?
students, and internal and external clients on an on-going basis.  
* D4 s" w) ^" a4 `& H/ m" QThis strategy will include implementing and/or delegating the following:# Z  l! I3 q. h$ F
·     To develop and maintain promotional materials, the Horowitz    Z1 x! }* F' k8 ]% |
Theatre and SU Venues home page, newspaper and other advertising; to  
0 |3 ?  u' D- P8 z* ]! y* i( atake advantage of other internal and external advertising  
% g" _) W3 P4 }opportunities; and to develop press releases and other promotional  / c, K3 x1 O5 D* e" i+ ^
literature on an ongoing basis.
+ J& ^* |) [0 J4 b7 V! M2 r% K4 k·     To coordinate tours of the venues for potential renters.6 k* I9 y# v8 e/ `
·     To promote upcoming events in the Horowitz Theatre through the  
" ~7 F+ I1 S& N9 u: \use of the Horowitz Theatre Home Page and the SU Events Calendar.
5 @: K$ [' ~- x* F; H$ C9 T6 |- D; \·     To develop new external clients for the venues.

. B$ J9 i$ |! }4 g) G) g3.        Staff and Supervisory Roles and Responsibilities
8 j, m/ w5 v; d6 T6 o2 A
$ ^/ a3 i8 m' ^; e; `8 l* N5 Ja.   To ensure, at all times, that the venues are adequately and cost- : w, v+ f5 w% u4 F+ n3 ?
effectively staffed, and that the staff utilized by or within the    |5 K0 R% w" s+ m8 x* N; r
venues meet the appropriate standards, requirements and needs, and  # @1 s0 k" Q, s: O+ w. X
contribute in a positive way to the smooth operation and success of  % U% a8 t! a% g2 e7 ?) t# E
the renter´s events. This includes, but is not necessarily limited  
0 v) ?3 \. h/ k* J' h7 cto, the following:
; T. H3 ?) ~! Z! t·     To be responsible, under the direction of the Manager of Venues  
/ X& H& [  P* k) gand Programming, for all staff issues including hiring, disciplining,  
4 z7 m" G4 x, U8 R3 k8 Aevaluating and terminating, as necessary.& I! i! p% D- m) b( [2 x( A
To ensure that the Horowitz Theatre is adequately supervised at  
- g' B7 f' {  @' j* Kall times, this includes the development and implementation of such  
' J5 @$ R' w+ U/ F/ aschedules and rosters as may be necessary to ensure the effective and  
( I, D& ^0 }: q' q6 e) O5 ^cost-effective supervision of the venues at all times during which it  
! m0 x4 T. T& Z3 u7 g" {3 @is in operation or needs to be in operation.
  J' e5 f6 o" t/ U0 X5 u, `·     To work with the Technical Director, when necessary, to ensure  
7 C, ^1 k  i4 K4 T& c) V+ _that an adequate and appropriate level of part-time staff exists to  : N$ \7 i* M9 K# z; [. @
facilitate the smooth operation of the venues and to ensure all  & o- u5 X, c* f* S* L' A
renters needs are met.# d* ?8 y% r* l
·     To work with the Technical Director to ensure that the skills  + d/ d; r; b1 a! F0 p: \* U
and attitudes of all subordinate staff are appropriate in light of  
0 P: f/ W6 J; }- |  U3 y# a8 k" zthe roles they must perform. This includes providing adequate and  2 ]. v' }9 \1 `4 p# N8 t( z
effective training (and re-training) in all applicable and  
% t: Z* o+ N% J& i* bappropriate areas, and ensuring that the Policy and Procedures manual  9 H. m/ j7 x1 ?# D! S2 y; f
is kep up-to-date at all times.. v: a0 z# ~8 e5 h
·     To ensure all staff are trained in and committed to providing  
1 W4 o0 g6 m8 i) v- i  \' B0 Oexcellent customer service to all renters.
  Y1 Y4 [! w% _4 G3 |. }. a) H·     To work with the Technical Director to arrange staff  6 r( G/ w' Z& [+ [* n6 c( G
scheduling.  To handle payroll related matters, under the guidance  + i  f, Y) o6 |3 ]% r
and direction of the Manager of Venues and Programming, concerning  . j& @% w& A% _/ X
the staff of the venues.
! p1 _- o( |6 Y9 t" U: e( V" q·     Working with the Manager of Facilities and Operations to ensure  * \! {, x; K9 I
the appropriate setup/tear down of each venue.0 r: y3 {% }6 `( N+ g0 H
·     Working with the Manager of Programming and Venues to ensure  
, [0 ^( N! j0 M8 J( g# c" ythat additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative  $ C1 W6 R* `5 b4 R
systems and processes utilized by or within the venues meet the  
9 Q' V+ ]; l# ?% g9 b2 U" oappropriate standards, requirements and needs, and contribute in a  ( {8 T7 T( u, s9 p4 x4 B0 W2 J
positive way to the smooth operation and success of the venues. This  
2 [+ d3 n, L" iincludes, but is not necessarily limited to, the following:  p! r6 G1 s5 P! |  @3 D" p
To provide input and expertise in the formulation of appropriate  
+ G5 e7 ]1 J2 J) Woperating budgets covering the venues to the SU´s Manager of  
% ?7 ]" B. F' x8 H5 S# W- L3 xProgramming and Venues and to discuss and refine those budgets  + B8 d, I6 H$ A. ]9 I6 N( A, g
Manager of Programming and Venues, and Manager of Finance &  % ]  [) n! O/ }+ u8 c; Q" n
Administration prior to their submission for final approval.9 \$ @; w6 `1 }; J% r+ r/ b) Q
·  To manage the venues in a manner which adequately and effectively  
0 n; M2 Z9 j$ F% qreflects the budgets approved for the venues and/or which reflects  
" m' P0 O, l1 ^. @- wthe best interests of the venues and the Students´ Union.4 \  X. C' D2 @$ ]/ g) i% N: K. s
·  To function as the key player in the submission of financial and  $ A( N% ]- ]8 o% N3 ?
administrative documentation covering the venues to be used in the  + j( B: h5 G: Q) w. V/ }0 P+ G
compilation of monthly and annual financial statements, and such  
$ ~+ T/ P: A) d. E( G+ }$ sother reports as may be necessary.7 k8 ~) h3 h: V% `. B
·  To discuss those financial statements and other reports, together  
+ n" V1 l! a8 E6 l. l% Rwith all financial and administrative procedures, with the SU´s  & C& ~+ T8 ~; c% e9 D6 U5 ^
Manager of Programming and Venues and Manager of Finance &  
* g5 m+ f3 a: \1 UAdministration with a view to determining and implementing action  + ?8 [, i3 n5 b/ e' t
aimed at improving the financial and/or functional effectiveness of  
" `7 N/ a  K+ c" Vthe Horowitz Theatre.) B6 c9 ~# u8 s+ O. a
·  To ensure the existence of adequate, effective and accurate job  
9 U1 m! C& m$ Z+ k+ G# J/ {costing systems to be used in connection with the determination and  
6 P. g" C& R7 ?setting of appropriate prices for rental and staffing rates for  " a: P( z6 n9 p; n7 `9 _
events held in the Horowitz Theatre.
$ {7 g/ k1 j0 ~* ]3 ~2 V·  To develop accurate documentation to be used in connection with  
. M, w  N7 Y% @0 x0 W3 u$ K- x! T8 _9 bthe billing clients, and to forward such documentation in a timely  % w4 {8 c7 o- ?4 m8 Q$ Y) v
manner to the Accounting Department.
) K! ], }3 d: k" i- C·  To recognize, address and handle all matters relating to financial  - H$ J# {- X) e
and administrative procedures and systems in a manner which reflects  
$ L9 L! z9 U& u- U% {& w. a5 I) {the requirements of the SU´s Manager of Programming and Venues and  
8 g4 c) M" B7 j/ p2 SManager of Finance and Administration, and in a manner which  
! ^/ x+ t* u) ?( p' ]contributes positively to the smooth operation and success of the  
6 T2 o1 m$ t. m& u! ]! Nvenues.
) T* e! ~  Z! S3 v! j
; H  x6 P6 P3 U2 |4 T8 l5.          Overall Roles and Responsibilities
8 g5 p/ b" L7 e1 X) Ra.   To ensure, at all times, that the systems and processes used in  # p0 h! s, ~$ ]' }! f5 s
renting the venues meet the appropriate standards, requirements and  
6 W1 U/ s0 K# c& J# X' hneeds, and contribute to the smooth operation and success of the  ( z( j( }( U4 T& a) e3 y4 B
venues. This includes, but is not limited to, the following:* S. {: i% U8 n6 A

4 s4 l* q7 H/ d/ }8 J% C·  To recognize, develop and set in place such rental procedures as  * T" E1 a. V6 k
may be necessary to ensure the smooth operation of the venues, this  
; |3 u1 \# ]4 uis to include but not necessarily be limited to systems and processes  , N! i+ [2 _0 |" L! q4 i
in the areas of contracts, inventory management, contract evaluation,  ( i9 A& f2 m0 O% X
pricing, costing, equipment usage, rental/contract invoicing,  8 W5 M% U& G$ f5 p
together with such other systems and procedures as may be necessary  
: }% ?5 P% Y$ K' mto ensure the smooth, secure, efficient, cost-effective and  
3 ^" A! M1 c% L6 m7 d" G! u( |functionally-effective operation of the Horowitz Theatre.2 H# C9 K0 R" x9 W( O* x  j
·  To recognize, develop and set in place such operational procedures  / o9 G/ t6 i1 Z, Y, l, o9 L4 A
as may be necessary to ensure the smooth, efficient and cost-
9 Z5 R) f% X' E' ]7 Teffective operation of the venues.+ q9 q3 E) K& t8 R" Z0 W
·  To negotiate rental lease agreements (contracts) relating to  6 x+ j' Q; Y# n% z3 g% k2 S1 [
dates, rates, staff and miscellaneous charges./ t6 _* m$ O& J) ^% E* q) \
·  To ensure that adequate inventory is available at all times and  0 v. k2 p; X( b, h$ k* ^4 k2 w1 e
that such inventory is stored and issued in effective and secure ways." W. W; D% I8 B
·  To consult with renters as to facility issues in producing their  
0 F& E/ @0 f6 T; v4 sparticular event in the venues.
% F% o- H( L4 }) N  x·  To provide the venues on-site staff with such documentation and  2 P9 z7 ?% Q9 C7 [( d8 n1 M
supporting information as it may need to effectively fulfill the  2 N& Z1 l+ j# L
roles they are to perform to ensure the success of the renter´s event.& i9 Y& o- z$ n1 _2 g  K
·  To produce quotes in respect to staffing costs for a particular  1 A5 g  y: j: A0 |
rental with consultation with the Technical Director.
! i- m# n6 @) V, ^: k·  To ensure that all queries raised with the venues whether from the  0 Q6 u" ~# t/ }' W; e
SU or renters, are promptly and effectively handled and adequately  
3 o6 J3 f+ O7 y: nanswered, and to ensure that such action as may be necessary in  6 _1 A7 T0 @3 @# H
follow-up to such queries is taken in a timely manner.
7 Q* s+ U' F6 x% M7 L To ensure that the venues and its capabilities are adequately,  
+ `5 Q, C! F. h' Y# zeffectively and cost-effectively advertised and promoted, and that  ! D6 d+ W# B- f+ H: Q7 k+ s2 X
the cost of such endeavors does not exceed the budgetary provision  - i& a* [, L4 L2 m2 L: k
made for them unless prior approval is given by the Manager of  ' D) M* u; F' F; e
Programming and Venues.5 J) i  t! M  n  X
·  To act as an informed and knowledgeable resource in the case of  
$ P* v. H5 V$ p( Zsignificant challenges and/or problems surrounding the tasks of  
, p7 ?$ e& r7 m4 v3 Pmarketing, administration, operations, and any such other matters as  
- }- X5 J+ z2 Y/ H& b6 Wmay provide such challenges and/or problems.
4 w& v9 R+ V5 b+ Y5 t·  To attend such meetings as may be required to support the smooth  + b; f' F5 a7 ?
operation of the venues or the Students´ Union as a whole.0 ~6 ~8 V( v+ K: k8 O& Q5 }
·  To perform other job-related duties as may be required by the  
3 U9 M$ w; [. }  ?Manager of Programming and Venues in order to ensure the smooth and  6 a! ~* ~7 v- K( t
secure operation of the venues.

operations in a manner which reflects the requirements of the SU´s  9 f. L( m2 C  i

Administration, and in a manner which contributes positively to the

QUALIFICATIONS:8 h/ x: S: ]/ O0 u' I
1)             Minimum two years related post secondary education, or  
( }# |0 i8 {  D! J9 f& p5 van acceptable combination of education and experience.8 r7 ]8 R. m  j2 s
2)             Supervisory experience.
/ J$ j( {. }5 \7 x# r2 n7 e3)             Ability to create new initiatives with little or no  3 C# p  s- K8 `' V1 U
supervision.

5)             Knowledge of budgeting and staffing procedures.
