financial and operational success of the Horowitz Theatre as well as

a. To develop and implement a marketing plan for the venues that 9 B( m @( k8 x/ c: c5 z
focuses upon advertising and promoting the venue to faculty,
) _3 ~. N+ }! ]. D! h2 m- Jstudents, and internal and external clients on an on-going basis. + d; D4 h3 p+ s* i& {
This strategy will include implementing and/or delegating the following:
4 P+ }' ]# d5 ^* r" U· To develop and maintain promotional materials, the Horowitz
; [1 }) _; ^4 z9 E: s& h* r$ ITheatre and SU Venues home page, newspaper and other advertising; to
% e1 k. j* G, B, g' C$ w Vtake advantage of other internal and external advertising 0 v3 @* c8 W6 f, }6 c2 h _$ j6 Q
opportunities; and to develop press releases and other promotional . X( l& |0 V7 j# ^2 ]" `) p, ?
literature on an ongoing basis.
1 x5 h/ r5 e' P6 r· To coordinate tours of the venues for potential renters.- r0 R' @) k% Z
· To promote upcoming events in the Horowitz Theatre through the ! G0 X/ U0 G6 P- z* P& F
use of the Horowitz Theatre Home Page and the SU Events Calendar.# y- r9 m8 D5 a; w2 z2 K9 J; G
· To develop new external clients for the venues.

$ H& C& r. V) H" u9 B a! q+ i3. Staff and Supervisory Roles and Responsibilities

a. To ensure, at all times, that the venues are adequately and cost-
5 ?# c8 z; h1 geffectively staffed, and that the staff utilized by or within the $ Q$ n6 y! Z' R% ~9 @4 X0 s
venues meet the appropriate standards, requirements and needs, and
* Z* y$ [. r, f$ N1 z4 {contribute in a positive way to the smooth operation and success of
9 ], b; f4 S2 ]4 x8 G1 f9 {& a2 Ythe renter´s events. This includes, but is not necessarily limited
$ N3 s, {+ ]3 ~4 C2 u% Rto, the following:
8 ?7 a* F( |4 i! E0 f$ }2 ]· To be responsible, under the direction of the Manager of Venues - }7 r. Z% D7 K) ^: O- `
and Programming, for all staff issues including hiring, disciplining, 0 s- p0 d) o D' h: f
evaluating and terminating, as necessary.
& u" q3 b. v7 C0 i2 _ To ensure that the Horowitz Theatre is adequately supervised at " ^0 d/ m$ q. ~9 O3 ]
all times, this includes the development and implementation of such : E2 v6 q0 [6 {6 e2 x
schedules and rosters as may be necessary to ensure the effective and , r% @. o$ j. N E: Y2 q0 c G$ [
cost-effective supervision of the venues at all times during which it
- ?% `1 B( H, W2 s% ?; M6 nis in operation or needs to be in operation.
6 `3 e% x% O, }8 i' x· To work with the Technical Director, when necessary, to ensure 9 T" Z6 s7 }5 Y6 p! y. P' R
that an adequate and appropriate level of part-time staff exists to , Y7 ~$ y$ R9 N$ A6 P# s; P' @ C* e* }! H
facilitate the smooth operation of the venues and to ensure all
3 ^( n G2 @ Q. h# trenters needs are met.
& G' r, [; O1 Z· To work with the Technical Director to ensure that the skills 7 v9 H7 }3 f& O* k/ l9 K) N
and attitudes of all subordinate staff are appropriate in light of 2 E% \* F0 z% o' y2 E
the roles they must perform. This includes providing adequate and $ f0 [$ U% Q" A& m5 H
effective training (and re-training) in all applicable and
/ F+ K) v5 {! c S! p" Uappropriate areas, and ensuring that the Policy and Procedures manual
, S- R4 N! s, T( E) d8 f% S+ o( n xis kep up-to-date at all times.
) F2 n | m: |8 M! O% \ @0 ^+ l9 }· To ensure all staff are trained in and committed to providing
8 @0 e& K6 f4 R% `3 fexcellent customer service to all renters.
2 Z8 @/ V/ E+ E0 S· To work with the Technical Director to arrange staff
" ^ C6 }8 X& ^7 p% w8 g. cscheduling. To handle payroll related matters, under the guidance 7 G% g7 M/ Y5 D# z; ^
and direction of the Manager of Venues and Programming, concerning
. ], |. a8 Z9 t/ J! h1 k9 r# O5 sthe staff of the venues.7 ]" w6 q* D- I
· Working with the Manager of Facilities and Operations to ensure 9 m0 g: C4 i: ?) B. F6 n/ E C+ e; W
the appropriate setup/tear down of each venue.

that additional requests such as licensed receptions are arranged.

4. Overall Financial Performance i" j6 d0 B) h1 `- x% Q* P3 _
( r9 T4 s4 {8 U) [8 ya. To ensure, at all times, that the Financial and Administrative
2 P, b$ Q' m; f' F6 tsystems and processes utilized by or within the venues meet the
! X# B- F; [0 ]1 K! j5 R$ `- e9 ^appropriate standards, requirements and needs, and contribute in a 9 ~* Y5 Z% @' E2 o" ?5 z
positive way to the smooth operation and success of the venues. This $ J2 |" t" _- o6 B% q
includes, but is not necessarily limited to, the following:
& N: o+ O9 K! t! C/ \* b; E6 |# _ To provide input and expertise in the formulation of appropriate ) a' T$ w0 D4 j) M3 _% o$ ~
operating budgets covering the venues to the SU´s Manager of 8 F @3 c( e& H* U
Programming and Venues and to discuss and refine those budgets , K8 Q [% @$ b
Manager of Programming and Venues, and Manager of Finance & 5 _8 L5 p+ ]+ Q6 g& U. y. d# _
Administration prior to their submission for final approval.

· To function as the key player in the submission of financial and , _, r! H* h+ u- K* J- `- Y
administrative documentation covering the venues to be used in the 7 x: `7 ~6 Z& [, \7 g v3 X
compilation of monthly and annual financial statements, and such

with all financial and administrative procedures, with the SU´s

Administration with a view to determining and implementing action

the Horowitz Theatre.
O" Q" ?" i- T! Q4 d# m! B· To ensure the existence of adequate, effective and accurate job
& c! v; A" X; t; ?4 C& i& i7 N% z6 Wcosting systems to be used in connection with the determination and
+ [$ j5 `8 n" m: w" h; X' Lsetting of appropriate prices for rental and staffing rates for ' ^5 P+ j& O) J) v
events held in the Horowitz Theatre.
8 \2 v8 ?9 `& @) W0 j# L& a· To develop accurate documentation to be used in connection with
- `4 W5 F9 _ N$ x K/ [the billing clients, and to forward such documentation in a timely W4 j- y6 n' Y z4 c5 m7 ?! `
manner to the Accounting Department.
7 ]2 ~' P" N/ H0 m7 j· To recognize, address and handle all matters relating to financial 4 y, I' G: Z- q( k( g Y
and administrative procedures and systems in a manner which reflects + Q# O3 o: O3 Z2 q9 ]! }- r' r
the requirements of the SU´s Manager of Programming and Venues and , n, h+ N6 l( Q$ e7 R0 L
Manager of Finance and Administration, and in a manner which

venues. This includes, but is not limited to, the following:0 N6 f3 T6 x( V- O, ?( P' V

· To recognize, develop and set in place such rental procedures as
: W' F' E- T) E6 e8 |: mmay be necessary to ensure the smooth operation of the venues, this ' A& o& L5 S4 T d2 M7 T- b
is to include but not necessarily be limited to systems and processes ; `# ?5 z' J! V/ h1 I- h
in the areas of contracts, inventory management, contract evaluation,
* k& J& R! ]2 a9 {# V0 [- k' F. Fpricing, costing, equipment usage, rental/contract invoicing,
f4 L5 P" M7 G" Ptogether with such other systems and procedures as may be necessary
: Z7 |3 ?# R' x- s/ l+ Y) fto ensure the smooth, secure, efficient, cost-effective and 4 x, K0 C/ X6 w/ k3 E
functionally-effective operation of the Horowitz Theatre.5 R, T% @. v" J/ q# [
· To recognize, develop and set in place such operational procedures
* S+ R% l( R0 X( q! ^6 ]as may be necessary to ensure the smooth, efficient and cost-
% ^1 m# d% n& A+ B( j3 |effective operation of the venues.
, F! _! _9 g7 L/ z% t l( l· To negotiate rental lease agreements (contracts) relating to 0 ]! N( O! E( a' L
dates, rates, staff and miscellaneous charges.
" m! k# p/ T/ _) y3 m6 z1 L I3 u· To ensure that adequate inventory is available at all times and 5 b% R5 O. }6 D7 r% u4 o/ F
that such inventory is stored and issued in effective and secure ways.! v- X+ G% m1 ` r
· To consult with renters as to facility issues in producing their ' Q! E7 [. m3 r4 L; S( y- O
particular event in the venues.3 L0 _$ M% E1 H5 J
· To provide the venues on-site staff with such documentation and
+ W( P- c3 m: W/ q7 @. ? J* f. ysupporting information as it may need to effectively fulfill the 2 z" k0 l7 R x% g
roles they are to perform to ensure the success of the renter´s event.
( _7 P+ S2 q% F$ y! {- }· To produce quotes in respect to staffing costs for a particular 9 Z% T6 q. `5 k9 v, c# e
rental with consultation with the Technical Director.
3 k4 q2 ?9 ^9 a: U· To ensure that all queries raised with the venues whether from the
9 K V7 q5 j' s* [3 d9 o0 n+ l) L/ NSU or renters, are promptly and effectively handled and adequately
* u% ]4 V. n+ n9 D7 v! r: e! ~answered, and to ensure that such action as may be necessary in $ O# M% m# [7 [0 v
follow-up to such queries is taken in a timely manner.0 C( B# e9 j3 B9 W1 K! y7 Q; P% o. V
To ensure that the venues and its capabilities are adequately,
* J" W" N/ V0 u0 W0 b0 N$ {effectively and cost-effectively advertised and promoted, and that
4 M. q3 f6 h) u+ _9 a% lthe cost of such endeavors does not exceed the budgetary provision & S8 v9 I( R9 g! x$ ]7 V/ ?
made for them unless prior approval is given by the Manager of 2 A% f' i, G* {

· To act as an informed and knowledgeable resource in the case of
' K, w: j% b, ]" [: K) w2 ~/ Vsignificant challenges and/or problems surrounding the tasks of ; |* x' c: X# P! F
marketing, administration, operations, and any such other matters as ) l# n. |4 \. ~* t; [* L
may provide such challenges and/or problems.
