The duties of the Operations Manager - SU Venues are diverse and  
; T9 f0 I) y& W" e7 xextensive, and are targeted at the all round smooth operation and  ( ~9 a& Y; }: P- {
financial and operational success of the Horowitz Theatre as well as  
5 C4 a8 X; ^- Qthe logistical organization and smooth rental of the additional  
  |& J- v% W) nvenues within the realm of the Students´ Union.  In the light of that  6 `# a1 F! I0 v# u, t
breadth and complexity, it is not possible to fully define or  7 E9 a  e, l2 C0 Q. w1 Z9 y
describe all roles and responsibilities in a document of this kind.   8 Q1 B0 f. O; f: o
However, the main roles and responsibilities of the Operations  . a9 t! d6 M' i, ?1 E" `

a.   To ensure, at all times, that the venues listed below meet the  ; a5 O& ]( ]7 W0 U8 R& l0 [4 m
appropriate standards, requirements and needs, and contributes in a  
' ~- f$ u, P* t: d! X5 o* ]positive way to the smooth operation and success of the individual  5 r2 S- {5 L2 @  Y
renter.

b.   This includes, but is not limited to, the following:
% x0 ]% g' j& e$ m% `5 I$ @5 l1 Q·     To plan the capital and supply expenditures to meet the  " e% q" d; O8 l! p, Z$ P
production and facility requirements.
4 W! V3 @# t: T1 m8 c7 u* Z0 N6 h·     To ensure the day-to-day compliance of the venues with existing  + d$ S. S; j/ e" L
safety regulations and building policies.
5 d6 T1 N. A% C+ gTo ensure that the maximum potential of renters is met.

2.        Marketing and Promotion" C* i0 }" b2 ^" C/ f7 ~

5 e6 S9 s* L% d& f' z+ Sa.   To develop and implement a marketing plan for the venues that  
0 W& n0 E# C, ~5 p1 c1 j" Kfocuses upon advertising and promoting the venue to faculty,  
6 h$ r0 [6 P* X, Bstudents, and internal and external clients on an on-going basis.  
. L& ]1 ~, x9 o, O' aThis strategy will include implementing and/or delegating the following:
; B! P* C9 C9 b! [( F·     To develop and maintain promotional materials, the Horowitz  
4 m4 \6 s' c% r9 o0 jTheatre and SU Venues home page, newspaper and other advertising; to  - w* m; C# I- O% |* D8 U: k/ l+ c
take advantage of other internal and external advertising  
7 `' a1 j# C; P9 Iopportunities; and to develop press releases and other promotional  
; t$ n& o* V& }, ~literature on an ongoing basis.# H" \3 R* L: i+ ^+ ]: l
·     To coordinate tours of the venues for potential renters.: w/ l2 j6 F* q+ U- N* y
·     To promote upcoming events in the Horowitz Theatre through the  $ K5 [' k5 m8 c8 R
use of the Horowitz Theatre Home Page and the SU Events Calendar.

3.        Staff and Supervisory Roles and Responsibilities
( L% t' K( F6 M  M4 G3 L0 f; e
$ m) G& |% o# N" V  S( Ba.   To ensure, at all times, that the venues are adequately and cost-
( ?: I8 g% O2 t4 U/ }: ~) Z' Aeffectively staffed, and that the staff utilized by or within the  
/ i3 X! b, g8 F5 G7 yvenues meet the appropriate standards, requirements and needs, and  ) R, O+ `6 \4 B2 G4 b/ l$ E
contribute in a positive way to the smooth operation and success of  ; v" z/ j" U  b3 A- B
the renter´s events. This includes, but is not necessarily limited  , O9 Z* D2 h/ N3 D- c8 |; N
to, the following:
$ i7 B( o- W- O- R·     To be responsible, under the direction of the Manager of Venues  
: g- Y  j+ Z, _: tand Programming, for all staff issues including hiring, disciplining,  3 b4 J  m0 t+ V* J5 p
evaluating and terminating, as necessary.0 X' z3 q# W. {4 @' E
To ensure that the Horowitz Theatre is adequately supervised at  % j8 x* a2 I. K( L0 [2 X. L  x) n
all times, this includes the development and implementation of such  0 C8 v, A# U$ i4 j
schedules and rosters as may be necessary to ensure the effective and  
, d0 E9 @$ N+ S! U/ s9 ?cost-effective supervision of the venues at all times during which it  . n5 _4 c2 H- K7 M( Z2 n; P
is in operation or needs to be in operation.+ s5 f8 n  A9 c8 Q+ S
·     To work with the Technical Director, when necessary, to ensure  
4 }% H, o! P3 V5 l6 O* C% U$ @that an adequate and appropriate level of part-time staff exists to  6 E6 X' G/ P! y
facilitate the smooth operation of the venues and to ensure all  
6 o1 G- o/ d; V% ^7 xrenters needs are met.1 M3 i+ Y% ^+ o9 d4 @$ ^0 G/ W
·     To work with the Technical Director to ensure that the skills  
0 ?& z4 X0 `3 Y0 x' land attitudes of all subordinate staff are appropriate in light of  
+ P4 G* C3 f2 ?* o* ^! u& q+ S& Dthe roles they must perform. This includes providing adequate and  
( S  {. \5 t1 G* J' ueffective training (and re-training) in all applicable and  
( E* _* n# x4 Y1 g6 x  p; I5 o  \appropriate areas, and ensuring that the Policy and Procedures manual  
3 o% J2 t7 v, nis kep up-to-date at all times." ?7 X: o% L$ L
·     To ensure all staff are trained in and committed to providing  ) X/ S. A: W' l
excellent customer service to all renters.
+ l' _8 M/ K5 P% b; Z1 r! b·     To work with the Technical Director to arrange staff  
. `, a3 ^/ ]/ F7 E  y& e  |scheduling.  To handle payroll related matters, under the guidance  
( v/ o- R/ B- k% N# z+ Xand direction of the Manager of Venues and Programming, concerning  ( g( I- y" U) d; y2 J; ]  |6 S
the staff of the venues.' y9 f% H6 R9 i% F9 e, f
·     Working with the Manager of Facilities and Operations to ensure  
3 F- a( R% S: C: B) B* a1 m  W/ u3 P+ wthe appropriate setup/tear down of each venue.
9 t$ {8 a- \# X. m* G: {( ^/ k8 a·     Working with the Manager of Programming and Venues to ensure  
$ K/ X1 {( ~8 L, jthat additional requests such as licensed receptions are arranged.5 [8 g! Z2 d9 b% _$ \4 l$ `+ i& h

a. To ensure, at all times, that the Financial and Administrative

, |! k0 B  F" F: ~! _/ a' R2 b) Q8 kappropriate standards, requirements and needs, and contribute in a  
( g: N: {# s3 B) X7 v. }9 Ipositive way to the smooth operation and success of the venues. This  - G+ w  ^. ]  M5 m. g  G
includes, but is not necessarily limited to, the following:
$ l* g, g9 D, j2 L9 c9 I3 r To provide input and expertise in the formulation of appropriate  6 T0 [/ C/ E% `' S. m! g
operating budgets covering the venues to the SU´s Manager of  
$ r; F2 N2 k$ T7 yProgramming and Venues and to discuss and refine those budgets  1 I/ G2 f( M3 D$ H: O' R, ?
Manager of Programming and Venues, and Manager of Finance &  3 L. r; R$ _: g: f0 |8 P
Administration prior to their submission for final approval.
! J. c" C7 P- n·  To manage the venues in a manner which adequately and effectively  9 r* g5 S* g8 k/ Z
reflects the budgets approved for the venues and/or which reflects  
8 z8 e" r# g3 N( ^2 t: g: S# Hthe best interests of the venues and the Students´ Union.6 v+ a7 O0 d7 h& R" @
·  To function as the key player in the submission of financial and  
) W. ^0 B9 o: S& s6 w: D% I# eadministrative documentation covering the venues to be used in the  % Q  z2 i1 W) v2 j6 n" J
compilation of monthly and annual financial statements, and such  
; U* r2 M7 x8 s& gother reports as may be necessary." D- `0 V# O% ~) X8 |" z
·  To discuss those financial statements and other reports, together  
6 q- \; {) C# v& i( B) ?; d" Ywith all financial and administrative procedures, with the SU´s  . {5 g1 t# T  Z) N2 r* w* b" c
Manager of Programming and Venues and Manager of Finance &  , K& Q$ B$ w+ @" O2 l/ q
Administration with a view to determining and implementing action  ) Y& r3 \4 h+ Q( J* J8 `! B. R
aimed at improving the financial and/or functional effectiveness of  8 S4 L: x9 D1 b+ z2 X
the Horowitz Theatre.
8 ^% a* Z% }0 K5 n1 p: D·  To ensure the existence of adequate, effective and accurate job  . q9 z- ]- ?2 e( y4 [# L
costing systems to be used in connection with the determination and  
8 B- V' I2 Q- [- b, s: csetting of appropriate prices for rental and staffing rates for  % t: F, P" x, C2 a9 L/ B, |
events held in the Horowitz Theatre.+ \9 g2 X+ X0 g. d
·  To develop accurate documentation to be used in connection with  - c6 z/ n1 [. \
the billing clients, and to forward such documentation in a timely  
6 V3 p7 m7 R0 A1 ]  ?- tmanner to the Accounting Department.4 J. I" r7 @5 x; v4 S; k" }4 H
·  To recognize, address and handle all matters relating to financial  
1 I8 Y, C: ?& A+ g% Z0 x5 B, oand administrative procedures and systems in a manner which reflects  9 |9 b, V3 C+ }7 y; |/ J
the requirements of the SU´s Manager of Programming and Venues and  ! `+ W1 u+ `$ c, F
Manager of Finance and Administration, and in a manner which  + t2 F% {2 v5 R; y5 \
contributes positively to the smooth operation and success of the  
0 h+ z9 {( C. F7 p# L( L& j; cvenues.3 n4 D/ a! r) A, q1 r8 {' t
3 Z* U: h( Y( A  e( K* v# s; T
5.          Overall Roles and Responsibilities7 `+ ~) ]+ a9 i" q  s. h1 e- E
a.   To ensure, at all times, that the systems and processes used in  9 `- z+ Y6 i) K, n
renting the venues meet the appropriate standards, requirements and  
3 F6 {3 G% ~% Q' V* `/ h% `needs, and contribute to the smooth operation and success of the  
' Z* t' D7 Q4 f4 {2 _8 ivenues. This includes, but is not limited to, the following:
9 p  y9 o2 c; w8 w! C5 {
$ P& i6 E3 N+ A8 b( S+ S+ W% H. ?·  To recognize, develop and set in place such rental procedures as  8 \: O1 M, r3 U$ B, p" z7 R
may be necessary to ensure the smooth operation of the venues, this  , t$ |, O. D1 X& Z0 l3 f, J
is to include but not necessarily be limited to systems and processes  3 D5 h5 P3 M4 C2 r$ e7 @+ E
in the areas of contracts, inventory management, contract evaluation,  
* V) Q1 n+ v: F; A: [3 r1 F. [pricing, costing, equipment usage, rental/contract invoicing,  ; H! k7 b8 M2 [' K
together with such other systems and procedures as may be necessary  
2 d& E2 r) \3 y7 Mto ensure the smooth, secure, efficient, cost-effective and  
. }- |# N3 g0 cfunctionally-effective operation of the Horowitz Theatre.
2 f0 O% Z) q2 E) H$ J( u·  To recognize, develop and set in place such operational procedures  
( M! e/ p1 e3 s4 U* \( Das may be necessary to ensure the smooth, efficient and cost- , A) B0 n4 r* i/ X- T! p- y+ w7 m
effective operation of the venues." l$ o- ~4 S$ y2 T: r" ~
·  To negotiate rental lease agreements (contracts) relating to  
2 q9 b! ?8 \+ @  U6 I2 O+ ]dates, rates, staff and miscellaneous charges.8 }4 N/ r; f- @6 ~- v5 j
·  To ensure that adequate inventory is available at all times and  
$ d! K1 l, F( M5 }& D5 O3 X$ |2 Kthat such inventory is stored and issued in effective and secure ways.
( u8 |5 N; q2 t% d·  To consult with renters as to facility issues in producing their  
+ t+ k9 L9 N9 ]! Fparticular event in the venues.
. U9 s0 Y$ r) ^- Y* M·  To provide the venues on-site staff with such documentation and  6 h- ~& E/ ]. I/ D$ O2 Y: q
supporting information as it may need to effectively fulfill the  0 E7 ^) r6 K4 e: W
roles they are to perform to ensure the success of the renter´s event.1 [& T' k9 N8 ]6 P) b3 c* i
·  To produce quotes in respect to staffing costs for a particular  ) P, O! d5 A; A& d3 g& _
rental with consultation with the Technical Director.6 V* s8 X( B( N& U
·  To ensure that all queries raised with the venues whether from the  $ G* v: B9 U! w1 }2 w6 d1 D
SU or renters, are promptly and effectively handled and adequately  / E  _0 S# V* z6 S" I, n
answered, and to ensure that such action as may be necessary in  / b6 J9 k2 X' _, w
follow-up to such queries is taken in a timely manner.& i* \7 r$ \1 L7 E$ Q; K
To ensure that the venues and its capabilities are adequately,  $ Y8 X8 S4 k) q
effectively and cost-effectively advertised and promoted, and that  7 n" [# U( @& t) b; M; W1 H# S* F
the cost of such endeavors does not exceed the budgetary provision  - v+ H: [/ B$ r! Q- f
made for them unless prior approval is given by the Manager of  4 @) P/ p5 v( [' V& D
Programming and Venues.
( X5 v: q9 I4 r+ z; r. d  I* n·  To act as an informed and knowledgeable resource in the case of  ) r7 _. W9 z/ G9 X+ M8 c
significant challenges and/or problems surrounding the tasks of  
/ \/ i8 n" T& Y+ |: v' Amarketing, administration, operations, and any such other matters as  0 j5 f4 V) U* |8 f# Q
may provide such challenges and/or problems.
* a, w- @) K- r9 N4 V( j·  To attend such meetings as may be required to support the smooth  
: s. M8 Q; ~; H# Hoperation of the venues or the Students´ Union as a whole.. Q! [+ B$ h% ]
·  To perform other job-related duties as may be required by the

·  To recognize, address and handle all matters relating to overall  
' q; D0 O" k) Koperations in a manner which reflects the requirements of the SU´s

8 }. s5 K& e! C+ @  w# vAdministration, and in a manner which contributes positively to the

QUALIFICATIONS:7 g2 N9 ^3 G$ H; a# N% F
1)             Minimum two years related post secondary education, or  
! M% N3 A( L) Ian acceptable combination of education and experience.6 d$ H+ e+ W- @
2)             Supervisory experience.
7 L# t7 D  w, |" s  c3)             Ability to create new initiatives with little or no  & G( A6 R6 D' f( ^$ g

4)             High level of creativity
