The duties of the Operations Manager - SU Venues are diverse and

financial and operational success of the Horowitz Theatre as well as ) a9 n, u0 h0 z( F
the logistical organization and smooth rental of the additional 5 M3 T |4 W- b2 V2 b" P
venues within the realm of the Students´ Union. In the light of that
( Y% d& n; J' n4 vbreadth and complexity, it is not possible to fully define or

However, the main roles and responsibilities of the Operations

1. Space Roles and Responsibilities

renter.

focuses upon advertising and promoting the venue to faculty, 9 J8 [9 C/ G! U+ ]" W$ I
students, and internal and external clients on an on-going basis. ! Z7 L b' }8 y& O4 z
This strategy will include implementing and/or delegating the following:" I; ^. K' i9 U7 v& [
· To develop and maintain promotional materials, the Horowitz
7 [* R, w# b% |: \$ Y# `! KTheatre and SU Venues home page, newspaper and other advertising; to D1 l2 r$ F: P# |, J* ]" Q$ R
take advantage of other internal and external advertising
2 h* W V' F3 j* ?) ]opportunities; and to develop press releases and other promotional ( v/ } |4 d( T: ?
literature on an ongoing basis.! E, V7 n, K" _) V! `
· To coordinate tours of the venues for potential renters.

3. Staff and Supervisory Roles and Responsibilities
9 r9 ~; G$ [: P" D- r
9 W4 t! r9 E \) Z. ? Oa. To ensure, at all times, that the venues are adequately and cost-
( @/ _! L6 \% Z5 [' qeffectively staffed, and that the staff utilized by or within the ( r# K1 L' u" x
venues meet the appropriate standards, requirements and needs, and
; B+ ?- g! o6 i3 T& B7 pcontribute in a positive way to the smooth operation and success of
2 ^/ i7 O$ X, L# Jthe renter´s events. This includes, but is not necessarily limited 4 [ |- J0 ?7 E& m
to, the following:( q6 C# b/ f3 \8 K- O
· To be responsible, under the direction of the Manager of Venues
( S, Z5 g0 d. Oand Programming, for all staff issues including hiring, disciplining,
3 X! v5 D) G0 E4 R' l; A0 Jevaluating and terminating, as necessary.
2 \: w; ^2 t# d |* L; Q To ensure that the Horowitz Theatre is adequately supervised at
% |' A; i6 X/ K0 [all times, this includes the development and implementation of such 2 ^5 B, Z7 n" E o& ]
schedules and rosters as may be necessary to ensure the effective and
& f% X0 E) ?+ _1 pcost-effective supervision of the venues at all times during which it 4 z. a8 G/ P2 R$ `- i
is in operation or needs to be in operation.
5 T( ~! U# n! z4 i- e· To work with the Technical Director, when necessary, to ensure
. O/ I4 ~, |* C# s: M* T( nthat an adequate and appropriate level of part-time staff exists to
; r+ [% z( s& V. {; K5 F) L8 k' _facilitate the smooth operation of the venues and to ensure all 6 f& z0 S7 j9 Y3 D' a+ [
renters needs are met.7 U. n) l2 Z& p
· To work with the Technical Director to ensure that the skills # T8 L1 C# K) ~: z
and attitudes of all subordinate staff are appropriate in light of
+ c; ? h) `) L; q9 z& L/ b% othe roles they must perform. This includes providing adequate and
' N# x9 A2 e; Yeffective training (and re-training) in all applicable and ( m0 i7 T& `: D% q( ~( j
appropriate areas, and ensuring that the Policy and Procedures manual

· To ensure all staff are trained in and committed to providing

· To work with the Technical Director to arrange staff
+ d' ^; P/ q; b6 T9 {/ @scheduling. To handle payroll related matters, under the guidance

systems and processes utilized by or within the venues meet the

positive way to the smooth operation and success of the venues. This . g0 h) M. O9 y, A% n
includes, but is not necessarily limited to, the following:! U0 D, ]- e. B5 g3 m7 E
To provide input and expertise in the formulation of appropriate
' a6 T# r% _% g7 G2 C" Foperating budgets covering the venues to the SU´s Manager of
m' b8 `: I* e, r, uProgramming and Venues and to discuss and refine those budgets
+ p1 A; |+ y% p+ q9 ~8 ?% vManager of Programming and Venues, and Manager of Finance &
. @. X/ w8 m6 f3 c w" IAdministration prior to their submission for final approval.
+ I6 [+ ]/ J! a. g$ W· To manage the venues in a manner which adequately and effectively & p* I E2 ?+ T& \
reflects the budgets approved for the venues and/or which reflects
! J/ k- @: B! y! X4 H9 m5 Wthe best interests of the venues and the Students´ Union.
% X5 R( A8 e4 N& p, _6 c) N! R6 X· To function as the key player in the submission of financial and
/ O( n, T0 H' Y1 B0 i4 ^5 {administrative documentation covering the venues to be used in the
# |% `2 r; ~9 |7 f5 W( ?* ?- I0 ycompilation of monthly and annual financial statements, and such ! f+ h. ]9 c9 V% h6 Z: b$ J
other reports as may be necessary.

· To ensure the existence of adequate, effective and accurate job 5 H4 I7 @. t: I/ z- M1 |; }
costing systems to be used in connection with the determination and
W( T- y; s. V$ F- |6 V7 ssetting of appropriate prices for rental and staffing rates for
$ m. S- M& X+ Qevents held in the Horowitz Theatre.9 Q+ y. L/ U1 Z
· To develop accurate documentation to be used in connection with " [) p$ D. d) f6 x8 I3 h9 O, A% I+ R
the billing clients, and to forward such documentation in a timely 8 d" U) c- ?* ]% ]( h/ X
manner to the Accounting Department.

and administrative procedures and systems in a manner which reflects

needs, and contribute to the smooth operation and success of the

is to include but not necessarily be limited to systems and processes $ e- c" Z# h6 S
in the areas of contracts, inventory management, contract evaluation,
4 \' o1 A) C& q: `" bpricing, costing, equipment usage, rental/contract invoicing,
: L; h" u; X( Q$ T$ ?2 K% w) @together with such other systems and procedures as may be necessary ' F# Z D; h. A/ g: Y
to ensure the smooth, secure, efficient, cost-effective and 3 i( r$ x7 J) }0 Z- q6 e
functionally-effective operation of the Horowitz Theatre.
r6 x% I& }* S- d· To recognize, develop and set in place such operational procedures
0 R! n0 [1 K8 qas may be necessary to ensure the smooth, efficient and cost-
) G# W3 ?7 H3 }' J- X- d' Ceffective operation of the venues.* o* x; c0 t( W
· To negotiate rental lease agreements (contracts) relating to . Z3 ?: j/ V( N9 Y' b
dates, rates, staff and miscellaneous charges.
% R, w. u! p) d9 [· To ensure that adequate inventory is available at all times and
% d0 Y; S9 m& I/ f) j& V6 Ethat such inventory is stored and issued in effective and secure ways.# y! ~: E B4 Q2 \
· To consult with renters as to facility issues in producing their / E. l' @* ^0 @+ d2 J* H
particular event in the venues.$ J6 N- ^( K% N, p( `% O
· To provide the venues on-site staff with such documentation and : t C" K9 E6 B* n; U: e2 F7 |
supporting information as it may need to effectively fulfill the 7 U0 z$ `6 H5 ]& t
roles they are to perform to ensure the success of the renter´s event.
' R( C6 z* m* v0 z5 {7 A· To produce quotes in respect to staffing costs for a particular
, y2 g9 Q' f t r; v3 H' J0 Grental with consultation with the Technical Director., h# [6 t4 ~ Q. C* R- K! D I
· To ensure that all queries raised with the venues whether from the
, B% x' {3 }# \SU or renters, are promptly and effectively handled and adequately 2 D" N Z; v: [4 W# t5 ?+ N/ U
answered, and to ensure that such action as may be necessary in ) {7 `0 n6 B! z. k; Q
follow-up to such queries is taken in a timely manner.
n" P9 o) z5 q' g( p, \! ?% E To ensure that the venues and its capabilities are adequately,
/ C1 D# ?3 z9 p. S, M9 Jeffectively and cost-effectively advertised and promoted, and that
/ |% F! E1 N) T/ b' I3 g' u0 v1 [the cost of such endeavors does not exceed the budgetary provision

significant challenges and/or problems surrounding the tasks of
