focuses upon advertising and promoting the venue to faculty,

· To develop and maintain promotional materials, the Horowitz ' B4 d7 U% L8 D+ L' V
Theatre and SU Venues home page, newspaper and other advertising; to

opportunities; and to develop press releases and other promotional

a. To ensure, at all times, that the venues are adequately and cost-
3 m" W; b3 s8 n$ ]% X* P U* o& S8 \effectively staffed, and that the staff utilized by or within the + Z2 {+ k% b* U5 D
venues meet the appropriate standards, requirements and needs, and ( G/ P4 H: s( X
contribute in a positive way to the smooth operation and success of
8 W# X8 t- g" E7 i5 M7 ^the renter´s events. This includes, but is not necessarily limited

6 ^, R! v0 p X· To be responsible, under the direction of the Manager of Venues
8 i" |( C% n! f2 [. l% x! [, qand Programming, for all staff issues including hiring, disciplining,

To ensure that the Horowitz Theatre is adequately supervised at - @! A7 l x1 ^' N
all times, this includes the development and implementation of such
; F: g0 S$ k+ k# H* `5 kschedules and rosters as may be necessary to ensure the effective and
4 Q1 S+ X" O7 Z- m: R& H! Q$ J. @, q Scost-effective supervision of the venues at all times during which it

· To work with the Technical Director, when necessary, to ensure 2 N9 ^4 E% P$ P" f6 [0 w7 V
that an adequate and appropriate level of part-time staff exists to - Q% _% m6 Z) |
facilitate the smooth operation of the venues and to ensure all 5 Q# _% ?- ^3 y

· To work with the Technical Director to ensure that the skills ! G) x, o8 h: u4 V4 J' W% Z; Q
and attitudes of all subordinate staff are appropriate in light of

effective training (and re-training) in all applicable and ) d! Z" h0 o: Z( v) s; o
appropriate areas, and ensuring that the Policy and Procedures manual 5 T/ {- j: o9 D8 T
is kep up-to-date at all times.# F* l4 G( q' P% v# C' l
· To ensure all staff are trained in and committed to providing ~3 s& \/ G1 i. t9 q. s8 j; b
excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance $ i8 o" A, @/ z _% V# R
and direction of the Manager of Venues and Programming, concerning

7 U1 k8 X' M# k/ s2 ~· Working with the Manager of Facilities and Operations to ensure

that additional requests such as licensed receptions are arranged.

4. Overall Financial Performance

systems and processes utilized by or within the venues meet the ; U% N/ K( P! K h$ ~
appropriate standards, requirements and needs, and contribute in a

To provide input and expertise in the formulation of appropriate : f# k2 x; c5 p. K3 P
operating budgets covering the venues to the SU´s Manager of 5 i& V3 N2 R! @6 P2 ` Y8 r
Programming and Venues and to discuss and refine those budgets : Y' l1 r# r9 H+ i. a- g
Manager of Programming and Venues, and Manager of Finance &
0 o5 { p& x8 \Administration prior to their submission for final approval.
+ }, K/ C- v, ^. G$ l· To manage the venues in a manner which adequately and effectively

the best interests of the venues and the Students´ Union.7 K9 h& ^! e9 L) Y {4 H
· To function as the key player in the submission of financial and

other reports as may be necessary.

with all financial and administrative procedures, with the SU´s % G) H8 C: g8 h5 b

Administration with a view to determining and implementing action

costing systems to be used in connection with the determination and * e0 C: s: r6 r& }6 {- \4 N: ~
setting of appropriate prices for rental and staffing rates for

· To develop accurate documentation to be used in connection with

and administrative procedures and systems in a manner which reflects

5. Overall Roles and Responsibilities9 P6 h/ e5 X4 v9 e% [
a. To ensure, at all times, that the systems and processes used in ' ^1 U' H- _& R# S2 _7 a
renting the venues meet the appropriate standards, requirements and 8 f2 ], p: b$ Z! V
needs, and contribute to the smooth operation and success of the $ C- o! s0 I# | v
venues. This includes, but is not limited to, the following:

& J, r/ q7 s5 u- A: |; ]/ t/ T· To recognize, develop and set in place such rental procedures as 5 K; z0 j: h, V, A6 F4 X
may be necessary to ensure the smooth operation of the venues, this
) L" X9 c( @5 q9 w2 a" O2 ?( tis to include but not necessarily be limited to systems and processes % r) c% x9 X5 \
in the areas of contracts, inventory management, contract evaluation,
" Q* W3 Y9 C/ a& bpricing, costing, equipment usage, rental/contract invoicing,
7 L. \. @% K( J9 d xtogether with such other systems and procedures as may be necessary 9 R) T L* t1 Y7 [
to ensure the smooth, secure, efficient, cost-effective and
2 @0 I4 v9 U5 j0 Qfunctionally-effective operation of the Horowitz Theatre.# d$ a) w- p! f4 S6 Z; P- z( N/ r
· To recognize, develop and set in place such operational procedures
9 w2 }: i4 A V4 C# O' m; Zas may be necessary to ensure the smooth, efficient and cost- " d" j1 V) _8 \- @! L
effective operation of the venues.
Z; C( ]; s9 V7 ~* m· To negotiate rental lease agreements (contracts) relating to 9 G$ r4 ]( q/ `0 Z
dates, rates, staff and miscellaneous charges.4 S. ` w- K% e, P' c2 [! s
· To ensure that adequate inventory is available at all times and 2 |) e% q/ {2 E
that such inventory is stored and issued in effective and secure ways.
) Z- N" {/ i8 t/ Y" |+ W4 R. v- A· To consult with renters as to facility issues in producing their 2 w* b; G; s6 `
particular event in the venues.2 ^: q; K1 _3 S3 D$ m+ X: O
· To provide the venues on-site staff with such documentation and
) X! v0 p2 R( O) F. B" O, vsupporting information as it may need to effectively fulfill the
3 J- ?6 m4 Y4 i4 h3 |7 droles they are to perform to ensure the success of the renter´s event.
2 n2 p9 c* L# m( t5 u. B· To produce quotes in respect to staffing costs for a particular 6 \& F. E/ `" Y I' ^( O* i3 v- f
rental with consultation with the Technical Director.
6 S2 W% U; x3 L( P0 j0 l· To ensure that all queries raised with the venues whether from the
- p2 u( X) w6 o7 l; r! HSU or renters, are promptly and effectively handled and adequately / u, u# q1 u1 q& p; B
answered, and to ensure that such action as may be necessary in
7 H/ L/ E8 t4 m1 M( o% v d6 `follow-up to such queries is taken in a timely manner.1 K6 \+ b# h9 R: w
To ensure that the venues and its capabilities are adequately, 6 \# }: c* Q" O- f5 S
effectively and cost-effectively advertised and promoted, and that
% {3 q$ ]2 Z7 K! e7 f8 Tthe cost of such endeavors does not exceed the budgetary provision : E# L2 b8 z6 A9 `! s
made for them unless prior approval is given by the Manager of + y" b; m4 Y. Z8 h/ @' t8 J

· To act as an informed and knowledgeable resource in the case of

may provide such challenges and/or problems.
