The duties of the Operations Manager - SU Venues are diverse and  1 Q0 j( m2 b' R/ `8 B
extensive, and are targeted at the all round smooth operation and  2 ]1 f9 `) d' ]$ a+ z
financial and operational success of the Horowitz Theatre as well as  $ H4 o$ b& v; a6 \
the logistical organization and smooth rental of the additional  ) s% K# S  W) |3 @) h
venues within the realm of the Students´ Union.  In the light of that  8 D/ |' u5 @& d
breadth and complexity, it is not possible to fully define or  
4 _+ o, y: j+ z1 Z, b, _8 {3 qdescribe all roles and responsibilities in a document of this kind.   
. q6 _! F% F; O+ QHowever, the main roles and responsibilities of the Operations  5 U. m/ F7 R/ X" a+ I
Manager are as follows:

  T& @! J; U! r9 `a.   To ensure, at all times, that the venues listed below meet the    I/ ^# o' D+ f! l
appropriate standards, requirements and needs, and contributes in a  ) z+ z2 T) H' E2 u
positive way to the smooth operation and success of the individual  
; j5 O  Y9 O2 L4 ]) p/ Jrenter.

- P' Y: [, x- G) j0 g. x9 U  |1 Xb.   This includes, but is not limited to, the following:
1 a1 e2 L  K' N: c·     To plan the capital and supply expenditures to meet the  ' o/ v7 n8 a) q( W5 U* ^* A
production and facility requirements.
1 Z# T$ t2 L0 `, Z6 b* I·     To ensure the day-to-day compliance of the venues with existing  
' W( R8 B0 K5 Y+ msafety regulations and building policies.
# j( S9 P! O2 |7 |1 dTo ensure that the maximum potential of renters is met.

2 Z  _* I" e4 }) m2.        Marketing and Promotion% ~2 ?) R$ m* o% L8 A* Y, t( D

a.   To develop and implement a marketing plan for the venues that  ; s2 ^' t( l$ N
focuses upon advertising and promoting the venue to faculty,  
/ y$ Z. v9 E0 J# Ystudents, and internal and external clients on an on-going basis.  
8 f  z: S7 l6 E1 VThis strategy will include implementing and/or delegating the following:; r( O5 h7 M+ R; S) ^
·     To develop and maintain promotional materials, the Horowitz  ' B4 d7 U% L8 D+ L' V
Theatre and SU Venues home page, newspaper and other advertising; to  
( ^2 ?2 y- G/ g$ F0 S4 Q7 @" Xtake advantage of other internal and external advertising  6 f  [$ y. n; R) g3 y! M: ~2 I8 H
opportunities; and to develop press releases and other promotional  
0 M1 C& P0 j% m* R! A  mliterature on an ongoing basis.
. Y0 @  J  m; o; i6 b·     To coordinate tours of the venues for potential renters.# S) G8 q- d# o
·     To promote upcoming events in the Horowitz Theatre through the  ' ^8 x, }0 Y$ v" l9 c( z
use of the Horowitz Theatre Home Page and the SU Events Calendar.: l- O" o7 o5 Q9 b
·     To develop new external clients for the venues.% Q6 P! e$ B- M) x! e

3.        Staff and Supervisory Roles and Responsibilities2 P. p5 F- {- K/ G4 Y+ H' |
6 h2 H8 e7 b4 e: \4 J
a.   To ensure, at all times, that the venues are adequately and cost-
3 m" W; b3 s8 n$ ]% X* P  U* o& S8 \effectively staffed, and that the staff utilized by or within the  + Z2 {+ k% b* U5 D
venues meet the appropriate standards, requirements and needs, and  ( G/ P4 H: s( X
contribute in a positive way to the smooth operation and success of  
8 W# X8 t- g" E7 i5 M7 ^the renter´s events. This includes, but is not necessarily limited  
3 L8 i: k$ D0 z) [3 S/ D6 {to, the following:
6 ^, R! v0 p  X·     To be responsible, under the direction of the Manager of Venues  
8 i" |( C% n! f2 [. l% x! [, qand Programming, for all staff issues including hiring, disciplining,  
5 ?5 F9 E1 p" revaluating and terminating, as necessary.0 n. h7 Y7 J2 h5 W5 [5 l
To ensure that the Horowitz Theatre is adequately supervised at  - @! A7 l  x1 ^' N
all times, this includes the development and implementation of such  
; F: g0 S$ k+ k# H* `5 kschedules and rosters as may be necessary to ensure the effective and  
4 Q1 S+ X" O7 Z- m: R& H! Q$ J. @, q  Scost-effective supervision of the venues at all times during which it  
8 I( m: ^4 a( I! fis in operation or needs to be in operation.. d3 n/ j! I: N6 o
·     To work with the Technical Director, when necessary, to ensure  2 N9 ^4 E% P$ P" f6 [0 w7 V
that an adequate and appropriate level of part-time staff exists to  - Q% _% m6 Z) |
facilitate the smooth operation of the venues and to ensure all  5 Q# _% ?- ^3 y
renters needs are met.0 K# [0 S% ]( ?+ `0 a0 @2 |$ @
·     To work with the Technical Director to ensure that the skills  ! G) x, o8 h: u4 V4 J' W% Z; Q
and attitudes of all subordinate staff are appropriate in light of  
9 W2 J7 e' L; z5 i; h% ythe roles they must perform. This includes providing adequate and  ; P& [' e' D$ L) R
effective training (and re-training) in all applicable and  ) d! Z" h0 o: Z( v) s; o
appropriate areas, and ensuring that the Policy and Procedures manual  5 T/ {- j: o9 D8 T
is kep up-to-date at all times.# F* l4 G( q' P% v# C' l
·     To ensure all staff are trained in and committed to providing    ~3 s& \/ G1 i. t9 q. s8 j; b
excellent customer service to all renters.
: `3 G$ J2 d4 a# \% G·     To work with the Technical Director to arrange staff  7 D& w2 P' O) A' ~0 y  M
scheduling.  To handle payroll related matters, under the guidance  $ i8 o" A, @/ z  _% V# R
and direction of the Manager of Venues and Programming, concerning  
7 V$ x/ X4 F+ h" W& Jthe staff of the venues.
7 U1 k8 X' M# k/ s2 ~·     Working with the Manager of Facilities and Operations to ensure  
8 n0 ~" J  b+ w; j. e% wthe appropriate setup/tear down of each venue.: r) e) ^4 s8 r8 s( Y
·     Working with the Manager of Programming and Venues to ensure  5 q, Z8 k% w4 p" _  I/ {
that additional requests such as licensed receptions are arranged.

4.          Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative  : ^+ }( F  }/ r: r6 N
systems and processes utilized by or within the venues meet the  ; U% N/ K( P! K  h$ ~
appropriate standards, requirements and needs, and contribute in a  
# f6 ^1 K, v8 @8 U% G/ Xpositive way to the smooth operation and success of the venues. This  0 B* X$ x0 F2 O
includes, but is not necessarily limited to, the following:" D( d0 K+ t, C0 O8 w' u
To provide input and expertise in the formulation of appropriate  : f# k2 x; c5 p. K3 P
operating budgets covering the venues to the SU´s Manager of  5 i& V3 N2 R! @6 P2 `  Y8 r
Programming and Venues and to discuss and refine those budgets  : Y' l1 r# r9 H+ i. a- g
Manager of Programming and Venues, and Manager of Finance &  
0 o5 {  p& x8 \Administration prior to their submission for final approval.
+ }, K/ C- v, ^. G$ l·  To manage the venues in a manner which adequately and effectively  
4 j. q$ q9 {4 o6 k6 Freflects the budgets approved for the venues and/or which reflects  " ]9 G7 }9 U* P
the best interests of the venues and the Students´ Union.7 K9 h& ^! e9 L) Y  {4 H
·  To function as the key player in the submission of financial and  
9 Q7 t8 F7 e) \+ T( M  ^7 Q8 P$ }! q5 padministrative documentation covering the venues to be used in the  ; y3 J& P" I# L/ M/ L; w* `
compilation of monthly and annual financial statements, and such  4 P" ?5 b; I2 p& j  `
other reports as may be necessary.
! U+ z& x$ g; n% z, p0 P# w5 N4 }# [·  To discuss those financial statements and other reports, together  ( |; R! s1 ~1 q6 ?$ D" _$ a
with all financial and administrative procedures, with the SU´s  % G) H8 C: g8 h5 b
Manager of Programming and Venues and Manager of Finance &  1 U/ \% l: v# j0 j' P
Administration with a view to determining and implementing action  
7 ]+ ~0 w* x. y0 I9 Aaimed at improving the financial and/or functional effectiveness of  2 s% ?( U; M% h* N; b
the Horowitz Theatre.) @" t/ q" i% r9 w( g' h
·  To ensure the existence of adequate, effective and accurate job  0 a) x# z, d, b6 H  Z
costing systems to be used in connection with the determination and  * e0 C: s: r6 r& }6 {- \4 N: ~
setting of appropriate prices for rental and staffing rates for  
3 ^5 u- j+ q7 [7 r1 wevents held in the Horowitz Theatre.3 h" |3 q: l. B) ]$ o8 b
·  To develop accurate documentation to be used in connection with  
6 D2 z4 [8 n" I' [& nthe billing clients, and to forward such documentation in a timely  
+ H5 |9 R9 d) O, S, ~manner to the Accounting Department.- N6 b$ [( ~: l" h; r( |* `+ x# e
·  To recognize, address and handle all matters relating to financial  * S# p# q' W& I& C7 Y) A7 Q' ^
and administrative procedures and systems in a manner which reflects  
3 [9 ~) |6 o: F3 P6 Wthe requirements of the SU´s Manager of Programming and Venues and  
, f' m' k3 P! Y+ Z! cManager of Finance and Administration, and in a manner which  7 j5 T. D& \% _& f# d7 k
contributes positively to the smooth operation and success of the  
/ @4 Z* m  s% m+ T" ]venues.* v5 I2 G' @% k8 M" M! p; u# i# @2 b/ m
9 a1 g% F5 j  s2 q1 o# [  V2 X. _
5.          Overall Roles and Responsibilities9 P6 h/ e5 X4 v9 e% [
a.   To ensure, at all times, that the systems and processes used in  ' ^1 U' H- _& R# S2 _7 a
renting the venues meet the appropriate standards, requirements and  8 f2 ], p: b$ Z! V
needs, and contribute to the smooth operation and success of the  $ C- o! s0 I# |  v
venues. This includes, but is not limited to, the following:
  L% y" O- D8 A
& J, r/ q7 s5 u- A: |; ]/ t/ T·  To recognize, develop and set in place such rental procedures as  5 K; z0 j: h, V, A6 F4 X
may be necessary to ensure the smooth operation of the venues, this  
) L" X9 c( @5 q9 w2 a" O2 ?( tis to include but not necessarily be limited to systems and processes  % r) c% x9 X5 \
in the areas of contracts, inventory management, contract evaluation,  
" Q* W3 Y9 C/ a& bpricing, costing, equipment usage, rental/contract invoicing,  
7 L. \. @% K( J9 d  xtogether with such other systems and procedures as may be necessary  9 R) T  L* t1 Y7 [
to ensure the smooth, secure, efficient, cost-effective and  
2 @0 I4 v9 U5 j0 Qfunctionally-effective operation of the Horowitz Theatre.# d$ a) w- p! f4 S6 Z; P- z( N/ r
·  To recognize, develop and set in place such operational procedures  
9 w2 }: i4 A  V4 C# O' m; Zas may be necessary to ensure the smooth, efficient and cost- " d" j1 V) _8 \- @! L
effective operation of the venues.
  Z; C( ]; s9 V7 ~* m·  To negotiate rental lease agreements (contracts) relating to  9 G$ r4 ]( q/ `0 Z
dates, rates, staff and miscellaneous charges.4 S. `  w- K% e, P' c2 [! s
·  To ensure that adequate inventory is available at all times and  2 |) e% q/ {2 E
that such inventory is stored and issued in effective and secure ways.
) Z- N" {/ i8 t/ Y" |+ W4 R. v- A·  To consult with renters as to facility issues in producing their  2 w* b; G; s6 `
particular event in the venues.2 ^: q; K1 _3 S3 D$ m+ X: O
·  To provide the venues on-site staff with such documentation and  
) X! v0 p2 R( O) F. B" O, vsupporting information as it may need to effectively fulfill the  
3 J- ?6 m4 Y4 i4 h3 |7 droles they are to perform to ensure the success of the renter´s event.
2 n2 p9 c* L# m( t5 u. B·  To produce quotes in respect to staffing costs for a particular  6 \& F. E/ `" Y  I' ^( O* i3 v- f
rental with consultation with the Technical Director.
6 S2 W% U; x3 L( P0 j0 l·  To ensure that all queries raised with the venues whether from the  
- p2 u( X) w6 o7 l; r! HSU or renters, are promptly and effectively handled and adequately  / u, u# q1 u1 q& p; B
answered, and to ensure that such action as may be necessary in  
7 H/ L/ E8 t4 m1 M( o% v  d6 `follow-up to such queries is taken in a timely manner.1 K6 \+ b# h9 R: w
To ensure that the venues and its capabilities are adequately,  6 \# }: c* Q" O- f5 S
effectively and cost-effectively advertised and promoted, and that  
% {3 q$ ]2 Z7 K! e7 f8 Tthe cost of such endeavors does not exceed the budgetary provision  : E# L2 b8 z6 A9 `! s
made for them unless prior approval is given by the Manager of  + y" b; m4 Y. Z8 h/ @' t8 J
Programming and Venues.# j& U4 F: l' r4 v) w1 l  f
·  To act as an informed and knowledgeable resource in the case of  
9 Q; ^  [. x- W- v- qsignificant challenges and/or problems surrounding the tasks of  1 n  V# L* M  v1 A. S
marketing, administration, operations, and any such other matters as  : Z' v5 f8 s. n
may provide such challenges and/or problems.
8 M; M2 t0 {# R! ~2 ]. z·  To attend such meetings as may be required to support the smooth  3 B9 e5 T5 F. l) ~
operation of the venues or the Students´ Union as a whole." L' R  B. W9 c/ V
·  To perform other job-related duties as may be required by the  
, b$ t" u. P, M: p  qManager of Programming and Venues in order to ensure the smooth and  
. f& v( R4 A2 B* w  r# Isecure operation of the venues.

operations in a manner which reflects the requirements of the SU´s  , ^/ z7 [% _; Z! e5 j
Manager of Programming and Venues, and Manager of Finance and  
' M; Y. \& K. R# bAdministration, and in a manner which contributes positively to the  
5 \. u4 C& U0 }1 V) psmooth operation and success of the Horowitz Theatre.

2)             Supervisory experience.
