The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization.  This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.9 J' X7 \: B0 y( P( d

This is a full-time position working 37.5 hours/week.   The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:

OPERATIONS( y, _, T% T* |
•        Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
7 L6 m6 P7 P( ?  J, {•        Assist in development and implementation of policies and procedures for volunteer services.
" r/ u5 E8 H6 Z2 M+ j) b•        Maintain the volunteer files and update the database using Raisers Edge+ e2 ?# {- Q! E( t. \
•        Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.2 Q$ E# N* H) x2 U, b  O
•        Develop and implement a comprehensive volunteer recognition program.
! x$ c1 ?8 c6 M6 S6 \5 z•        Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours., d' f3 t4 i+ J
•        Identify and implement best practices in regards to volunteer development.* p! Q, E' t7 g( m3 }4 ]
•        Facilitate placement of  practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
& T" C8 b: q' ^) r/ t- |4 I( E•        Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required4 e7 P& H9 ]5 X" R

SPECIAL EVENT PLANNING 3 Q7 Y7 w; M4 D$ h4 N9 W  e
•        Plan and execute the Power of Being a Girl Conference, in consultation with the CEO+ R5 q  X/ I8 w
•        Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up. g$ m" J9 E6 C! @$ \8 @

1 E2 v% j  t# B- F9 ?% E  J. Y6 xADMINISTRATION5 ]9 H! s' f$ r$ ]( p
•        Develop and maintain job descriptions for each volunteer position
. Z. O. _, z7 E; C8 ^  F& e+ k2 X•        Maintain secure volunteers files in accordance with privacy legislation
; _2 o7 u* {. N$ Z3 F•        Provide feedback on volunteers’ performance, as appropriate2 n2 r5 K& f" I2 t
•        Ensure Human Resource policies and procedures are adhered to within the department
& ]' J3 S; B  y- `! |1 J•        Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required * r, W  j" U( K) t% C0 r5 V, C
•        Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency3 Y+ S9 U0 B3 D* p
•        Develop resource and orientation materials for Volunteer Services
4 f+ w3 t( }8 d* ?$ b9 q' A( _) R! P•        Maintain monthly and yearly volunteer statistics for reporting purposes

( [+ }8 ~; W4 ?$ ^2 \6 {% D•        Ensure the program operates within approved budget and be familiar with potential variances
5 `6 M+ `: u( x) P: Y; ]•        Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required
* D: S; N4 V' E3 A! c" Z# o& H9 X0 u" R4 P0 S
INTERNAL/EXTERNAL RELATIONS
- N& l2 E7 L" G3 L% w5 |9 z•        Act as liaison to the Y-Knit group of volunteers
) a$ J, @) I- }: S6 ]•        Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)0 ]6 y9 d% L# W& \2 t! x1 w1 A
•        Follow up with correspondence to outside agency volunteers as appropriate 1 ^  b8 F! s; p  ?$ K
•        Attend external functions such as volunteer fairs, trade shows, and special events as required

Qualifications:( g8 D3 y! Y! z$ n2 v
6 s- \) T; c# [- b% s1 ^
•        Minimum 2 years experience in Volunteer Coordination
& w8 t  H, M4 @: t•        Excellent organizational skills and multi-tasking ability3 ^) w! U- X" V1 A# h
•        Demonstrated superior volunteer supervision skills+ z3 V- [* u! ~+ @: X# _
•        Collaborative working style and excellent interpersonal skills
+ y. W2 E9 b* _* n•        Ability to work to meet deadlines and to work under pressure3 a  ]5 W) S) A! S$ B
•        Ability to work in a team-based environment, with cross-functional work teams on projects
* K& b& G5 b' o0 q/ U3 A•        Sound judgment and ability to maintain confidentiality8 m2 K" `- {, u, t* h+ n
•        Knowledge of Raisers Edge software would be beneficial
8 P) Y/ J/ p/ `; p4 Y8 x% @* \: y, J7 z" J1 _
