The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. OPERATIONS
, n; ?; R ~, b4 M% v. n% j• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
) l! Y1 n2 |: _1 ?) H• Assist in development and implementation of policies and procedures for volunteer services.
( x; L3 k1 F% _/ i• Maintain the volunteer files and update the database using Raisers Edge
# w& [4 A. }( ~/ K. j• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills., ?0 u) j5 N. e0 o' X
• Develop and implement a comprehensive volunteer recognition program.
7 }% J( t9 L7 C- ]" C• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours." `* G5 y3 ^# V' h: A5 C0 ~! L
• Identify and implement best practices in regards to volunteer development.
! |/ v# y& }) @2 h• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities* d7 ]' n. Y5 x1 n+ Y, s. b& Z& T
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required& r+ m' ]0 E6 P0 I$ g

• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO' `) ~6 @6 Y h" v; f' J3 m. x
• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

ADMINISTRATION
& k( q& M! [- Z% B/ M• Develop and maintain job descriptions for each volunteer position h5 c" j; h. e6 {
• Maintain secure volunteers files in accordance with privacy legislation$ C* g( b3 N# l, M: Z) L) e4 a
• Provide feedback on volunteers’ performance, as appropriate
}% _5 A- {5 r" \& |$ y M [2 y• Ensure Human Resource policies and procedures are adhered to within the department+ b6 Q' A6 c5 Q& r3 @; p- a
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required 1 _& l. M$ m: o8 }; W, d ^( w# |
• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
% v9 V: d+ @6 ?# e) w/ g• Develop resource and orientation materials for Volunteer Services
* D/ U+ A) x1 F! e- x+ V• Maintain monthly and yearly volunteer statistics for reporting purposes* u: M, u$ b/ N7 H# O7 D3 p
• Prepare a regular monthly program report/ c9 M/ P9 \! B W& h8 X8 V; N

FINANCE
/ _0 q4 Z: }# S• Ensure the program operates within approved budget and be familiar with potential variances
) {1 K. ^8 K! k' b2 C6 p, c' n• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

• Act as liaison to the Y-Knit group of volunteers
/ q9 I } }# \$ G( a• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
+ M9 F3 S2 S/ d! d5 h9 N0 z• Follow up with correspondence to outside agency volunteers as appropriate
]( U N" t& j0 M: B8 l* i! |• Attend external functions such as volunteer fairs, trade shows, and special events as required- `' |0 D$ n/ b1 h/ O

• Minimum 2 years experience in Volunteer Coordination
* ?0 r% L; k; y8 I" n• Excellent organizational skills and multi-tasking ability! u3 H ^( h+ R1 o( Y, w
• Demonstrated superior volunteer supervision skills3 x& y! A# Q3 X
• Collaborative working style and excellent interpersonal skills
6 p" S3 j* f* O• Ability to work to meet deadlines and to work under pressure9 V8 h, J! w; w u( H: Z/ v
• Ability to work in a team-based environment, with cross-functional work teams on projects
