Job Duties / Responsibilities3 H6 x% g% W$ k% ~$ @
• Preparation of meeting agendas and taking minutes as required.6 k* M9 |" B6 k0 c
• Preparation (formatting, compilation) of Monthly reports/Warehouse management (BW) monthly reports.
/ U. `! w$ K1 U# a7 ]• SAP match reporting and monthly management
3 E. r5 i5 w- C+ l• Responsible for coordination and organization of office needs and supplies.! E+ V- J' I, E" U; C$ O
• Organization of company functions/luncheons as required.( F+ g7 q) X9 ^# l" B
• Coordinate network ID / requests for new hires, internal orientations.
. U8 j! `/ J% T% `1 d3 @• Train new Visa card holders ¿ Visa Administrator.4 l# S! \; K+ W1 J" z4 X
• Preparation of Monthly Visa Statements.* R( L' L# |! m" j4 K4 _
• Order business cards as required.
) T+ U; p& ~7 \$ P, s$ `5 N& T/ k• Maintain contact list, employee files (including expenses)
0 l8 t0 f( [( n- }. x3 `• Prepare travel approvals, books accommodations / meeting rooms / luncheons.8 F% b# A/ E8 X7 C+ \* L* |
• General filing, phones, mail distribution incoming / outgoing, mail shipping & receiving / distribution of material, courier tracking.. H! L" o8 v$ W. Z' W; N4 R
• Vacation relief for other administrative staff.$ {' D& ~# I( h! h+ s4 C5 s0 i
• Preparation, organization and record keeper for Maintenance Department training

Education / Experience
7 w( |; N- B, A3 Q% i• Grade 12 or equivalent
8 e" R0 F8 U) i- }, _• Proficient in Microsoft Office Products (Word, Excel, PowerPoint and Calendar)
+ r: n$ M3 }: v9 a1 Q4 ?* P• 3-5 years of related administrative experience: G$ M& U0 ]; w& ~5 M
• Keyboarding Skills ¿ 50 w.p.m or greater1 L5 _. I: @: [. n9 h
• A high level of discretion, confidentiality, and reliability is essential. 5 B4 S1 H' Z3 `7 m  p% \( X
• Attention to detail is required. 9 F' E, k) u9 c. G9 \- \0 P% \  q) P
• High level of customer service skills is a must.) z9 l* P0 A( y) h9 G7 Q: v( m
• Good planning and co-ordination skills.4 v5 y4 T: M( c, g7 K! x
• Shorthand/Word processing skills.
9 M+ N' G: Q9 V• Business Administration Diploma or relevant certificate would be considered an asset.
7 E, Z" Y" n/ K• Prior work experience with SAP is an asset.
