Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.% X1 j( Y- k( Q2 l% j9 O# D

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.' R6 ~+ A3 O7 L' R

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Maintain inventory of communication materials.

: s, I; ~4 `. ]0 X• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.3 z2 \4 r8 u8 }& p1 x. f5 V  Q

• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.: z& h2 ?# [9 \

• Support management of online publicity and communication tools.1 \, |3 s- ^5 u' ]2 b

• Manage database and support distribution of print publications.

; H3 \3 g  ]8 ?• Provide administrative support for public engagement events and mail outs.

/ D9 e$ @, B5 x! o7 G2 d/ Q• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.5 Y; D0 K* C: [* w7 m/ }% D( Q

Fund Development

• Provide logistical support for key fundraising events such as silent auctions" X# [. U/ [4 v9 H

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting' T' }- m1 [% o  E0 z: _

4 Z0 D; C" A8 |1 T" H$ l' V6 l( `• Assist in administrative tasks related to donor recognition and event reconciliation as required.- W$ s5 ^; h2 z# e$ z

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.

This position is Permanent part time (20 hours per week during regular office hours).
