direct line reporting relationship to the SU´s Manager of Programming  : l- C, Y: F% z. W6 |3 _1 B
and Venues.

ROLES AND RESPONSIBILITIES
" A  P& Q6 P6 R/ z& X  iThe duties of the Operations Manager - SU Venues are diverse and  6 W7 z. j1 i2 e# h
extensive, and are targeted at the all round smooth operation and  6 {) C9 j) f" ]1 h. Q6 _6 g
financial and operational success of the Horowitz Theatre as well as  
8 e4 y7 C# {( L$ t; R( c9 i, |the logistical organization and smooth rental of the additional  # A7 u4 [- O! _( |# z; I; V  r
venues within the realm of the Students´ Union.  In the light of that  
7 ]% D2 x3 A; e+ h7 gbreadth and complexity, it is not possible to fully define or  3 f) o6 J, |- m7 d9 R) O' g0 Z
describe all roles and responsibilities in a document of this kind.   ! G) v" ^: c# u
However, the main roles and responsibilities of the Operations  
- R6 _3 K$ O: ]% u( uManager are as follows:

1.        Space Roles and Responsibilities% K" f5 t" S$ n

7 g* k. z/ b. V% B( u; aa.   To ensure, at all times, that the venues listed below meet the  
, @0 a! M$ O$ |6 n  wappropriate standards, requirements and needs, and contributes in a  " s8 B' S5 T7 y5 [
positive way to the smooth operation and success of the individual  1 e( B4 B. B! b
renter.- d1 l" F" ^8 i% i5 H
·     Myer Horowitz Theatre  {! j8 Y7 p+ h6 y9 O: o3 E' H
·     Dinwoodie Lounge

; X! h% n# a  r& s) Bb.   This includes, but is not limited to, the following:
- R. V. g: y3 b6 p·     To plan the capital and supply expenditures to meet the  
' J3 g" R6 }9 |- v7 s- rproduction and facility requirements.
( _9 t- h, h$ Y; q  m; c·     To ensure the day-to-day compliance of the venues with existing  
2 n. N8 t6 V0 K% }2 ]+ X7 l4 {" X- E. Vsafety regulations and building policies.
, F7 I' E# y% N" ], N2 GTo ensure that the maximum potential of renters is met.

2.        Marketing and Promotion
. K- o8 d8 A( k+ T
  l* J5 U! V- Q0 Ia.   To develop and implement a marketing plan for the venues that  
( e# b9 b4 }6 o- D& Cfocuses upon advertising and promoting the venue to faculty,  
9 L7 V2 `" Q9 J. s/ D) L! Astudents, and internal and external clients on an on-going basis.  9 u' L7 |% v# P- u. Y# N4 \
This strategy will include implementing and/or delegating the following:. }  K6 Q9 h# ?/ I; h3 [  c0 }
·     To develop and maintain promotional materials, the Horowitz  ( M- q  ^9 k2 n
Theatre and SU Venues home page, newspaper and other advertising; to  
6 h8 H  R# b$ h: U: S# o0 Ytake advantage of other internal and external advertising  
; Q0 V$ o. P" N, @+ f$ ^! t9 H6 topportunities; and to develop press releases and other promotional  
. _4 b" \* h# d# x4 |literature on an ongoing basis.# u# P! b! c8 k, Q
·     To coordinate tours of the venues for potential renters.
8 {1 z) C0 f% \  F# C·     To promote upcoming events in the Horowitz Theatre through the  
  B7 u' M/ D* b' i4 S  W: O! Zuse of the Horowitz Theatre Home Page and the SU Events Calendar.4 E' ^0 g% M1 Q
·     To develop new external clients for the venues.

8 Z1 k2 _3 d3 E6 T0 F4 l/ Q+ M* q
3.        Staff and Supervisory Roles and Responsibilities
) d- t: R6 I' u0 y  Q3 L: \3 k+ I% @3 }& E, F" g
a.   To ensure, at all times, that the venues are adequately and cost- 9 r8 m( E! s+ N; Q. y, a
effectively staffed, and that the staff utilized by or within the  
: k# d1 L; y% d# n+ O  hvenues meet the appropriate standards, requirements and needs, and  ; W# q$ Y0 q4 V
contribute in a positive way to the smooth operation and success of  ' S. r+ K9 R9 i/ S1 j& C$ [7 H" M
the renter´s events. This includes, but is not necessarily limited  
# q3 ^5 Z8 J0 w, ~/ v& Uto, the following:
9 a. G% y6 \4 g1 X, M/ D0 @·     To be responsible, under the direction of the Manager of Venues  & U0 r4 `% h0 w7 i) {- m
and Programming, for all staff issues including hiring, disciplining,  
8 n. T( F" C# Levaluating and terminating, as necessary.
1 E1 }# j8 j: D To ensure that the Horowitz Theatre is adequately supervised at  3 X) L$ v/ N: [* Q" @. t; F" S7 L
all times, this includes the development and implementation of such  
* j3 z# |2 ?% e: j2 bschedules and rosters as may be necessary to ensure the effective and  
3 \' v$ S2 k! n4 @' L1 s  Acost-effective supervision of the venues at all times during which it  9 A3 T2 J  |% f# q# c# Z
is in operation or needs to be in operation.8 p: j6 p0 ^3 ^3 W/ ?1 F& W, U
·     To work with the Technical Director, when necessary, to ensure  7 z; E" X! Y* g7 {4 u' z. B' y3 q
that an adequate and appropriate level of part-time staff exists to  
2 y+ y+ Z7 a+ |3 R9 X' Wfacilitate the smooth operation of the venues and to ensure all  
' J; L/ G6 S, u5 rrenters needs are met.
" `* w/ N' C2 v·     To work with the Technical Director to ensure that the skills  * X( o- F* R7 R! R
and attitudes of all subordinate staff are appropriate in light of  
' ?" q: ]- R% ~# b. o- `+ D' K1 `7 `the roles they must perform. This includes providing adequate and  
1 E* a2 W, N( d, O8 z8 K) \effective training (and re-training) in all applicable and  9 W" `+ T7 E' @5 V- H' ~
appropriate areas, and ensuring that the Policy and Procedures manual  $ \, ]" V9 k# _- v8 {- U
is kep up-to-date at all times.) O, g( i7 s; c, w1 y  S- D
·     To ensure all staff are trained in and committed to providing  
! i0 @0 K$ ?$ v0 Iexcellent customer service to all renters.
" m, E' V  E: [: S·     To work with the Technical Director to arrange staff  2 Y) x) E' p, x. N* }$ o) `% P. M
scheduling.  To handle payroll related matters, under the guidance  , H% k( S$ ~$ }0 e
and direction of the Manager of Venues and Programming, concerning  
  |5 @7 Z8 i) Athe staff of the venues.& B7 j! S8 U* p
·     Working with the Manager of Facilities and Operations to ensure  
! k) r* g9 N! S5 V3 J6 @the appropriate setup/tear down of each venue.3 g4 p+ X( p& i5 Y, G. U/ p, S
·     Working with the Manager of Programming and Venues to ensure  
% T4 K2 ~  h/ `& u) b: {! r$ othat additional requests such as licensed receptions are arranged.; N8 o" Z+ f, T

2 s  Y* m1 ^4 ~2 _5 j) v% P4.          Overall Financial Performance
) Z& D, ?: I& O4 s
, O9 T# l' m/ |0 b% pa. To ensure, at all times, that the Financial and Administrative  
7 e5 n% r& Y( c2 n; X" Esystems and processes utilized by or within the venues meet the  % p  q4 R" w# B1 t! i; V
appropriate standards, requirements and needs, and contribute in a  - ]# F: u8 U( g. N% x
positive way to the smooth operation and success of the venues. This  ! U: {6 ^& ?; e& t/ t2 i
includes, but is not necessarily limited to, the following:
4 d" x2 K5 R& O( P7 F2 ^ To provide input and expertise in the formulation of appropriate  
% n$ U  L0 N/ g0 ?  d0 I( B' `  E& I; coperating budgets covering the venues to the SU´s Manager of  
2 C0 c9 x  m- w  `# [+ OProgramming and Venues and to discuss and refine those budgets  & G1 W- \1 {8 Q, C+ j6 o
Manager of Programming and Venues, and Manager of Finance &  ; O: j9 t% ?. V
Administration prior to their submission for final approval.
- Y! N0 [9 a9 w·  To manage the venues in a manner which adequately and effectively  $ m; |+ \, {- @
reflects the budgets approved for the venues and/or which reflects  $ q$ R$ w9 z! K/ K/ L
the best interests of the venues and the Students´ Union.
- O6 f. |. G3 {1 Z7 P& d! ]. ?·  To function as the key player in the submission of financial and  0 m# N3 R% Y+ c+ j# J! v. @
administrative documentation covering the venues to be used in the  $ |- X8 P" Y, O) r3 n
compilation of monthly and annual financial statements, and such  
& p) m( H+ s. Zother reports as may be necessary.. ]1 \! i2 q1 r) m! X# a: Z
·  To discuss those financial statements and other reports, together  
0 d* ?5 T) d5 e( t+ u. X7 N* m/ vwith all financial and administrative procedures, with the SU´s  : v$ d# j# {7 s( U3 `3 E
Manager of Programming and Venues and Manager of Finance &  
' ?( L) G1 L7 W# Q& N% U# DAdministration with a view to determining and implementing action  
3 l9 Q. `" y) Z, ^4 [6 yaimed at improving the financial and/or functional effectiveness of  . N5 s2 v* h7 G4 a3 W) N
the Horowitz Theatre.4 p/ a+ D1 \9 `- S
·  To ensure the existence of adequate, effective and accurate job  
3 Y1 N0 D" A* g3 |costing systems to be used in connection with the determination and  
5 j0 `  d8 P2 R: B" [) L: q; a7 fsetting of appropriate prices for rental and staffing rates for  
3 O0 J$ t, {& m6 kevents held in the Horowitz Theatre.
4 ?+ Y% b9 K* A/ ?% o2 _·  To develop accurate documentation to be used in connection with  $ S+ Q3 |, p* H" _3 y  S
the billing clients, and to forward such documentation in a timely  
" ^" e7 L; D) C( v2 u" {1 e/ qmanner to the Accounting Department.  I5 m; b/ i5 l$ O. l
·  To recognize, address and handle all matters relating to financial  0 f( k" _% `8 v1 s. l$ v6 Z
and administrative procedures and systems in a manner which reflects  
' _# s7 e% M; D/ o/ E# A; f; m7 ~, Nthe requirements of the SU´s Manager of Programming and Venues and  
3 ~. W* ^7 c8 h: y: K% Z: lManager of Finance and Administration, and in a manner which  2 `& u! T! p" ~4 m* o8 k
contributes positively to the smooth operation and success of the  ! o1 R+ o5 i2 ~) v
venues./ ^! i3 ~7 Y7 E. U3 Z

5.          Overall Roles and Responsibilities
8 F$ f: u' G. p4 U" }; A6 [- Aa.   To ensure, at all times, that the systems and processes used in  ( B  S- Q: ~5 h
renting the venues meet the appropriate standards, requirements and  
2 y" @+ T0 A6 [3 {+ Z# p$ s# b1 b5 @needs, and contribute to the smooth operation and success of the  6 W! ]' i+ a4 a
venues. This includes, but is not limited to, the following:
. h2 B4 ?0 f; Q0 j% L
/ j! K8 t4 @6 x·  To recognize, develop and set in place such rental procedures as  
  I" [1 |" f7 c) }8 J+ s1 c9 a  Imay be necessary to ensure the smooth operation of the venues, this  
8 X/ N5 l* f# o& Z' X# eis to include but not necessarily be limited to systems and processes  
& g( c. h0 o" ]+ I* Cin the areas of contracts, inventory management, contract evaluation,  
( Z& o: k/ K$ Q% }4 Ppricing, costing, equipment usage, rental/contract invoicing,  
! q$ [! w5 P. ?+ H8 \/ G- mtogether with such other systems and procedures as may be necessary  
. u5 v9 ]- C4 F  R5 c6 r! Rto ensure the smooth, secure, efficient, cost-effective and  
) P) j" j/ O8 Q8 f" A& efunctionally-effective operation of the Horowitz Theatre.
/ P9 F- ]) q* E3 W·  To recognize, develop and set in place such operational procedures  
# [, `; N% Y* G& ^) Uas may be necessary to ensure the smooth, efficient and cost-
( }" N! K7 d1 J1 geffective operation of the venues.
$ m3 q. Q( c* N; S  i6 Q! E·  To negotiate rental lease agreements (contracts) relating to  & U8 h2 Y' o- B; C
dates, rates, staff and miscellaneous charges.
& ?* i5 r9 W: `# A/ r0 s·  To ensure that adequate inventory is available at all times and  % T, n' f/ ^# [3 `4 `6 j: B2 ~$ a
that such inventory is stored and issued in effective and secure ways.
# L  D2 S; @( R4 }' I5 H' S% g·  To consult with renters as to facility issues in producing their  ) D4 v7 |# |( n( a  P3 t
particular event in the venues." n2 ?1 w; {' x3 m( ?7 ?" ?/ |
·  To provide the venues on-site staff with such documentation and  - C% u* Q- [$ @2 x
supporting information as it may need to effectively fulfill the  : `9 g, ^; o5 k
roles they are to perform to ensure the success of the renter´s event.$ A+ O4 ^& u9 P& W5 e) D! c+ x
·  To produce quotes in respect to staffing costs for a particular  ' e5 V7 b, W- u4 Y. S
rental with consultation with the Technical Director.4 {& ~5 z) X  m% i% k8 q/ I! s3 z4 {) w8 v
·  To ensure that all queries raised with the venues whether from the  
* ^4 v2 o" ^8 O2 lSU or renters, are promptly and effectively handled and adequately  3 l" Y3 M( k- B' b+ R2 K) ]
answered, and to ensure that such action as may be necessary in  6 x" j) O. g' E' `6 r
follow-up to such queries is taken in a timely manner.
1 f2 @0 o. t" I. Y* b9 H" R! q3 q! { To ensure that the venues and its capabilities are adequately,  
2 F' h4 s4 I$ e+ O2 veffectively and cost-effectively advertised and promoted, and that  
) I' S3 K6 V8 _6 gthe cost of such endeavors does not exceed the budgetary provision  
% U5 E5 M9 m, @# rmade for them unless prior approval is given by the Manager of  2 ^4 L$ b1 q- v4 J3 H5 d7 @2 m0 s% u
Programming and Venues.0 T7 a) f3 \, _% a, D" `' l
·  To act as an informed and knowledgeable resource in the case of  4 t. K: L9 j( C1 P
significant challenges and/or problems surrounding the tasks of  
) X' G/ Z$ I' `* ^' D" Hmarketing, administration, operations, and any such other matters as  , M8 p0 G: o4 Q
may provide such challenges and/or problems.+ q( n3 }8 `5 z0 K5 c% [
·  To attend such meetings as may be required to support the smooth  
' I  _. d6 ~# U" }- |! S% uoperation of the venues or the Students´ Union as a whole.' I/ R" t0 Z# ?8 z; j
·  To perform other job-related duties as may be required by the  & p4 Q! H  r* g; B( }
Manager of Programming and Venues in order to ensure the smooth and  4 o6 X5 N( d( Y! ]% {( q0 `

·  To recognize, address and handle all matters relating to overall

3)             Ability to create new initiatives with little or no
