financial and operational success of the Horowitz Theatre as well as

venues within the realm of the Students´ Union. In the light of that

2. Marketing and Promotion

1 @$ L- s, e) y5 o: ^) Fa. To develop and implement a marketing plan for the venues that
( D! O9 ]5 _' X5 w- x' Afocuses upon advertising and promoting the venue to faculty,
$ @; P: Q: j# l$ x5 H$ Wstudents, and internal and external clients on an on-going basis. 4 X$ o% ?8 ?' B9 T2 p
This strategy will include implementing and/or delegating the following:, J: W1 P, r; B, `( ~1 \; R
· To develop and maintain promotional materials, the Horowitz
' j( \$ g- l9 DTheatre and SU Venues home page, newspaper and other advertising; to 1 s# X: ?: S, T0 p# x4 Y/ V/ I8 l
take advantage of other internal and external advertising : b$ S, n+ j# `1 W- J5 _7 v
opportunities; and to develop press releases and other promotional
" f, \0 n0 w6 gliterature on an ongoing basis.
% n' ~6 X( g; [$ T, Z! X· To coordinate tours of the venues for potential renters.
" S5 z6 O T4 p `· To promote upcoming events in the Horowitz Theatre through the

· To develop new external clients for the venues.

3. Staff and Supervisory Roles and Responsibilities2 _* t$ O- ]! e& M- C3 K

a. To ensure, at all times, that the venues are adequately and cost-
1 O7 F6 i, K6 Y' u( o oeffectively staffed, and that the staff utilized by or within the
4 t" d& w4 U* e* {8 |9 Z& |" T5 z. M; xvenues meet the appropriate standards, requirements and needs, and
. }; [3 U) ?. Ocontribute in a positive way to the smooth operation and success of
5 P$ p7 G5 D2 jthe renter´s events. This includes, but is not necessarily limited
' _: {9 `+ p' \to, the following:
$ ~3 l! x2 K1 C+ d, Q f; a· To be responsible, under the direction of the Manager of Venues
+ [. I) D3 A) Z8 O2 Vand Programming, for all staff issues including hiring, disciplining,
& U3 } R9 b5 i" Eevaluating and terminating, as necessary.5 L3 y2 G* |5 V, l; v: a/ d5 h5 ^
To ensure that the Horowitz Theatre is adequately supervised at . X) a! V) |+ |. m: E3 O1 F- {8 `; \. l
all times, this includes the development and implementation of such 3 t1 s* R. P$ R4 H5 K/ R/ Q
schedules and rosters as may be necessary to ensure the effective and
' M$ S7 E; p4 O, M* b7 O3 L5 kcost-effective supervision of the venues at all times during which it 2 _- X( s/ ~/ u4 I
is in operation or needs to be in operation.
' c* m6 u; \8 t& C6 V8 R1 }· To work with the Technical Director, when necessary, to ensure ! F: z/ `* a( J+ v- c/ v
that an adequate and appropriate level of part-time staff exists to , t( N7 a% ]) F
facilitate the smooth operation of the venues and to ensure all / j! B* S. h$ o* P
renters needs are met.) f! J6 y1 @8 \- u5 J7 O
· To work with the Technical Director to ensure that the skills
- s( I. U* w0 Y0 I7 oand attitudes of all subordinate staff are appropriate in light of $ K$ K7 R# U: r4 b" d
the roles they must perform. This includes providing adequate and
) I0 I6 S! U5 L& e8 [( l( e& c9 Heffective training (and re-training) in all applicable and
7 j# ~/ T- a) r: K# W3 P! W2 m. Happropriate areas, and ensuring that the Policy and Procedures manual

· To ensure all staff are trained in and committed to providing ; y3 B/ y5 P; C) o
excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance

· Working with the Manager of Facilities and Operations to ensure

that additional requests such as licensed receptions are arranged.

To provide input and expertise in the formulation of appropriate 5 g& h; p. r3 j; s; E) `
operating budgets covering the venues to the SU´s Manager of
8 n9 p$ b4 z5 a5 H" y* r n7 jProgramming and Venues and to discuss and refine those budgets - X, I6 n, _/ L1 x# Z$ o/ r
Manager of Programming and Venues, and Manager of Finance &
a+ V) l) W! _- e4 j% IAdministration prior to their submission for final approval.

the best interests of the venues and the Students´ Union.

administrative documentation covering the venues to be used in the

· To discuss those financial statements and other reports, together

Administration with a view to determining and implementing action

setting of appropriate prices for rental and staffing rates for 2 F2 n# e7 n0 O3 Y" {' G

· To develop accurate documentation to be used in connection with ( q) i4 G6 L! M# P5 @( |2 Z
the billing clients, and to forward such documentation in a timely

· To recognize, address and handle all matters relating to financial

the requirements of the SU´s Manager of Programming and Venues and

venues.

5. Overall Roles and Responsibilities

needs, and contribute to the smooth operation and success of the
- m8 }% U6 a: P6 {venues. This includes, but is not limited to, the following:& I* n5 J- t0 _5 I6 ^8 j% @* `4 _$ G
5 g) l: C. w# s& z· To recognize, develop and set in place such rental procedures as ) y9 N4 D) F$ C" L3 i" \
may be necessary to ensure the smooth operation of the venues, this
0 w2 f! r( C8 Z1 {4 Z/ ^$ nis to include but not necessarily be limited to systems and processes + U2 q3 G5 ?( K
in the areas of contracts, inventory management, contract evaluation,
3 A$ p3 p4 m# m3 w3 G2 `pricing, costing, equipment usage, rental/contract invoicing, ( y& P L1 g, h9 S3 n" z
together with such other systems and procedures as may be necessary

functionally-effective operation of the Horowitz Theatre.
" O; I) a/ O4 [6 ^' D· To recognize, develop and set in place such operational procedures
5 S. c$ h6 A$ F6 K# vas may be necessary to ensure the smooth, efficient and cost-
: R$ \7 ]2 }+ R Xeffective operation of the venues.
: ~ s1 L a( j( Z/ p! V· To negotiate rental lease agreements (contracts) relating to
) h! D! ]/ G' M- D- Kdates, rates, staff and miscellaneous charges.
! |, ^$ e0 ]$ h4 c· To ensure that adequate inventory is available at all times and
7 _0 l; b/ p: N6 ], mthat such inventory is stored and issued in effective and secure ways.
' [1 k3 l9 z7 @3 O0 H$ ^· To consult with renters as to facility issues in producing their ! F8 J: r- i5 |" T
particular event in the venues.& B; }- O% S4 s! N7 w6 v9 h& u. A- A
· To provide the venues on-site staff with such documentation and
+ e# Q j; i$ Xsupporting information as it may need to effectively fulfill the
: y6 P9 m' D, b$ B/ ~" f6 v0 Uroles they are to perform to ensure the success of the renter´s event.
: C' z" G+ A! [. n# W6 p) d+ e· To produce quotes in respect to staffing costs for a particular 2 `2 l) g) e/ s
rental with consultation with the Technical Director.$ @0 j+ I% y7 g
· To ensure that all queries raised with the venues whether from the
) t5 C+ H7 F1 f1 ~ a1 K( xSU or renters, are promptly and effectively handled and adequately
5 m* {2 K! p# Z) c ~: x2 Fanswered, and to ensure that such action as may be necessary in 8 Z$ Q3 ]* o; i; u/ U
follow-up to such queries is taken in a timely manner.) u: t4 r B: }; e" w
To ensure that the venues and its capabilities are adequately,
- c. } D5 x9 N7 z) K1 l9 X- Neffectively and cost-effectively advertised and promoted, and that
' t3 G% e" ~* v5 J- B& a* jthe cost of such endeavors does not exceed the budgetary provision 2 H! `+ Z& `& O4 |4 o- o
made for them unless prior approval is given by the Manager of 4 v3 `+ x8 i2 V8 D* v
Programming and Venues.
& F) E. E5 g. ]0 N! @0 m· To act as an informed and knowledgeable resource in the case of
' b7 `: @9 ]- q. }3 }# f* {4 fsignificant challenges and/or problems surrounding the tasks of
& ]0 t H7 e1 emarketing, administration, operations, and any such other matters as
8 k8 r: T! }' [5 y( X! V. u% c# Vmay provide such challenges and/or problems.1 F$ L. f1 d6 I; v7 E7 ~
· To attend such meetings as may be required to support the smooth " r8 V6 r5 W7 S( K
