+ W7 [; {7 U8 \5 hThe duties of the Operations Manager - SU Venues are diverse and  
) \1 F* S0 g5 H! B4 U) ]5 ?+ h3 Gextensive, and are targeted at the all round smooth operation and  $ ]& X5 a6 _8 i5 }( Z
financial and operational success of the Horowitz Theatre as well as  - S" I: N4 H( |; k/ ~4 o8 i
the logistical organization and smooth rental of the additional  
/ S9 m4 K1 c7 S- a& Q- fvenues within the realm of the Students´ Union.  In the light of that  " q1 W& v2 L/ b+ V
breadth and complexity, it is not possible to fully define or  " `( @5 i; q3 e2 z2 T
describe all roles and responsibilities in a document of this kind.   
  y9 h6 n, h) c- h% ?0 h+ kHowever, the main roles and responsibilities of the Operations  
4 i4 ]6 D2 q' U+ A4 p' gManager are as follows:

1.        Space Roles and Responsibilities. N9 T! {; x6 k, m- R

- p5 h5 h- ^- w6 `2 L3 x+ ]; ^! ga.   To ensure, at all times, that the venues listed below meet the  
8 I' m9 U% D: W8 d9 t* }+ Q: ~( Sappropriate standards, requirements and needs, and contributes in a  
8 ~* ]6 i$ q2 [) c4 J- gpositive way to the smooth operation and success of the individual  # N0 s2 r0 Q$ D  _, S
renter.$ l7 g1 u: {; X9 Z: y
·     Myer Horowitz Theatre. L: w' g( _0 j& @7 o" ]
·     Dinwoodie Lounge% n. G& r% E5 |* V& z
·     SUB Stage+ D& v/ @4 Y2 A9 T4 _. e3 a
: k. @4 R8 f9 C. L# g9 `
b.   This includes, but is not limited to, the following:
% W- z# n  s% j% X% k4 T·     To plan the capital and supply expenditures to meet the  , T3 a5 L6 Q- ?0 h& G* [
production and facility requirements.
# d( j: [. b2 \+ t·     To ensure the day-to-day compliance of the venues with existing  
: E$ ^7 {8 ], Q. V5 v6 esafety regulations and building policies.
$ X! k! W* `3 k9 B1 t; n' JTo ensure that the maximum potential of renters is met.

2.        Marketing and Promotion% o* e4 E1 [0 m

; a4 @3 E+ q9 [: m# o" fa.   To develop and implement a marketing plan for the venues that  : j! S+ E0 U8 ?3 n
focuses upon advertising and promoting the venue to faculty,  
  i$ T$ [0 {" l3 i) D, Tstudents, and internal and external clients on an on-going basis.  7 I/ m& Q  y) O1 d; g
This strategy will include implementing and/or delegating the following:2 q" ?4 I2 m) o' W4 _+ Y: w& O
·     To develop and maintain promotional materials, the Horowitz  
! B0 ]& b9 [2 ]  B" h1 gTheatre and SU Venues home page, newspaper and other advertising; to  
' p/ x6 Q4 d# k/ Z" t# ?" atake advantage of other internal and external advertising  % o) c# X& S3 a& w6 U# j4 m
opportunities; and to develop press releases and other promotional  : U3 P4 S9 _( V
literature on an ongoing basis.
% n6 j# n! Q6 C/ u7 [+ U·     To coordinate tours of the venues for potential renters.
- s2 U7 `9 o& X* {" M) S·     To promote upcoming events in the Horowitz Theatre through the  
' D: _" [4 i2 K. W1 Z. e4 O. S# Q1 `use of the Horowitz Theatre Home Page and the SU Events Calendar.  L+ _2 U8 |0 c' W" q4 J; d& I
·     To develop new external clients for the venues.

3.        Staff and Supervisory Roles and Responsibilities
. n; b+ E+ N7 k! Z* `) @+ X" m+ r
a.   To ensure, at all times, that the venues are adequately and cost- - E0 Q9 P: u' V* |0 t" q
effectively staffed, and that the staff utilized by or within the  
* f) j! o+ J1 F2 zvenues meet the appropriate standards, requirements and needs, and  
4 t6 \+ i8 P; i# J  c; w) Wcontribute in a positive way to the smooth operation and success of  
; Q+ {! f% _. e/ a/ B0 T% j3 p- |8 zthe renter´s events. This includes, but is not necessarily limited  4 W, O9 a# D+ C# a, `/ z# V0 B- \/ R
to, the following:- V- n" `! H: f( ~3 G) E4 j
·     To be responsible, under the direction of the Manager of Venues  
  A4 z4 o7 `8 b* O3 gand Programming, for all staff issues including hiring, disciplining,    x, N5 u4 s) x8 ~5 C3 B, {2 N
evaluating and terminating, as necessary.
* s5 D4 \! b/ V3 B# A4 W5 q To ensure that the Horowitz Theatre is adequately supervised at  
5 Y* S5 o$ V7 D/ v& E+ C! `all times, this includes the development and implementation of such  
) {) a* M0 t9 d) Cschedules and rosters as may be necessary to ensure the effective and  - T2 Q. k0 q! ~" ^) ?6 |$ M7 e1 ~
cost-effective supervision of the venues at all times during which it  
" T8 N* j: c" c( O' jis in operation or needs to be in operation.6 ?  I! A3 u! M/ h% ^1 m  p
·     To work with the Technical Director, when necessary, to ensure  
1 W, V  ^# N5 qthat an adequate and appropriate level of part-time staff exists to  2 h" z/ ]9 E7 V1 @7 ?
facilitate the smooth operation of the venues and to ensure all  
% P: s3 t3 u, }' l# A! yrenters needs are met.; c$ k& |5 d- v: q  y7 M5 m, u- v' y
·     To work with the Technical Director to ensure that the skills  $ f: v7 ^" m4 U3 i& v
and attitudes of all subordinate staff are appropriate in light of  0 w! ]4 p0 J6 T' b- @# {* l  {
the roles they must perform. This includes providing adequate and  4 ?0 V! Q4 _% \4 Z+ T/ e7 P& h
effective training (and re-training) in all applicable and  . _3 [; V# B* n/ j( E1 Z
appropriate areas, and ensuring that the Policy and Procedures manual  
( ~/ F8 y  t4 f. ]( `$ zis kep up-to-date at all times.
# _; R. s$ B4 F' o  `1 x+ i; s·     To ensure all staff are trained in and committed to providing  
& ?0 T; Q! ?$ c* c1 M7 m2 ]excellent customer service to all renters.
. t  c4 _8 w' W·     To work with the Technical Director to arrange staff  , f0 }1 s) N5 F) ~7 ~
scheduling.  To handle payroll related matters, under the guidance  6 q# f7 I$ X; r* G
and direction of the Manager of Venues and Programming, concerning  
  Z& |+ }1 K7 Z- m) Kthe staff of the venues.
3 I( [1 Z' c$ {4 L6 d/ O·     Working with the Manager of Facilities and Operations to ensure  
% K: P  G- f6 S0 J2 [the appropriate setup/tear down of each venue.
4 ]! I$ D+ \' X: i8 O# X·     Working with the Manager of Programming and Venues to ensure  , N/ N) J( g  |7 i. Z0 Z2 O. R
that additional requests such as licensed receptions are arranged.( F3 N8 ^  r" G1 p

7 D3 A+ x) m" E3 @" v$ N4.          Overall Financial Performance1 K* v6 U5 W) n) z4 K. F+ {

: V9 s. e. I# s' c( @/ qa. To ensure, at all times, that the Financial and Administrative  8 N* l8 W$ Z/ ^5 h* q( C3 X/ V; W
systems and processes utilized by or within the venues meet the  * C7 z5 i( T: ^5 F+ ~& }) y
appropriate standards, requirements and needs, and contribute in a  / O; C% [$ W% A$ U
positive way to the smooth operation and success of the venues. This  
% o) a' w0 {8 F/ T3 h. j9 Y* q& aincludes, but is not necessarily limited to, the following:
. Z( Q4 H" x* b9 j* E% d0 F. ? To provide input and expertise in the formulation of appropriate  
- K! p  x! D7 i* q. x8 K" Qoperating budgets covering the venues to the SU´s Manager of  
0 o8 y8 A: l/ C6 u& G2 |Programming and Venues and to discuss and refine those budgets  % D% J; ]7 S/ d
Manager of Programming and Venues, and Manager of Finance &  
/ ?- a4 [4 \' t; ?1 A4 G* _Administration prior to their submission for final approval.4 Q8 F! b; I. n" e9 [' l" A% t
·  To manage the venues in a manner which adequately and effectively  
$ U+ I6 w7 R& J+ V: Lreflects the budgets approved for the venues and/or which reflects  
9 J& ^- y' U& T" D5 g$ s2 Cthe best interests of the venues and the Students´ Union.+ m4 E8 R4 ?3 {4 r# s
·  To function as the key player in the submission of financial and  " ^6 k3 q; G, q
administrative documentation covering the venues to be used in the  , |& \+ q! W9 _+ w
compilation of monthly and annual financial statements, and such  % I! N+ Y! L( n3 m
other reports as may be necessary.
( i3 q- K: F' G7 ^/ @·  To discuss those financial statements and other reports, together  ' \  F9 H& }. s! P- a9 A, Y" c
with all financial and administrative procedures, with the SU´s  
4 V! Q$ [0 w. J+ R% t5 ~Manager of Programming and Venues and Manager of Finance &  
, c' T' q3 b5 h+ H7 k/ S9 p, s5 I' }7 Q$ @Administration with a view to determining and implementing action  . p1 D/ V. n8 R5 }1 B0 s
aimed at improving the financial and/or functional effectiveness of  4 S+ F* w& x) }  S5 I' f  Z
the Horowitz Theatre.
* d+ j- i$ p. ?·  To ensure the existence of adequate, effective and accurate job  , X% _/ u" p4 A0 `$ r
costing systems to be used in connection with the determination and  , m, H5 }3 T# h5 s, l4 n0 p' g
setting of appropriate prices for rental and staffing rates for  
9 g' ~# J2 A9 [' m& {events held in the Horowitz Theatre.
# j8 U/ ?/ F# c9 P* g. r8 |: D·  To develop accurate documentation to be used in connection with  $ m' r/ r0 c6 H
the billing clients, and to forward such documentation in a timely  
- H  {# \6 ?/ |( }* n) V: xmanner to the Accounting Department.2 @" E# f: |0 ^* b
·  To recognize, address and handle all matters relating to financial  
6 H& _7 \, t. G" P3 d+ Mand administrative procedures and systems in a manner which reflects  4 l' d* E: l* t# F; h
the requirements of the SU´s Manager of Programming and Venues and  
0 ?* H  L6 r) ]Manager of Finance and Administration, and in a manner which  
& }- ~1 V( _. u) D: p% o% {contributes positively to the smooth operation and success of the  
( H% G: W! a. e' Gvenues.

5 m$ W5 E2 Z( X9 t5.          Overall Roles and Responsibilities
3 q9 T* I& J/ c8 j) c3 }2 k" xa.   To ensure, at all times, that the systems and processes used in  
0 g3 G9 ]+ I7 P7 R6 Rrenting the venues meet the appropriate standards, requirements and  ) M8 |& b) f8 u* s8 l: L4 u7 M, ?
needs, and contribute to the smooth operation and success of the  
+ c5 E" Y2 m' P; z- T' [9 evenues. This includes, but is not limited to, the following:7 {$ r. O- v4 E+ W
7 C5 }( [/ \- {# R# l  X
·  To recognize, develop and set in place such rental procedures as  ' {4 A+ L3 ~3 D, @2 n/ i1 a
may be necessary to ensure the smooth operation of the venues, this  
  S, B6 _/ t/ g$ ais to include but not necessarily be limited to systems and processes  
2 ?. `- V, O8 _4 ?in the areas of contracts, inventory management, contract evaluation,  
' i; `, G$ B9 ]6 z- F9 F4 ^, v  ypricing, costing, equipment usage, rental/contract invoicing,  3 Y- T; \8 s  a2 P0 [- H8 D: Q4 B
together with such other systems and procedures as may be necessary  9 a& t& q- W" |/ K+ X+ Z
to ensure the smooth, secure, efficient, cost-effective and  ' e2 T1 K6 r; j% P2 R
functionally-effective operation of the Horowitz Theatre.
5 c7 w, p+ h! ^) l9 U, y/ y% f·  To recognize, develop and set in place such operational procedures  
2 ]; G$ I% |* q) C# ?, n! was may be necessary to ensure the smooth, efficient and cost-
/ |1 j* s# c4 M" R; m0 N8 }; Beffective operation of the venues.
& N- t( K4 U, Q4 p. a·  To negotiate rental lease agreements (contracts) relating to  
5 Y5 i3 r5 l9 n! m& n& o( ydates, rates, staff and miscellaneous charges.+ T% s; t/ \  A9 r7 @# F7 {
·  To ensure that adequate inventory is available at all times and  3 c4 [/ D' V& y7 h9 `7 q
that such inventory is stored and issued in effective and secure ways.% O  k8 W9 K; a
·  To consult with renters as to facility issues in producing their  
$ F9 m( g* {1 N5 v% a6 N, Pparticular event in the venues.
- b* H/ G: Q. I" B" v·  To provide the venues on-site staff with such documentation and  ) ?3 Z& {8 J6 X: s7 i( l$ e- j
supporting information as it may need to effectively fulfill the  
; S* B! L7 L: j& S6 p; `4 \roles they are to perform to ensure the success of the renter´s event.
) U6 I1 }# ^' T! P/ N  F' u6 G+ b·  To produce quotes in respect to staffing costs for a particular  
% ?& A2 o+ k* H8 }. T+ \3 zrental with consultation with the Technical Director.1 c5 v: E& h8 |+ Z( |, k
·  To ensure that all queries raised with the venues whether from the  
) u. }, p8 [; B9 g: O! }( TSU or renters, are promptly and effectively handled and adequately  5 d, X; G/ X) J  x' r
answered, and to ensure that such action as may be necessary in  
# g5 N# W. F  M% D& o6 M- k( Mfollow-up to such queries is taken in a timely manner./ j- A, }$ r" ?& N9 @3 d" J" A
To ensure that the venues and its capabilities are adequately,  
: _& w6 {8 h$ Meffectively and cost-effectively advertised and promoted, and that  
) d/ K. n% c: q7 _2 ]( B6 U1 ?the cost of such endeavors does not exceed the budgetary provision  
3 B) |1 H% u+ l- b* j2 I/ [made for them unless prior approval is given by the Manager of  6 [8 G# Q# C  y+ S: W7 d% ^/ Z
Programming and Venues.
' \9 J' a  D' f8 z1 l  O·  To act as an informed and knowledgeable resource in the case of  
, ~2 }# @; q5 s  ?significant challenges and/or problems surrounding the tasks of  
3 I5 ~. ~8 _. P* k% d( a$ o9 qmarketing, administration, operations, and any such other matters as  ( n  ]* K& a( v9 [; n1 w5 {
may provide such challenges and/or problems.
3 l% B+ B8 i- f; @( i2 U·  To attend such meetings as may be required to support the smooth  
1 ^  v8 E$ v4 K) }' A+ coperation of the venues or the Students´ Union as a whole.# q# W& o! }6 Y" _- L
·  To perform other job-related duties as may be required by the  4 o3 u+ o, Q5 l
Manager of Programming and Venues in order to ensure the smooth and  8 I6 t  o) E+ r4 T* R

·  To recognize, address and handle all matters relating to overall  % ^, q% A$ f7 x' F
operations in a manner which reflects the requirements of the SU´s  ) q  y( R: i4 Z/ d, o
