financial and operational success of the Horowitz Theatre as well as 5 E5 Q) o7 B; M+ J+ a& y9 U
the logistical organization and smooth rental of the additional
9 X$ e6 ]6 T& e Kvenues within the realm of the Students´ Union. In the light of that 8 w, `, B( K `, E' ^: p7 R! p

describe all roles and responsibilities in a document of this kind.

To ensure that the maximum potential of renters is met.

a. To develop and implement a marketing plan for the venues that

students, and internal and external clients on an on-going basis.
7 b* U% B3 A) K% [This strategy will include implementing and/or delegating the following:
' h2 ?+ J! q J$ v6 M5 Y· To develop and maintain promotional materials, the Horowitz , b1 h; _, d A$ {- D' S7 i4 d: t
Theatre and SU Venues home page, newspaper and other advertising; to
/ ?! W' y A5 m jtake advantage of other internal and external advertising 4 |: S% _5 D! A6 N+ R( J0 I
opportunities; and to develop press releases and other promotional
7 D/ D: U1 l* k- w0 o5 qliterature on an ongoing basis.

· To promote upcoming events in the Horowitz Theatre through the
# o3 f+ |& n8 N; o9 A" k7 nuse of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities* x% c3 L7 y1 Q9 ?) b

a. To ensure, at all times, that the venues are adequately and cost- 4 H' J: f6 @* c+ n' Y& l5 ?# x( _) Y
effectively staffed, and that the staff utilized by or within the
( t5 ^0 s; R2 }3 r# Y1 S5 ivenues meet the appropriate standards, requirements and needs, and
* h8 m D: M" c" W8 L) ucontribute in a positive way to the smooth operation and success of ) z2 Z! w. y1 ^& c5 y: [5 N) V
the renter´s events. This includes, but is not necessarily limited " c/ c5 S) Q+ e8 \0 u
to, the following:
: Q# m2 ^9 c' B: R: j( W1 m9 j3 O3 ?· To be responsible, under the direction of the Manager of Venues ' N; m+ y% W6 q! \" t
and Programming, for all staff issues including hiring, disciplining,
9 J$ |& ~+ `% P4 }: ^: Levaluating and terminating, as necessary.6 ]9 h6 A# t2 }0 U+ r
To ensure that the Horowitz Theatre is adequately supervised at ' E' V- R- Y: O. F: `, _7 G4 I
all times, this includes the development and implementation of such
& l4 O* `. |# A1 C- F* Z9 I2 P: Hschedules and rosters as may be necessary to ensure the effective and
" Y* w/ [. ?7 h4 Q9 h; d. C! gcost-effective supervision of the venues at all times during which it ! C2 x0 v u1 {1 h5 \2 e3 B
is in operation or needs to be in operation.4 h; H" Q( H3 d3 A6 W% J
· To work with the Technical Director, when necessary, to ensure
6 Z! D5 W- n y3 Rthat an adequate and appropriate level of part-time staff exists to
( s. s) E+ Z' e. C+ nfacilitate the smooth operation of the venues and to ensure all
' S" Z0 E. d$ D1 J0 u- U: U; mrenters needs are met.
+ }0 t+ ]. R! t2 B5 E· To work with the Technical Director to ensure that the skills , v5 G/ @8 O" t$ h
and attitudes of all subordinate staff are appropriate in light of & w! V+ W4 l+ r' [& G% _# B( P
the roles they must perform. This includes providing adequate and
1 w! h: k) e o5 M' zeffective training (and re-training) in all applicable and
" R/ {, E- r$ \! U2 b& r& Gappropriate areas, and ensuring that the Policy and Procedures manual

· To ensure all staff are trained in and committed to providing
% i/ M+ Y; ~9 Z9 }+ y+ Texcellent customer service to all renters.9 V Y" j5 G5 t9 Y
· To work with the Technical Director to arrange staff % _( ~" \% \* H* {* ~# A# v4 \
scheduling. To handle payroll related matters, under the guidance
6 a1 |- ~. ~, L3 b+ ]% Z+ gand direction of the Manager of Venues and Programming, concerning

· Working with the Manager of Facilities and Operations to ensure

· Working with the Manager of Programming and Venues to ensure

4. Overall Financial Performance

systems and processes utilized by or within the venues meet the 9 Z5 s% I0 h' L1 s. n7 L7 W- m
appropriate standards, requirements and needs, and contribute in a
* ?) i7 x, E+ w: M' s/ U( z! Vpositive way to the smooth operation and success of the venues. This ! p% ~- D/ {5 X5 ~- K3 J W

To provide input and expertise in the formulation of appropriate
% c( e, \# d: k F# X( J7 voperating budgets covering the venues to the SU´s Manager of
* B3 s: D0 S7 A3 }* r: @- Z+ DProgramming and Venues and to discuss and refine those budgets % x2 r( J% y; D" N2 Y( n
Manager of Programming and Venues, and Manager of Finance & ) f* D8 {- {, }4 e7 U
Administration prior to their submission for final approval.8 a( Q' h: l* c+ a+ f3 I/ j
· To manage the venues in a manner which adequately and effectively
; q' X2 z8 O+ b* @ D! Nreflects the budgets approved for the venues and/or which reflects * I$ v- s8 f6 b, Z7 ?6 @5 x
the best interests of the venues and the Students´ Union.

: _- M& e- l' H9 zadministrative documentation covering the venues to be used in the
# Y. K& n h" S2 ucompilation of monthly and annual financial statements, and such
1 D; ]- x8 h& t. K% I' ~. k9 ^1 r/ eother reports as may be necessary.

with all financial and administrative procedures, with the SU´s 4 Q% J# _9 P# e+ Q

· To ensure the existence of adequate, effective and accurate job

% \0 Z. [0 M7 Q% K4 f7 |" Ssetting of appropriate prices for rental and staffing rates for
& p/ Y: P1 \! b- \9 ?" n5 n/ Eevents held in the Horowitz Theatre.
7 I0 d* o9 K) y- Z$ Q1 q6 Z9 T· To develop accurate documentation to be used in connection with 4 M0 `1 v4 b7 Y5 R; p! q! O
the billing clients, and to forward such documentation in a timely ; K/ V7 {$ w n0 q8 X V& r
manner to the Accounting Department.5 D7 t* e! e# K! o) s' G
· To recognize, address and handle all matters relating to financial
; m! }& I: o3 z \: f$ I! A1 _; tand administrative procedures and systems in a manner which reflects 1 y( g. `$ a6 @, G# M
the requirements of the SU´s Manager of Programming and Venues and , [& R5 ~/ O9 \) @( J

contributes positively to the smooth operation and success of the / k1 c, u5 I% G) D
venues.

5. Overall Roles and Responsibilities

renting the venues meet the appropriate standards, requirements and

; `) f6 e2 p$ _0 Pvenues. This includes, but is not limited to, the following:" ~( B6 H: R* A# T- w
{0 P+ p9 k3 F4 y· To recognize, develop and set in place such rental procedures as
% V5 ?+ I& s1 y" Y i' Y* bmay be necessary to ensure the smooth operation of the venues, this

( u. V; X H5 f8 b7 Q7 Win the areas of contracts, inventory management, contract evaluation, 7 r' x# R: k& I' E" h
pricing, costing, equipment usage, rental/contract invoicing,
$ r7 e$ i9 {0 j( ^7 s' X, otogether with such other systems and procedures as may be necessary / n. R! |0 y8 D. Q3 m2 V' l
to ensure the smooth, secure, efficient, cost-effective and
8 S' R1 |: ^4 l; {8 p. W {0 ~functionally-effective operation of the Horowitz Theatre.
) U8 D+ o! T( |- r+ ], |· To recognize, develop and set in place such operational procedures
' |7 Z8 C8 B8 R5 W3 W4 p! E8 p% Jas may be necessary to ensure the smooth, efficient and cost-
# ]; b- u9 k8 ^7 geffective operation of the venues.
. p/ S: N+ J7 z7 [: ^: M: q) p· To negotiate rental lease agreements (contracts) relating to
+ q8 B( r4 U3 |' X5 q6 vdates, rates, staff and miscellaneous charges.
( j7 a1 x4 q3 A0 {· To ensure that adequate inventory is available at all times and # w5 O" W4 Y! S" D' c D2 ?+ |
that such inventory is stored and issued in effective and secure ways.; Y* x+ X8 n$ P, A# \
· To consult with renters as to facility issues in producing their
1 \; f+ ?6 S- C) ?% m: Nparticular event in the venues.
" |( u; k# I9 O* O1 N· To provide the venues on-site staff with such documentation and * v, p z' _% O5 `+ E- g0 g
supporting information as it may need to effectively fulfill the
1 Z% E, o7 c+ m# nroles they are to perform to ensure the success of the renter´s event.+ m* N9 o5 ?* h" t( M
· To produce quotes in respect to staffing costs for a particular K" g! `5 g7 ~
rental with consultation with the Technical Director.) ]; ^/ i0 B+ ~& d0 ^" K8 K
· To ensure that all queries raised with the venues whether from the
& F2 Z! z& w$ M- BSU or renters, are promptly and effectively handled and adequately
3 {2 d$ ?9 u, }answered, and to ensure that such action as may be necessary in
2 q! ^& H S# {/ H% Pfollow-up to such queries is taken in a timely manner.
) S" ]0 k4 K: m/ Q9 z To ensure that the venues and its capabilities are adequately,
$ `2 U0 i) G& q: leffectively and cost-effectively advertised and promoted, and that
% T. A3 U0 T8 _! V1 Hthe cost of such endeavors does not exceed the budgetary provision ; e2 m& z! Y2 u/ B) L! R5 v9 N
made for them unless prior approval is given by the Manager of
# H, C( ?! K- g; M* e3 u* eProgramming and Venues.
C3 z5 u0 U8 \· To act as an informed and knowledgeable resource in the case of
% }4 k) W3 s; f; v7 D9 rsignificant challenges and/or problems surrounding the tasks of 6 N$ g0 `3 e" h: T
marketing, administration, operations, and any such other matters as
1 q* ^+ |/ \3 t9 c. q, u9 ^may provide such challenges and/or problems.6 [+ z# o7 k: o3 q1 H" c2 N/ J
· To attend such meetings as may be required to support the smooth 2 t0 j9 g5 n9 p1 c% M
operation of the venues or the Students´ Union as a whole.
