Job Description

Hours of Work: Part-time (21 hours per week)3 x' U9 z' a( H$ E. e
Anticipated Start Date: The candidate is required to work immediately

! l+ k9 k- e. ~/ `Position Summary: Within the broad guidelines of Integrated Service Program funded by Citizenship and Immigration Canada, and Alberta Employment and Immigration, the Receptionist/Immigrant Services Worker will answer a multi-line phone calls professional, politely, and directing the calls correctly; assist in clerical needs of the ISP team; assist with providing counter service and act as relieve to the other Immigrant Services Worker. 3 c) [# Q( l/ P. x: e1 c

/ @: x( j! R& eKey Responsibilities:" I7 S/ C8 Z2 Q, G: a& j* m' E
•        Answer incoming calls and route calls to appropriate person: k7 l- Q/ ~: J& W, F
•        Take and deliver messages to the staff of ASSIST
: F% F* D' a# [" x6 M•        Welcome clients and direct them appropriately
6 Q4 C/ ~5 X9 L: o  S•        Order and maintain office supplies for the front counter
3 y: Q1 B! w* Q•        Perform general clerical functions such as photocopying and faxing documents3 L& u5 s6 ^4 d: y3 }
•        Provide assistance to immigrants and clients seeking settlement related services in the capacity of immigrant services worker
4 M+ J! N& G: |•        Maintain and update the information boards with upcoming events
3 X$ _. ]4 e8 S. X/ [) K5 E2 ?•        Assist the ISP team in reminding clients to appointments of workshops or other events
& F, \( x2 L( }. ^; X•        Keep the reception area tidy and clean; P. j) N- m# u! ?$ {6 c0 N
•        Attend meeting and training to stay current on immigrant settlement matters8 p: C8 V, q. T* j  U& X8 t
•        Maintain front counter service files

•        Report to ISP Program Manager2 j6 F3 o) W* G4 S. j

( M) _3 m5 l0 |4 w. f3 W9 fKnowledge, Skills and Abilities Required:7 C% X% u! ^" E, M7 |# a8 a: P
•        Excellent communication (verbal and listening) on phone and in person1 R  I. L! L: @
•        Fluent in Mandarin and Cantonese as an asset. `8 f+ g8 B  D
•        Good English writing and oral communication skills0 i& V/ k" j. O9 B7 U& d* T
•        Ability to work with newcomers and general clients6 W* ]0 m6 @" S- j
•        Microsoft Office operation skills- Excel, Word, Outlook8 r8 R6 w0 L3 U5 [9 ?; c( l" f) \
•        Ability to address multi-task and set priority appropriately ; b3 n0 |/ \7 \  P1 t7 I0 _
•        Sensitive to the needs of immigrants with multicultural backgrounds

•        Knowledge of immigrant services; [  F2 f5 l  g1 t1 e& ~

1 ^. J* O" T6 z' o3 [Qualifications:
' n. |/ ]+ y& S7 b6 u•        2-4 years of office and clerical experience
" A2 v. n- {2 Z+ P: o7 [•        Receptionist or customer service experience in a fast paced environment
6 n) h3 {5 B: {$ ^. p" I3 A•        Demonstrate workplace maturity and professionalism
4 A9 I1 l: w  B4 z•        Ability to work well under minimal supervision9 u9 P, S: l; u/ c4 ?
