The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:

OPERATIONS
+ O5 ^7 w6 v H( n: B. A/ K• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events./ d' t, Q0 I$ \0 n5 B) p; Y0 |8 o
• Assist in development and implementation of policies and procedures for volunteer services.( l: x7 g! Z3 W5 `! T8 S
• Maintain the volunteer files and update the database using Raisers Edge4 S( i- F0 f" S3 N0 w; x
• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills. D% K' w; F6 x/ } p
• Develop and implement a comprehensive volunteer recognition program.
- ^" ?- \$ T. Q( o• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.. N5 r. b G/ x6 H0 {! k. z+ J& Q
• Identify and implement best practices in regards to volunteer development./ D; s1 O' i& o6 |- N' D
• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities
7 u. j& ~9 w0 n% M4 Z2 ~0 o9 x• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

SPECIAL EVENT PLANNING
! }0 l+ B# I6 K6 A: `, {8 l• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO$ H1 \2 S! w+ m+ m/ t8 |
• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up1 X8 f0 ]& j! N# x- V
2 w$ w: c: x! i | E" oADMINISTRATION7 f1 n+ h/ B- d$ u; ? @5 R! I" c
• Develop and maintain job descriptions for each volunteer position
7 ~) t% a6 ~2 k% a0 V5 J; a6 I• Maintain secure volunteers files in accordance with privacy legislation2 m8 b5 R7 p% R* ~/ m: C
• Provide feedback on volunteers’ performance, as appropriate
% D0 u. y, C: D" u• Ensure Human Resource policies and procedures are adhered to within the department* ?1 S3 d( y4 ?9 s' X* T0 Z7 e$ W( u
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required ' {$ M$ {1 T# k, V) `+ L9 h
• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency, n% c/ a' k3 ^( ~9 w% ?: i
• Develop resource and orientation materials for Volunteer Services

FINANCE
* @/ a6 o8 j% K/ Z* J• Ensure the program operates within approved budget and be familiar with potential variances" o3 `. q1 g$ m* N1 z6 a
• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required

INTERNAL/EXTERNAL RELATIONS
: v( p: i' o$ M% ^6 G$ M• Act as liaison to the Y-Knit group of volunteers1 ?+ q; m$ l' k2 d8 i, X# w- H+ C U
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta): e7 @/ g, j, p9 P; T4 H
• Follow up with correspondence to outside agency volunteers as appropriate
& Y) p. J0 h# I$ k- m: D J• Attend external functions such as volunteer fairs, trade shows, and special events as required

0 J% f" D, J6 q3 u+ s• Minimum 2 years experience in Volunteer Coordination
* s, M+ F3 o0 u, Y# g) z• Excellent organizational skills and multi-tasking ability

• Collaborative working style and excellent interpersonal skills 1 w# i0 K% a8 o) f* K. t
• Ability to work to meet deadlines and to work under pressure
; X3 Y9 g! @6 a0 W( z& V/ a0 c• Ability to work in a team-based environment, with cross-functional work teams on projects

• Knowledge of Raisers Edge software would be beneficial
