Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.- F9 R1 n; X8 f2 d" Y

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.1 q7 F3 G( S: _

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.& `: U7 e) M  ~2 `, S

• Complete data entry in various programs.

8 T0 y, `  M3 |• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.: @: x- l" l3 E" Q, s) e" X1 b

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.) _' Z$ T2 q: L1 V- g8 U+ M

& C6 W% m& s" Q/ v# w• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.

- R, H3 B2 V" p• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.: w: z! b% u9 u. V

Fund Development

• Provide logistical support for key fundraising events such as silent auctions
7 Y2 q" ]! p4 A8 x  Z4 V# z2 ?" q+ j: ]' W
• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.
+ Z1 R1 l* ?2 o& Y% E" T  k! z. A' r
• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

• Support logistical work required for CFCA’s Annual General Meeting' z3 W0 }& d# B9 O) n# f- U' D. c, `

( S) \3 x) A( M- M6 K• Assist in administrative tasks related to donor recognition and event reconciliation as required.  G- S: i6 ?7 m( f

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.9 o8 W7 j2 l' r( y. ]% j3 x5 R! i1 |
