Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.6 t& _  J6 Q+ Z3 [9 }& ?! ?

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

. \8 Q5 j& s- |• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.. Z. t$ _; A/ q0 f

/ T( w/ Z; N, |* d( |; K, {• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.7 [' S% X, E# @. V+ y; S: I

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.  F  I! _: v% B( `+ w7 }7 `3 k

• Manage office technology software licensing and hardware maintenance.

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Support effective internal communication by recording and distributing all meeting minutes.5 `' I3 `, m) W  K9 B! E5 _

• Meet weekly with Program Managers to define priorities.

• Manage mail outs for fund development or education purposes with support of Program Managers.( n$ n" L% E5 I  v

• Perform financial administrative duties as required.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.! ~8 ~8 t! h4 t4 m) f

& U! r' z6 ?2 g& v3 d# M- O• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.

• Manage database and support distribution of print publications.' {. A( m" o& ]7 W% ?

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.6 S# `( \6 b3 X( W

3 s: R) E) Y( p. i+ `  N& j• Provide logistical support for key fundraising events such as silent auctions$ R% h# B! {1 a; D, ^! C

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.) k: Q- d8 |( i

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

' F4 W& c8 F. U; _; `0 A: u• Support logistical work required for CFCA’s Annual General Meeting

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

This position is Permanent part time (20 hours per week during regular office hours).
