The YWCA is recruiting a Receptionist. The Front Desk is the central point for internal and external communications for all departments, programs and events. A sound understanding of overall activity of the agency is essential. This is a position that requires strong customer service skills, as it works collaboratively with staff and volunteers to provide the best possible information and assistance.

Reception

• Answer multi line telephone system2 a' v& n5 T& A8 j! g2 h; h" _
• Receive and distribute mail and deliveries
" Q" [& ^6 y6 T% q8 ?" _( _• Arrange courier services for all departments8 c) Z! O) T1 q8 [
• Oversee Y-Knit program; provide support to its volunteers0 O3 J# l7 r9 X$ Z {4 a8 y

Administration
1 w9 G/ Z) @8 q3 V• Receive sort and distribute mail and packages; post outgoing mail
5 {9 W7 U0 l* b0 l7 u* g• Sort and distribute mail and deliveries
% k" j9 @) R6 ]: J• Provide clerical support (e.g. word processing, data entry, photocopying, faxing, e-mailing, printing labels, mail-outs, and filing) to all departments of the agency
5 V4 h: a" K7 ?3 ]1 }6 v• Update and maintain databases as assigned, including those for Fund Development and Administration
1 b6 l1 f `8 C5 y0 D• Assist with task management for administrative volunteers
. m( S& l/ f7 j5 K- d• Create monthly staff bulletin and prepare for distribution

• Assemble and forward information packets as requested

Qualifications:, P, T. n1 R. z6 k0 I0 [
6 M" C$ ]/ s/ i• Minimum 2 years office experience in areas related to office reception, and office procedures
/ e) ?1 g/ U- w6 V! m! Z• Experience and proficiency in Microsoft Office including Word, Excel, and PowerPoint.3 Z; [" @- }6 D
• Skill in Desktop publishing is an asset# U) o* M8 F- Y3 }8 m
• Excellent verbal and written communications skills 1 L, t- K; E, g, Z2 I
• Mindful of need for accuracy, detail and discretion! a& y9 u+ R( r" ?7 l N6 M
• Able to interact in a positive manner with diverse population
