Position Title: Administrator

Major Responsibilities:

General administrative, clerical and operational support for the branch - broken down into the three categories below.1 X. f% ]$ `" V6 k* K" g
7 a% N2 Q- A2 }0 ^
Accounting and Admin:5 A" Z# Z" c% {! S/ M6 t7 T4 [
o Assist with generating new S.O.s, W.O.s and P.O.s.
8 p3 F0 H7 }- `/ jo Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.
# n" D- c! z: @" S- U [o Receive P.O.s in Glovia.
1 F" q4 N6 }# J" \! ]o Timesheet data entry for Glovia and payroll, on a daily basis.
3 z' r$ d& L2 y3 ?$ Co Coordinate the processing of new employees with assistance from HR department.
1 S7 r$ s1 M8 B6 _# e/ u* a& io Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.
0 L/ U* U; L# y) p/ \& x- jo Forward supplier invoices and backup detail to A/P for processing.- M( @, F# _. W; X3 }
o Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.* T* K$ d) b% K0 s1 H4 A1 j' h
o Processing of Visa and/or MasterCard payments.
" x7 B- h1 ~) Q$ O6 e/ KOperational:
* n" q3 f, H5 J/ d# \6 f- L. bo Maintain a customer database for use by all branch staff.& j9 G4 d! j0 W
o Input customer data into Goldmine (when Goldmine is implemented).2 D) N$ ?% f: B5 S, {
o Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.: P8 K, u( ?6 F. j
o Maintain service records and maintenance schedule for all company-owned vehicles.0 P/ d& I: `& n' ^2 @0 K
Clerical:
+ V+ V4 u$ O4 jo Telephone and reception.- W& l$ x4 I# I1 @- F( G3 M9 F( \$ x
o Back up tapes, weekly, for branch server.
% f# |; h5 G% i: w8 t% _) ~# q* qo Hotel and travel bookings.4 m& L) U& X1 Q% R7 V
o Maintain inventory of office supplies and replenish as necessary.
7 d# M' m9 V0 to Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.; k7 K, {" A- }) X$ a7 P& S
o General office filing.
; j# ?2 \9 T% O1 t2 Q5 Q$ X% no Filing and archiving of closed work order files.

Qualifications:

& h8 G* V0 \+ `/ ]( c• Experienced in MS Office software, general office equipment.) n& [9 w0 F0 o9 n$ F
• Excellent interpersonal and listening skills.! R A3 |" i, J* @0 o; u
• Must be able to communicate effectively and professionally both verbally and written.& {/ k# N, ?* k* T
• Organization and multi-tasking skills.
