( c: ^% B! U( Tdirect line reporting relationship to the SU´s Manager of Programming

$ t3 V& f" M. [) n3 |6 gThe duties of the Operations Manager - SU Venues are diverse and    u( K! N; ~: ~1 [5 h: j) E8 D6 w
extensive, and are targeted at the all round smooth operation and  
( s1 R9 G7 G! g- Q/ Afinancial and operational success of the Horowitz Theatre as well as  
9 x( }. H( E9 m; i8 r# L6 vthe logistical organization and smooth rental of the additional  1 _. W" m" D1 q3 k0 t# q
venues within the realm of the Students´ Union.  In the light of that  
( |8 O7 D) ~; W7 ~9 l# Bbreadth and complexity, it is not possible to fully define or  3 B. P( T6 ]- b, `1 k4 o; x8 }
describe all roles and responsibilities in a document of this kind.   
: x; }9 _/ s/ S: }7 ]& I# DHowever, the main roles and responsibilities of the Operations  / s$ \! n) H5 g3 k
Manager are as follows:

1.        Space Roles and Responsibilities

a.   To ensure, at all times, that the venues listed below meet the  + q7 |$ V8 s7 Y! m1 p% [2 K  q: M
appropriate standards, requirements and needs, and contributes in a  
3 |/ I0 }3 {0 f5 \; l! W+ npositive way to the smooth operation and success of the individual  
* c  `3 p) n7 Zrenter.

2 _+ ^0 T% A$ p0 {9 }" Ab.   This includes, but is not limited to, the following:
7 F0 u. M, i+ |: H' K' _3 \·     To plan the capital and supply expenditures to meet the  8 X( l3 z7 e. p2 @0 x# p
production and facility requirements.
8 {* G  c' s9 h0 J4 G·     To ensure the day-to-day compliance of the venues with existing    C) U' I. W- y. O$ M" d
safety regulations and building policies.+ {' ?7 _& u, P5 @5 z1 |5 c
To ensure that the maximum potential of renters is met.

" a: ]$ w  F; q. `+ s3 z$ f2.        Marketing and Promotion

a.   To develop and implement a marketing plan for the venues that  
! y; P2 U! s) R7 Tfocuses upon advertising and promoting the venue to faculty,  
" c) Q' n" k) C9 Ostudents, and internal and external clients on an on-going basis.  ( M* l" C- g7 u& R* R' J3 b
This strategy will include implementing and/or delegating the following:
  i3 q5 ?8 e  l8 T$ _, [/ A7 b·     To develop and maintain promotional materials, the Horowitz  3 |' p6 y( T9 @) r! X9 G, C4 c+ `9 {
Theatre and SU Venues home page, newspaper and other advertising; to  ( P) X- I  V) x' k
take advantage of other internal and external advertising  
- E2 `# B" C+ i6 n& d2 k' d3 _opportunities; and to develop press releases and other promotional  
9 e: {' L& q$ s' @) ]( eliterature on an ongoing basis.
# |$ z0 I; |$ a* k/ K7 j2 t; D·     To coordinate tours of the venues for potential renters.& e, ]5 A6 u- S
·     To promote upcoming events in the Horowitz Theatre through the  ) P1 @3 i, ~5 k: k
use of the Horowitz Theatre Home Page and the SU Events Calendar.
. L+ K$ E: j; r9 C; {  ]- n·     To develop new external clients for the venues.

! O7 H* L2 E" [3 R& j4 z* M, P1 q5 t3.        Staff and Supervisory Roles and Responsibilities
$ ?0 G4 G/ q! `6 e. H. g" \
; |& \, B' d5 ~a.   To ensure, at all times, that the venues are adequately and cost- 1 ^/ X5 Y  f0 t
effectively staffed, and that the staff utilized by or within the  
2 V/ J, ?6 W- {venues meet the appropriate standards, requirements and needs, and  6 Z) d! T1 }% e, U9 t4 H" p2 p
contribute in a positive way to the smooth operation and success of  
, O8 C+ a" ^* m9 ^- Mthe renter´s events. This includes, but is not necessarily limited  ( f: I9 y/ w" c: e. o5 A! `
to, the following:
8 q; S' O, L- V/ p. v·     To be responsible, under the direction of the Manager of Venues  
1 c& @9 M! a: s1 Nand Programming, for all staff issues including hiring, disciplining,  ; V. O$ v4 I; G" r( h9 ?
evaluating and terminating, as necessary.
9 j  k- U4 X; m+ B( \5 N To ensure that the Horowitz Theatre is adequately supervised at  ' o' q# i& L* J  g; _+ J
all times, this includes the development and implementation of such  
/ |' p; ?; o' ~$ k% S: G( ischedules and rosters as may be necessary to ensure the effective and  7 j6 e  N0 I% k9 o$ n1 s
cost-effective supervision of the venues at all times during which it  
- S4 P) s' P# K3 T* {$ f; Jis in operation or needs to be in operation.
% c* k: k4 _1 b1 [5 p·     To work with the Technical Director, when necessary, to ensure  & y4 Q& o# {5 A. l/ r
that an adequate and appropriate level of part-time staff exists to  
) O* Q5 E+ g2 l) S! x/ ffacilitate the smooth operation of the venues and to ensure all  9 b$ l0 e0 N# B: P- x/ ?# Q" m! P
renters needs are met.1 [' }- [6 s, m. j. \" V8 {# y0 c1 j& D
·     To work with the Technical Director to ensure that the skills  1 C; B6 G6 F7 {0 m
and attitudes of all subordinate staff are appropriate in light of  
+ K- q" C) q# h6 w" o. y- S5 Ythe roles they must perform. This includes providing adequate and  
8 [8 d' a7 {% U& [6 m8 P* ^% k9 eeffective training (and re-training) in all applicable and  4 k) {7 |* p. x" ^+ u% j# O  e1 _
appropriate areas, and ensuring that the Policy and Procedures manual  8 |" j+ g! Y! L6 f
is kep up-to-date at all times.$ ]) i8 A& Q( ], a
·     To ensure all staff are trained in and committed to providing  
0 }. `7 Q) {/ F1 uexcellent customer service to all renters.
( W0 M/ n" L% r7 F; b' o·     To work with the Technical Director to arrange staff  . B! V: L. n4 h& \. p' R! Z. I
scheduling.  To handle payroll related matters, under the guidance  4 n+ d* N& O8 K: F2 P
and direction of the Manager of Venues and Programming, concerning  0 G" C4 E0 l0 D5 V8 N# G) `& W$ k; K
the staff of the venues.
6 |' |0 C, E- w' F5 s, x·     Working with the Manager of Facilities and Operations to ensure  - A+ R( x' I/ d  T. ]
the appropriate setup/tear down of each venue., {8 o" [& W. ?; b" d- z' |
·     Working with the Manager of Programming and Venues to ensure  2 Y) L' p+ F- k! b8 P  Q
that additional requests such as licensed receptions are arranged.4 R3 c+ ?( b( r% u$ Z. H, z( s" n

) p) W9 p1 g4 ?$ Y4.          Overall Financial Performance
% Z7 e( [. C) c: V+ P/ S1 Y3 P/ T( [
7 ]) n" K& Y& F' M% Da. To ensure, at all times, that the Financial and Administrative  
  w- k$ F, [, ]8 Y" zsystems and processes utilized by or within the venues meet the  
5 z/ D& S3 b& ^" eappropriate standards, requirements and needs, and contribute in a  . q% k" M; t0 Z) {* z! Q, I+ p
positive way to the smooth operation and success of the venues. This  " k5 ~& `& U) o9 J
includes, but is not necessarily limited to, the following:
& Q$ v7 v8 a, V' }! @2 }4 F; [ To provide input and expertise in the formulation of appropriate  , u$ i8 D. z$ T, }% @
operating budgets covering the venues to the SU´s Manager of  
7 c2 ^( G2 S+ k5 b+ C$ AProgramming and Venues and to discuss and refine those budgets  
" N) s* y4 v; @6 mManager of Programming and Venues, and Manager of Finance &  
; r; S1 I! C+ p* h( M6 B: sAdministration prior to their submission for final approval.
! p8 n. S$ K" E/ n8 n) a·  To manage the venues in a manner which adequately and effectively  + s: ]  i+ U6 h
reflects the budgets approved for the venues and/or which reflects  
/ ?! [- ^! F" L5 M! Dthe best interests of the venues and the Students´ Union.! g: w! O0 k: ~  |, R9 ^
·  To function as the key player in the submission of financial and  # t0 }; X% f" N" K: i% w- _
administrative documentation covering the venues to be used in the  : Y) C0 i7 w$ a9 {  H
compilation of monthly and annual financial statements, and such  
; g! `& b) b4 F" qother reports as may be necessary.% H% j: \+ w5 n1 O; @: W" w
·  To discuss those financial statements and other reports, together  
2 }0 K' a% R3 a' @# xwith all financial and administrative procedures, with the SU´s  
# j& X# Z0 @6 N3 r" dManager of Programming and Venues and Manager of Finance &  
6 Y; l. e' W2 Y1 N9 |Administration with a view to determining and implementing action  ( J* W1 S, V  c# S# P7 @. ^
aimed at improving the financial and/or functional effectiveness of  
* c& k3 r3 d) s! |5 b0 _the Horowitz Theatre.2 d) k2 `5 g8 T: t2 N* P- p
·  To ensure the existence of adequate, effective and accurate job  / e5 _+ u! J' P. [0 f' ?% c2 j
costing systems to be used in connection with the determination and  7 q5 C  H) e; U
setting of appropriate prices for rental and staffing rates for  $ L2 y+ q6 _3 S# [9 K
events held in the Horowitz Theatre.; ~( j! k' e* j6 y, B/ x) F( [
·  To develop accurate documentation to be used in connection with  
6 i+ X# e4 e4 |# Ithe billing clients, and to forward such documentation in a timely  ; ]* b% c% l+ [" e8 T' r. w% |
manner to the Accounting Department.
0 j% W+ J$ P& u" G* K·  To recognize, address and handle all matters relating to financial  9 \/ T5 {2 ^4 E- c  H
and administrative procedures and systems in a manner which reflects  
% X. D" B! a7 X, i# W( D+ ~the requirements of the SU´s Manager of Programming and Venues and  & i3 a, O3 Q4 J6 {7 P, @, o) J
Manager of Finance and Administration, and in a manner which  & U  V, V1 E! I9 z4 x3 r
contributes positively to the smooth operation and success of the  5 Z6 ~4 v0 G& K0 m
venues./ t: R( p8 u1 z8 c# ~

& v- l. w9 u/ {5 h5.          Overall Roles and Responsibilities
* Z/ ?1 f- w) A  Fa.   To ensure, at all times, that the systems and processes used in  
* C5 O% a( ?0 X- O% x3 o, Brenting the venues meet the appropriate standards, requirements and  % c9 f+ p! k9 q3 P( {# q
needs, and contribute to the smooth operation and success of the  % l4 r0 S+ Z) @5 P) S
venues. This includes, but is not limited to, the following:6 c( J& u- y  L* }- n$ R: `# m

' w+ m' h: c: L, @5 R) N+ g·  To recognize, develop and set in place such rental procedures as  2 P  q1 e: A: m6 o1 s+ ^
may be necessary to ensure the smooth operation of the venues, this  
+ `9 K" a% g, a1 Lis to include but not necessarily be limited to systems and processes  * [3 Z" ]: F) l* C  T0 X" c7 |
in the areas of contracts, inventory management, contract evaluation,  ; s; H' q- n* z- _4 N
pricing, costing, equipment usage, rental/contract invoicing,  7 o- a  t3 z" [$ D; u$ j
together with such other systems and procedures as may be necessary  6 |% g7 h: l: P
to ensure the smooth, secure, efficient, cost-effective and  " G) `6 ?& q6 o9 B* O; _
functionally-effective operation of the Horowitz Theatre.8 ~9 w, C7 F* r
·  To recognize, develop and set in place such operational procedures  
1 [9 Y6 W" o# p- E6 cas may be necessary to ensure the smooth, efficient and cost-
, m! M  @: o9 ^effective operation of the venues.
- r9 r1 ?( t. m: @·  To negotiate rental lease agreements (contracts) relating to  ' F% T9 F# e; @0 ?5 Y
dates, rates, staff and miscellaneous charges.
2 D5 r* Z/ ?2 B8 k9 q) u1 o·  To ensure that adequate inventory is available at all times and  # g# ?; X, N3 Q
that such inventory is stored and issued in effective and secure ways./ y0 F* ], i. C1 C9 b/ p6 v2 V
·  To consult with renters as to facility issues in producing their  8 ?: {* F9 z7 v
particular event in the venues.9 T! b$ V4 J2 k9 \
·  To provide the venues on-site staff with such documentation and  , _' P( K  V& X, ?9 Z  e& O
supporting information as it may need to effectively fulfill the  0 r6 R. v7 ?# L" V& c8 M" Y$ u
roles they are to perform to ensure the success of the renter´s event.* C; X/ G3 ?1 R8 G# ]. `, M4 i
·  To produce quotes in respect to staffing costs for a particular  
+ u+ X% \( b" Krental with consultation with the Technical Director.; s# t  W5 {+ ~1 ~4 r2 ~2 v* r
·  To ensure that all queries raised with the venues whether from the  9 B/ H) v* R9 a" u8 x% M
SU or renters, are promptly and effectively handled and adequately  
* t, U: f6 a4 h8 oanswered, and to ensure that such action as may be necessary in  
2 f7 B# `# r# Y# Lfollow-up to such queries is taken in a timely manner.3 q7 O0 _6 u' u. l. E4 h6 T5 W8 A
To ensure that the venues and its capabilities are adequately,  2 V6 r% Y& _* U9 u5 g; |
effectively and cost-effectively advertised and promoted, and that  
- Y; I% g/ M" vthe cost of such endeavors does not exceed the budgetary provision  ' l8 w# e8 G( X  N1 I
made for them unless prior approval is given by the Manager of  
3 Z' N9 H( A7 c; F$ gProgramming and Venues.. F# P3 _6 ~2 d1 b1 E
·  To act as an informed and knowledgeable resource in the case of  ) b4 C' `; V; ?! j
significant challenges and/or problems surrounding the tasks of  
1 [3 ?+ Z8 S! `5 ^marketing, administration, operations, and any such other matters as  
+ i5 Z+ `1 X: \5 @may provide such challenges and/or problems.7 e* `6 L* {# y! Y% j
·  To attend such meetings as may be required to support the smooth  1 Y; {6 U. ^$ g/ u* z3 T
operation of the venues or the Students´ Union as a whole.! D) r; f! f. ~$ v3 K- o
·  To perform other job-related duties as may be required by the  
' O+ `+ W. Q6 S$ o$ W1 }- u0 w8 OManager of Programming and Venues in order to ensure the smooth and  1 S, s. }: n- ~5 T. O
secure operation of the venues.+ _/ h; h! T+ L2 ]: O1 S/ Z
·  To recognize, address and handle all matters relating to overall  / \3 X5 [9 c6 S# }' g# j
operations in a manner which reflects the requirements of the SU´s  " o  Z2 A1 H, \$ J% ?: j
Manager of Programming and Venues, and Manager of Finance and  " \8 B% M( |+ Y6 S
Administration, and in a manner which contributes positively to the  - S7 L* p% ?1 S; y" Y$ w
smooth operation and success of the Horowitz Theatre.3 T+ T+ x- N1 d* O! |" v8 Z5 K

QUALIFICATIONS:
0 c4 t* T- O2 X) p7 v1)             Minimum two years related post secondary education, or  ( ^: U3 p. v- Y" S5 m
an acceptable combination of education and experience.
: ~! ~  ^8 u# r# d# l0 t2)             Supervisory experience.
6 {3 a8 g+ s* I) ?4 r) j( {3)             Ability to create new initiatives with little or no  4 S. p, V: I& _! v9 z! f; W, R0 @
supervision.

5)             Knowledge of budgeting and staffing procedures.
