extensive, and are targeted at the all round smooth operation and

3 v1 k9 L) m; F7 z `# b8 {the logistical organization and smooth rental of the additional
/ y+ y, u- N% {( c) a; b2 k% Fvenues within the realm of the Students´ Union. In the light of that

describe all roles and responsibilities in a document of this kind.

focuses upon advertising and promoting the venue to faculty, 6 Y4 @4 r" h; j! g& X% s
students, and internal and external clients on an on-going basis. / R$ g4 e: I; p4 o6 ^/ u9 @# [" l
This strategy will include implementing and/or delegating the following:% l9 l' c% T( ~2 P
· To develop and maintain promotional materials, the Horowitz
. E, M! }. O$ ~- uTheatre and SU Venues home page, newspaper and other advertising; to
/ q7 o+ z0 {% Z9 k& b mtake advantage of other internal and external advertising 7 e. M8 l9 H9 A* s/ ~
opportunities; and to develop press releases and other promotional
r' {$ l# Y, }9 @# i- ?0 bliterature on an ongoing basis.- K# K& s9 t4 k8 L5 b1 O
· To coordinate tours of the venues for potential renters.

use of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities T$ R% F3 Y/ O7 X

a. To ensure, at all times, that the venues are adequately and cost- 9 k/ y/ d) _2 t, C6 Z f: j
effectively staffed, and that the staff utilized by or within the 1 c% B7 H% ]( U5 C+ @) {* t
venues meet the appropriate standards, requirements and needs, and 2 \& }/ g; [, e4 S8 [! Z! ~
contribute in a positive way to the smooth operation and success of . X. k3 w* |/ x Q9 {1 n
the renter´s events. This includes, but is not necessarily limited
$ J4 ~9 J5 v: h7 U) J' w1 gto, the following:6 _3 g' y. B1 C% d$ s: [& i* P
· To be responsible, under the direction of the Manager of Venues $ i" x0 z: Z, q7 ~0 l2 R V# J
and Programming, for all staff issues including hiring, disciplining,
1 K1 R) K- T4 Uevaluating and terminating, as necessary.
! [4 b9 k& }9 Q/ I8 w+ m+ T9 e To ensure that the Horowitz Theatre is adequately supervised at 9 \2 D7 x |, g0 L
all times, this includes the development and implementation of such
0 O9 N0 c7 ~' d' rschedules and rosters as may be necessary to ensure the effective and
5 V2 o) b6 s# ^8 j; \cost-effective supervision of the venues at all times during which it
5 A) T# g. F- `1 }3 P/ o- g sis in operation or needs to be in operation.
$ h$ W K) Y$ t0 B: C2 k3 u· To work with the Technical Director, when necessary, to ensure
+ R$ I/ ^+ H+ [' F( H% X3 N, pthat an adequate and appropriate level of part-time staff exists to
" s# I/ y: A' ~: L: k1 o, yfacilitate the smooth operation of the venues and to ensure all , ^5 `, Y/ U1 V. ^# W( K
renters needs are met.& a, P$ }: m& \: y4 g
· To work with the Technical Director to ensure that the skills 2 F& b" y$ |# k' j7 b- |, S
and attitudes of all subordinate staff are appropriate in light of ( C O3 z6 m; ]& U; `8 ^
the roles they must perform. This includes providing adequate and

appropriate areas, and ensuring that the Policy and Procedures manual 0 K+ X7 M& w2 ~" x
is kep up-to-date at all times.

excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance # r2 ?. p+ V5 ^! S! M
and direction of the Manager of Venues and Programming, concerning 4 V. \6 N' M% i& ]- c2 S; ?$ n
the staff of the venues.
/ h9 }! V' {2 k9 Q# ]· Working with the Manager of Facilities and Operations to ensure
( M3 p8 [7 b, C9 @$ F; t# Lthe appropriate setup/tear down of each venue.
% K- f( F5 ^! y" M7 ^0 q7 `· Working with the Manager of Programming and Venues to ensure 8 c/ e# w) N& Y2 ?9 b
that additional requests such as licensed receptions are arranged.! g% I8 s" ?' S1 P% b

F! _8 v; B/ }/ ^. e! ~, ga. To ensure, at all times, that the Financial and Administrative

; A1 k$ y9 m- o# n6 D7 p' O2 Iappropriate standards, requirements and needs, and contribute in a
9 c( V& f# H# d/ P: O tpositive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate 6 ]4 l; p0 \. r' `
operating budgets covering the venues to the SU´s Manager of + ~$ K$ i* t$ S. b( }
Programming and Venues and to discuss and refine those budgets 7 f9 K+ W# O+ P6 j" W7 t
Manager of Programming and Venues, and Manager of Finance & 0 k& y, v; z m( c; {3 o' c
Administration prior to their submission for final approval.
6 Y% K" I% Q% c: r) Y· To manage the venues in a manner which adequately and effectively 7 B9 Q3 w r( U
reflects the budgets approved for the venues and/or which reflects
3 }8 t+ B8 p3 m) o7 t; K2 _3 dthe best interests of the venues and the Students´ Union.
7 m; C/ m6 Q; E8 m. @7 l3 X5 K· To function as the key player in the submission of financial and 6 P4 X2 X1 T/ F) J
administrative documentation covering the venues to be used in the
' N* t$ d8 W# }/ pcompilation of monthly and annual financial statements, and such
/ ]+ N1 k1 r/ v# R- l# lother reports as may be necessary.
$ d" v( I0 f; e7 F& E2 M) W· To discuss those financial statements and other reports, together

Administration with a view to determining and implementing action 3 z* F1 O0 t" `+ p
aimed at improving the financial and/or functional effectiveness of

· To ensure the existence of adequate, effective and accurate job

the billing clients, and to forward such documentation in a timely
4 i+ i/ }. h' emanner to the Accounting Department.

7 Q' I! |& S# y9 n4 h/ f1 Xand administrative procedures and systems in a manner which reflects

' [5 @+ m7 c0 acontributes positively to the smooth operation and success of the

a. To ensure, at all times, that the systems and processes used in
7 C9 X8 S: V5 d6 p1 prenting the venues meet the appropriate standards, requirements and
0 i) `8 l0 r; c. xneeds, and contribute to the smooth operation and success of the # R2 K% a5 U, L6 P; u
venues. This includes, but is not limited to, the following:4 V' O' o0 A6 |0 G

· To recognize, develop and set in place such rental procedures as
, e: a- ]( \% c& Pmay be necessary to ensure the smooth operation of the venues, this 7 S3 X7 e; H7 \+ g# u4 P7 y) E
is to include but not necessarily be limited to systems and processes ' ~9 e: {2 z- C) y7 m+ c* ?4 C
in the areas of contracts, inventory management, contract evaluation, ' j! F6 q1 c- N. f! ?6 o; c7 `$ j1 G
pricing, costing, equipment usage, rental/contract invoicing, ) w/ {5 p$ w* ?7 f7 R
together with such other systems and procedures as may be necessary ) u) M. p# U2 W, y
to ensure the smooth, secure, efficient, cost-effective and - v2 @. Q- E* n( J; z$ z
functionally-effective operation of the Horowitz Theatre.0 i* E7 A( L' G9 m9 G
· To recognize, develop and set in place such operational procedures
( M2 m6 ~6 \: v1 U. n' Sas may be necessary to ensure the smooth, efficient and cost- ( y& F$ Z9 b0 }, {+ T" c+ `
effective operation of the venues." z1 e$ M7 O7 @: ^8 m0 h
· To negotiate rental lease agreements (contracts) relating to
6 k! E0 l/ p f# J4 ]- cdates, rates, staff and miscellaneous charges.9 t6 a. d0 ^% t- q6 G/ I. W1 O
· To ensure that adequate inventory is available at all times and . ^$ W- ^: G. _: h& z% D* p5 K
that such inventory is stored and issued in effective and secure ways.
4 n Q2 g& ~- Y) n: G# ^· To consult with renters as to facility issues in producing their

· To provide the venues on-site staff with such documentation and

roles they are to perform to ensure the success of the renter´s event." h2 O* t5 D/ C/ a
· To produce quotes in respect to staffing costs for a particular
. I0 L+ d5 P( _* H1 t( o! Urental with consultation with the Technical Director.
) g0 ~' ]% F8 R9 u% d· To ensure that all queries raised with the venues whether from the . S0 h/ @ h: Y8 M; E6 T2 ^+ {7 ?& f
SU or renters, are promptly and effectively handled and adequately
! \* {! B5 x* N6 J& k1 x6 M4 Hanswered, and to ensure that such action as may be necessary in ' ]3 \; x0 A% V3 n) j: U
follow-up to such queries is taken in a timely manner.
) V3 W' T; H% N, v To ensure that the venues and its capabilities are adequately, + d: L; Q9 l" y# K
effectively and cost-effectively advertised and promoted, and that 1 S; d0 C' L; ?' m
the cost of such endeavors does not exceed the budgetary provision 6 J% d# w0 ^8 r. A0 y3 R( g1 Q" r# g8 \
made for them unless prior approval is given by the Manager of $ L% u1 e# f( j
Programming and Venues.
8 W$ r9 P- o5 v* p+ W: F; A· To act as an informed and knowledgeable resource in the case of
0 L0 t% A: ~& g- J* h7 ^" ?6 Tsignificant challenges and/or problems surrounding the tasks of
. l- U8 h1 t' O, Gmarketing, administration, operations, and any such other matters as 2 a% H4 S3 `8 @, t3 O9 V

· To attend such meetings as may be required to support the smooth
