The duties of the Operations Manager - SU Venues are diverse and

& r: y! g/ R! Z+ yfinancial and operational success of the Horowitz Theatre as well as R# o9 g; \5 j, D8 R5 w
the logistical organization and smooth rental of the additional ; k$ [3 C; \8 S% V
venues within the realm of the Students´ Union. In the light of that ! q9 _5 A y( h- W8 D3 z
breadth and complexity, it is not possible to fully define or + N F+ V: G2 ~! R3 h: X
describe all roles and responsibilities in a document of this kind. & {* e. u5 T( ^- r' e; h

Manager are as follows:

safety regulations and building policies.

2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that 2 }! ]. ]# c: A, `1 G
focuses upon advertising and promoting the venue to faculty,
. I/ L# ~# p" c5 nstudents, and internal and external clients on an on-going basis.
; d" U/ {0 T; B4 vThis strategy will include implementing and/or delegating the following:5 y5 s8 o y7 U: U. d. d0 K
· To develop and maintain promotional materials, the Horowitz % n. k, r# h6 y$ N( |
Theatre and SU Venues home page, newspaper and other advertising; to
: ~; K7 m! ~" D' h7 Gtake advantage of other internal and external advertising
5 p3 u S) p+ G8 _# a' F/ Xopportunities; and to develop press releases and other promotional " ?5 ~( T; a* e6 I4 |( R! P
literature on an ongoing basis.
3 N' e f6 H8 j- q$ v; v* X· To coordinate tours of the venues for potential renters.
% [% \. @+ Q y: y9 [1 G- e· To promote upcoming events in the Horowitz Theatre through the 2 p3 W/ q; V. @8 }0 s$ B
use of the Horowitz Theatre Home Page and the SU Events Calendar.% q! N; Z& a9 G, e5 H; _
· To develop new external clients for the venues.

3. Staff and Supervisory Roles and Responsibilities- J% T- X/ |0 M' j% _+ m
2 g+ x) ?- p- |1 y9 Fa. To ensure, at all times, that the venues are adequately and cost- $ z# V5 O6 b: B, n t8 l" ?9 x4 U
effectively staffed, and that the staff utilized by or within the ' U- z1 @: H$ R m5 P* B, t
venues meet the appropriate standards, requirements and needs, and - m6 X) ~6 |4 e+ [ I/ l) I& t! ^
contribute in a positive way to the smooth operation and success of
* Y- u3 M0 Q S4 D1 K, D0 C4 w+ F" Vthe renter´s events. This includes, but is not necessarily limited
/ O, w9 i" l; C% B' X, {; }to, the following:
' B4 P3 Q6 M& D) |, |8 y· To be responsible, under the direction of the Manager of Venues
: [. E1 a2 D: m2 q V- Zand Programming, for all staff issues including hiring, disciplining, ' T- B4 f3 U+ p0 z1 N% v
evaluating and terminating, as necessary.- Q7 C- ^, Z/ M! f. G: S* b
To ensure that the Horowitz Theatre is adequately supervised at
; Y9 {: Q: w+ }! ~1 ^7 V1 t% \all times, this includes the development and implementation of such
+ P+ o; w, p M q9 h4 N; H: nschedules and rosters as may be necessary to ensure the effective and
% }& u: S1 ^) V( b/ Pcost-effective supervision of the venues at all times during which it + ]. n2 L+ X3 o, z G5 }
is in operation or needs to be in operation.3 S% i; T$ e) _5 z
· To work with the Technical Director, when necessary, to ensure
2 T7 H! w& X0 O) `that an adequate and appropriate level of part-time staff exists to 0 T: u. P Q; x: |1 G, k1 }
facilitate the smooth operation of the venues and to ensure all # L7 r; u/ R2 F9 x$ p0 m3 I
renters needs are met.5 W( F1 B$ l" D+ L3 `
· To work with the Technical Director to ensure that the skills k- W& r/ Y7 x; M8 ^0 Y( {$ z
and attitudes of all subordinate staff are appropriate in light of

effective training (and re-training) in all applicable and
, }( |- b5 `3 {9 a, Cappropriate areas, and ensuring that the Policy and Procedures manual

· To work with the Technical Director to arrange staff
: B% X6 O* e$ P; T- Nscheduling. To handle payroll related matters, under the guidance
( N7 Y F' r7 Cand direction of the Manager of Venues and Programming, concerning

· Working with the Manager of Facilities and Operations to ensure ( o! T& Z4 l# D Q5 w
the appropriate setup/tear down of each venue.+ t# e' h' j) {. H- F
· Working with the Manager of Programming and Venues to ensure / i i! n, k1 v! @
that additional requests such as licensed receptions are arranged.

4. Overall Financial Performance

a. To ensure, at all times, that the Financial and Administrative & q0 S2 z- j M% ^* p) z1 U
systems and processes utilized by or within the venues meet the
7 n J7 p, W! yappropriate standards, requirements and needs, and contribute in a 7 v3 y6 E; z0 i3 l3 m$ k i7 Q6 g& f
positive way to the smooth operation and success of the venues. This ' |& \- O6 j& r$ e- S) p3 x6 {
includes, but is not necessarily limited to, the following:
) b2 R4 T. R2 A To provide input and expertise in the formulation of appropriate
" Q" G. \- a6 U- N3 Z3 I5 q. Z/ c" loperating budgets covering the venues to the SU´s Manager of 1 A) v8 q8 E: D& J
Programming and Venues and to discuss and refine those budgets - [' ^* g5 r! c* l! y
Manager of Programming and Venues, and Manager of Finance & 2 ? T& [ p/ F Q& |
Administration prior to their submission for final approval. P: G$ ^8 C( V! n
· To manage the venues in a manner which adequately and effectively
! \9 t# v" {5 F/ X( b2 m; \reflects the budgets approved for the venues and/or which reflects 8 {& m! I* z* x1 g3 d
the best interests of the venues and the Students´ Union.' Z8 h: v' ^' G1 L, l
· To function as the key player in the submission of financial and z1 B$ _* w% R# V0 A9 }# E9 E9 W
administrative documentation covering the venues to be used in the . d0 t: ~4 d5 u+ M6 v
compilation of monthly and annual financial statements, and such $ ?- \4 G' J9 f( F* d

· To discuss those financial statements and other reports, together

· To ensure the existence of adequate, effective and accurate job
( L- k* ?" M; V+ ?0 Qcosting systems to be used in connection with the determination and
d# F" k( l. B9 Ysetting of appropriate prices for rental and staffing rates for
2 q9 l) ]- `) hevents held in the Horowitz Theatre.
5 D$ R* J# p0 Y$ r4 K· To develop accurate documentation to be used in connection with
' J$ w; r. D8 q0 h3 q5 T$ q4 V& T, e! wthe billing clients, and to forward such documentation in a timely
$ J; F! b8 ~( T" I8 pmanner to the Accounting Department.

venues. This includes, but is not limited to, the following:

) h; G7 {1 o0 l5 I) c· To recognize, develop and set in place such rental procedures as
. j" T* u) n5 u/ Kmay be necessary to ensure the smooth operation of the venues, this

# Z4 m& c' s( B# j4 c) w* vin the areas of contracts, inventory management, contract evaluation,
, m a# v% o) g$ O& @7 Wpricing, costing, equipment usage, rental/contract invoicing,
W5 k% ~/ t- d0 k9 V% p3 Ktogether with such other systems and procedures as may be necessary
" t. z- s# [: C5 p: M6 rto ensure the smooth, secure, efficient, cost-effective and 2 S) f$ Z+ t0 _9 V6 q

· To recognize, develop and set in place such operational procedures : e2 b1 y ?7 a; J/ F
as may be necessary to ensure the smooth, efficient and cost- - b" Z; p' s2 I% C

· To negotiate rental lease agreements (contracts) relating to
: L" y3 |, ^) u# ?" m: T- ?3 jdates, rates, staff and miscellaneous charges.
* q# |5 `. y8 m5 t+ i w· To ensure that adequate inventory is available at all times and
$ v9 K: @1 r) c* r% H3 ?that such inventory is stored and issued in effective and secure ways.' o0 M8 ^- W6 h3 F
· To consult with renters as to facility issues in producing their
! l5 B! n/ x4 {- `- Vparticular event in the venues.
3 Z/ S( z1 p- u* ~· To provide the venues on-site staff with such documentation and 9 e+ e2 X- `2 K: S# v, V
supporting information as it may need to effectively fulfill the 8 [& o% Q; b6 E0 n6 `
roles they are to perform to ensure the success of the renter´s event.
V; K2 ]; r: P$ j7 }, L: R" s· To produce quotes in respect to staffing costs for a particular 5 Q- l3 V$ x! [- H3 i
rental with consultation with the Technical Director., ]/ T$ R9 R% N, P
· To ensure that all queries raised with the venues whether from the
+ F; z5 l( z# l6 r& I& Z) |; X7 TSU or renters, are promptly and effectively handled and adequately ; ?; U5 ?" S1 V* x) W) U
answered, and to ensure that such action as may be necessary in + a" D4 g0 l4 h% P/ M
follow-up to such queries is taken in a timely manner.
/ V0 M, r/ d& t: A To ensure that the venues and its capabilities are adequately,
6 X& U1 x* ~/ g3 N( T1 T2 veffectively and cost-effectively advertised and promoted, and that 1 B6 W- ^ `5 _, K; q/ C; _- q; k5 g
the cost of such endeavors does not exceed the budgetary provision ! V5 z* ~- R2 Y# W$ d
made for them unless prior approval is given by the Manager of

· To act as an informed and knowledgeable resource in the case of
: O/ ~4 V M/ @' b8 P( D7 Asignificant challenges and/or problems surrounding the tasks of
