2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that & @ d% h9 m3 I4 L( T$ |0 f
focuses upon advertising and promoting the venue to faculty, l/ n/ U- T* r0 K$ f; M5 F, ^
students, and internal and external clients on an on-going basis. 8 j1 q$ D, e1 {1 A! Q o c
This strategy will include implementing and/or delegating the following:) R$ N+ g5 e: W
· To develop and maintain promotional materials, the Horowitz 3 n4 b$ k" R0 R% Q' w( S8 e1 m
Theatre and SU Venues home page, newspaper and other advertising; to
: v) V: @+ M% b1 W$ p5 w# Ztake advantage of other internal and external advertising - C# v+ _$ K- u
opportunities; and to develop press releases and other promotional
" S* p9 `# u' u& Aliterature on an ongoing basis.
/ j% m# z7 m8 o c6 e# V& v6 A8 K% s* F· To coordinate tours of the venues for potential renters.

3 G# Y$ H* W; O+ U1 n, I# ?8 Y1 W3. Staff and Supervisory Roles and Responsibilities

. u- N" N& f u# K: oa. To ensure, at all times, that the venues are adequately and cost-
. Z" l8 N! E! m9 E# y3 Leffectively staffed, and that the staff utilized by or within the
$ q, ?$ K7 v1 h: p# Rvenues meet the appropriate standards, requirements and needs, and 7 Q9 `/ f8 w6 Q9 w
contribute in a positive way to the smooth operation and success of 0 g2 ? I. _5 a6 d( ^
the renter´s events. This includes, but is not necessarily limited 6 D, c8 E: u, ]
to, the following:! k( I; l6 t3 B/ s& x, {
· To be responsible, under the direction of the Manager of Venues
; C: O! \3 X4 ~! D& Nand Programming, for all staff issues including hiring, disciplining, - J5 J8 Z, _& N6 {
evaluating and terminating, as necessary.
& q1 X+ @" R3 Y K( w2 C To ensure that the Horowitz Theatre is adequately supervised at
/ Q, M s" C8 D# c. |1 dall times, this includes the development and implementation of such $ ~# S1 ^3 d1 {! E7 x
schedules and rosters as may be necessary to ensure the effective and - N; S1 f& }) E; H
cost-effective supervision of the venues at all times during which it
, Q9 r; @8 ~; N$ c4 f: Iis in operation or needs to be in operation.4 _8 |8 N$ c9 X' a. ~( R+ ?
· To work with the Technical Director, when necessary, to ensure
8 W$ }# v/ W1 R, G) q; n5 A! Uthat an adequate and appropriate level of part-time staff exists to $ s; J3 A8 ^2 [" ]% R
facilitate the smooth operation of the venues and to ensure all + f" `4 ?% b8 u, F
renters needs are met.
7 B( ?% T$ ?9 Y2 g4 a* b8 Y· To work with the Technical Director to ensure that the skills 0 o" B$ \1 |8 V+ m6 t
and attitudes of all subordinate staff are appropriate in light of
$ E3 x. @/ _3 p$ o3 x0 ?. [5 \: K. ^the roles they must perform. This includes providing adequate and
1 x z% D, @: q( |/ f5 c" Neffective training (and re-training) in all applicable and
' a1 U' w0 _# v5 oappropriate areas, and ensuring that the Policy and Procedures manual 4 `3 H! f ]! j R K2 @$ s
is kep up-to-date at all times.

excellent customer service to all renters.

scheduling. To handle payroll related matters, under the guidance 2 a) H, g& J4 A5 }' n0 Z
and direction of the Manager of Venues and Programming, concerning ; A7 C, \ ~: Y9 ^

· Working with the Manager of Facilities and Operations to ensure " }6 | y4 A/ ^" N
the appropriate setup/tear down of each venue.( F7 J+ H4 x2 t( L2 A* } e

that additional requests such as licensed receptions are arranged.( Q9 N; @" O; d8 c' s7 m

systems and processes utilized by or within the venues meet the
( t- y$ O r) T; @appropriate standards, requirements and needs, and contribute in a , G+ i0 g1 `/ e0 h
positive way to the smooth operation and success of the venues. This + w' L( r/ r2 s- Z
includes, but is not necessarily limited to, the following:
; Z/ ?: p- B9 x; |- ]0 C To provide input and expertise in the formulation of appropriate
( Q' |+ m6 N7 S; R% o+ E/ w6 z7 moperating budgets covering the venues to the SU´s Manager of
. }5 y# S! E" m- M) FProgramming and Venues and to discuss and refine those budgets
) a& u# d" c6 u1 P* kManager of Programming and Venues, and Manager of Finance &
4 i; d' A: L" ?Administration prior to their submission for final approval.
8 M$ j, @: W& k3 U( h· To manage the venues in a manner which adequately and effectively
" I! g9 {% H& @! `( Greflects the budgets approved for the venues and/or which reflects : B. z5 q4 v% c3 E: d( Q
the best interests of the venues and the Students´ Union.
7 y# ]" @) _# e; l+ Z· To function as the key player in the submission of financial and $ J! R7 a" S6 Z7 y& t
administrative documentation covering the venues to be used in the
; g+ C+ A' O8 m5 ^: ?compilation of monthly and annual financial statements, and such
: }4 l3 D* f# Oother reports as may be necessary.9 f, C; `& f1 f, Y6 Z
· To discuss those financial statements and other reports, together ; _: } L% I, p/ ]5 l F
with all financial and administrative procedures, with the SU´s ' Z2 r- x& }1 u- f* g( D! ]( S

Y$ r" A# Y; _0 _# P· To ensure the existence of adequate, effective and accurate job
7 z3 J7 }& w* {1 S9 `costing systems to be used in connection with the determination and
- |/ `' u" Z1 ?; Osetting of appropriate prices for rental and staffing rates for # r7 @8 e, v/ ]( z3 Q
events held in the Horowitz Theatre.
+ T6 j7 w) D- d+ ?2 \! b2 F3 X0 x· To develop accurate documentation to be used in connection with - o# m& Y0 c# X9 _9 M
the billing clients, and to forward such documentation in a timely

· To recognize, address and handle all matters relating to financial

the requirements of the SU´s Manager of Programming and Venues and
7 Z: o8 T5 e3 V* s- ZManager of Finance and Administration, and in a manner which
. ?# j( H, x0 Fcontributes positively to the smooth operation and success of the

a. To ensure, at all times, that the systems and processes used in # F+ ^% E9 e1 [8 G9 H+ K2 f, n
renting the venues meet the appropriate standards, requirements and 8 M$ A4 M$ L6 K8 E5 m' @
needs, and contribute to the smooth operation and success of the 3 G" a8 {3 L) V$ c! k! D. V% D9 s$ ^ X+ K
venues. This includes, but is not limited to, the following:* @9 \ k3 e# P, x
# }& X; b: C5 w, j7 e; Q· To recognize, develop and set in place such rental procedures as
; _3 J3 L: r* P a0 Q; i( h0 j+ xmay be necessary to ensure the smooth operation of the venues, this + K; K z( d; z
is to include but not necessarily be limited to systems and processes
: D8 I" W/ ~0 F3 c Xin the areas of contracts, inventory management, contract evaluation, + N9 V. J; Q( c' F" t6 E3 ~/ @- B
pricing, costing, equipment usage, rental/contract invoicing, * F y; C! \* }
together with such other systems and procedures as may be necessary
8 m7 I$ e7 X, Z- ^* g$ V+ n7 }" Pto ensure the smooth, secure, efficient, cost-effective and
, l7 i* m+ ~) O2 d |5 |$ k1 kfunctionally-effective operation of the Horowitz Theatre.8 J- R- {& b f5 m( G B" W/ W
· To recognize, develop and set in place such operational procedures 7 ~; u* P3 m- h4 g, w; H+ A
as may be necessary to ensure the smooth, efficient and cost-
( N5 @( J/ F, S; P2 Eeffective operation of the venues.
9 e- {& N) N: \- N& s· To negotiate rental lease agreements (contracts) relating to
5 ~# v) {6 R6 R- Xdates, rates, staff and miscellaneous charges.5 f: w" w# [8 b+ M' h. I& K2 W
· To ensure that adequate inventory is available at all times and " H/ T4 k) P: T/ x/ E; h
that such inventory is stored and issued in effective and secure ways.3 g/ Q, m$ N: |) k3 D
· To consult with renters as to facility issues in producing their
$ x1 S( s2 W, _6 ~: l" l+ Z6 Cparticular event in the venues.
6 G- Q0 D* ]" o9 d: T1 E· To provide the venues on-site staff with such documentation and
7 D- _& ~+ v* e# U, ^. ssupporting information as it may need to effectively fulfill the
% [0 V. u; P% G" I% hroles they are to perform to ensure the success of the renter´s event.0 _: s( |% }$ E$ s% M
· To produce quotes in respect to staffing costs for a particular ' O& m: X. l/ [, i W
rental with consultation with the Technical Director.: D$ w7 D6 F* T
· To ensure that all queries raised with the venues whether from the
" h" u! C6 l5 nSU or renters, are promptly and effectively handled and adequately " a/ M, n0 |* r
answered, and to ensure that such action as may be necessary in , e5 B3 C8 x, G# H. G) Z
follow-up to such queries is taken in a timely manner.1 A% Z5 w! E( B
To ensure that the venues and its capabilities are adequately, - Z+ t+ r& e& C' v) U+ f
effectively and cost-effectively advertised and promoted, and that
7 j0 R9 t& ~. m( {: `$ kthe cost of such endeavors does not exceed the budgetary provision
. o) R/ T' k8 l: g8 amade for them unless prior approval is given by the Manager of
9 f! r9 N, E( t5 T4 T# Y8 @) zProgramming and Venues.
8 {2 }, \$ g/ C: A1 u! |2 g% ?· To act as an informed and knowledgeable resource in the case of
1 {6 P$ [# w) ^& M: g- csignificant challenges and/or problems surrounding the tasks of 1 [1 r X# o: R- m O; ^" Q
marketing, administration, operations, and any such other matters as ' U5 J3 v2 K9 @$ G" G4 E
may provide such challenges and/or problems.7 O4 H( o% ^) P" V2 u5 ]
· To attend such meetings as may be required to support the smooth
$ P' k1 J# b5 x$ w7 L O) E' Aoperation of the venues or the Students´ Union as a whole.
