The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization. This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.- d' Q, N& X: p6 Q3 `! Y

This is a full-time position working 37.5 hours/week. The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:

1 g6 I4 D" R. dOPERATIONS
$ }: x; A# O% q0 q+ X7 D5 U• Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.0 C! c7 [6 W6 n/ I7 N
• Assist in development and implementation of policies and procedures for volunteer services.& L& l0 @3 n* Y, D: ^0 z
• Maintain the volunteer files and update the database using Raisers Edge# S8 H4 Y3 p2 F4 u- D5 a
• Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.# P/ K, \$ T6 a) ?4 X9 D% I
• Develop and implement a comprehensive volunteer recognition program.8 }" w8 C- l c
• Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.; n2 E4 {' ]) e: s! D! @
• Identify and implement best practices in regards to volunteer development.; `7 V* v- u* y$ S# H
• Facilitate placement of practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities. m( w- @" ?) x# v* Z# i9 e% }
• Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required

SPECIAL EVENT PLANNING
1 o e N. o8 q, x3 b8 h+ f• Plan and execute the Power of Being a Girl Conference, in consultation with the CEO
; w( L: @% M4 i& n: x" w$ Q• Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

• Develop and maintain job descriptions for each volunteer position1 Y) M$ y" n+ F3 c6 e _
• Maintain secure volunteers files in accordance with privacy legislation
" M. {- ~; O0 u3 l* G• Provide feedback on volunteers’ performance, as appropriate
4 I3 f+ ]% F7 y. m) a• Ensure Human Resource policies and procedures are adhered to within the department! Z# T: Q, `* R- i j3 }' p0 I
• Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
# i3 F" v4 N- G• Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency6 T" b! ?9 i% ~6 K/ _% e6 e
• Develop resource and orientation materials for Volunteer Services; E M) M z) m
• Maintain monthly and yearly volunteer statistics for reporting purposes" u9 [. D- }# J _6 f
• Prepare a regular monthly program report

FINANCE
8 O5 B, M2 Y i) r" \• Ensure the program operates within approved budget and be familiar with potential variances
6 h( s, j5 _9 m' E8 n% s• Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required {3 l# a; A+ V3 @4 h4 X; B

INTERNAL/EXTERNAL RELATIONS, k* N& u! o4 B& {
• Act as liaison to the Y-Knit group of volunteers1 t$ z! a! b' v$ M% m2 r1 k
• Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta) s1 D0 ~# A$ l
• Follow up with correspondence to outside agency volunteers as appropriate " t( [0 f2 U4 P% w4 O X4 t! w) n
• Attend external functions such as volunteer fairs, trade shows, and special events as required+ ~. H8 L: s5 J3 p4 {

/ R+ b+ _" V8 o) |. E) H+ o7 v• Minimum 2 years experience in Volunteer Coordination
+ e) k+ `4 V9 F8 E2 O( P• Excellent organizational skills and multi-tasking ability
5 p3 p6 b- F9 r$ Z• Demonstrated superior volunteer supervision skills
6 |& H. ]6 u' H) H• Collaborative working style and excellent interpersonal skills
9 p) `9 a6 u: D; ]- s! G* \• Ability to work to meet deadlines and to work under pressure
