The YWCA has an opportunity for a Volunteers Services Coordinator. Volunteer Services supports a number of programs and events within the organization.  This dynamic position is an excellent opportunity for an experienced Volunteer Coordinator to make a significant contribution to the YWCA.

This is a full-time position working 37.5 hours/week.   The Volunteer Services Coordinator reports to the Chief Executive Officer.

Job Responsibilities:

OPERATIONS% f5 D1 P( t  M6 ]. i  q( v
•        Responsible for the development, orientation, coordination, recruitment, screening, training and integration of volunteers into YWCA programs, services and special events.
6 a: J8 d8 u- I2 i+ T7 R* T•        Assist in development and implementation of policies and procedures for volunteer services.: r9 c9 {9 L6 P( U
•        Maintain the volunteer files and update the database using Raisers Edge
4 Z. b% M/ G4 ]+ }' O•        Ensure that appropriate training is provided, on an on-going basis while giving volunteers opportunities to expand their knowledge, expertise and skills.( u7 A2 @- i+ b5 _
•        Develop and implement a comprehensive volunteer recognition program.# t2 `' h+ b& x' g( E$ M4 K
•        Measure and report on key volunteer metrics including satisfaction, engagement, turnover and volunteer hours.
& s  b% H3 o! Q•        Identify and implement best practices in regards to volunteer development.
7 X& x  x; J' U/ E$ I•        Facilitate placement of  practicum students, and grant-funded personnel throughout the agency, in order to provide appropriate career development opportunities  l4 a0 A5 E& _' v' @. S- b
•        Collaborate with other agencies to provide suitable placements for Persons with Developmental Disabilities. Orient volunteers and their support workers, schedule work-dates and provide direct supervision when required8 h2 A' k  {5 e( x/ `

( ?$ u9 K4 i8 s) X# s•        Plan and execute the Power of Being a Girl Conference, in consultation with the CEO- b$ }1 M- Y6 i- ]# m1 e
•        Book the venue and speakers, register participants, provide on-site logistics and complete the post event wrap up

2 `, m% _+ ?3 ]. e: }1 ?/ yADMINISTRATION
2 h+ N6 n, [+ F8 F8 N; ?•        Develop and maintain job descriptions for each volunteer position: s2 I, R- E0 Y3 h! P5 E7 X
•        Maintain secure volunteers files in accordance with privacy legislation
/ K3 H% |$ A- N- Z3 @•        Provide feedback on volunteers’ performance, as appropriate9 m: x, Q& ^9 z  V
•        Ensure Human Resource policies and procedures are adhered to within the department
* w  t4 j8 [& O$ h) B! z0 s8 C•        Maintain an up-to-date Policy and Procedures manual for the department and develop new policies and procedures as required
# F  O9 n& H0 W" G+ j3 o•        Ensure that all forms related to volunteer recruitment and placement are up to date and implemented throughout the agency
4 ?8 C2 T; ^5 b3 Z•        Develop resource and orientation materials for Volunteer Services7 G1 R/ _1 x! E  R
•        Maintain monthly and yearly volunteer statistics for reporting purposes3 U( r7 v) d5 O& ^1 v
•        Prepare a regular monthly program report

FINANCE
: [7 d( E- I- D) L5 i  O9 H" ^•        Ensure the program operates within approved budget and be familiar with potential variances" B7 w* _% b" K+ f2 T1 i* y
•        Prepare volunteer statistics for grant and funding applications, for this program and other programs within the agency. Provide supporting documentation when required7 m; t/ E) ?9 U6 s# [" }
; `$ f) ]5 \5 c, u. L, h+ U
INTERNAL/EXTERNAL RELATIONS
8 ^* g- C* k3 |% h7 f•        Act as liaison to the Y-Knit group of volunteers/ v0 F! r* G2 t1 }# V" L
•        Act as agency’s liaison to other volunteer organizations (e.g. Volunteer Management Group, Volunteer Alberta)
% V4 M8 Z  Q* t; z; Q•        Follow up with correspondence to outside agency volunteers as appropriate : Z# N; G, j+ I& e" M0 Q4 k
•        Attend external functions such as volunteer fairs, trade shows, and special events as required# N$ `# _: ^7 n$ e

Qualifications:
. v0 y2 L' h4 s6 g
" j4 p' s6 T! t/ L•        Minimum 2 years experience in Volunteer Coordination* c; u- q# j& e/ M
•        Excellent organizational skills and multi-tasking ability2 f; @; D6 o( r* P2 R$ |
•        Demonstrated superior volunteer supervision skills+ T6 _+ ?9 [0 s
•        Collaborative working style and excellent interpersonal skills 8 V1 o- @/ @8 C/ ~# V
•        Ability to work to meet deadlines and to work under pressure+ x0 n  {: k: F
•        Ability to work in a team-based environment, with cross-functional work teams on projects
/ a3 p8 _# q) t, P: ?•        Sound judgment and ability to maintain confidentiality
9 n: p, w4 l- i0 B! \5 l  P- C% x# i•        Knowledge of Raisers Edge software would be beneficial
