Change for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

( @8 r& R/ L% I$ Q( ]CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.$ j% f% y9 C3 w: d9 i' L) S4 Q

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.

• Manage office technology software licensing and hardware maintenance.( p- \: K0 S0 ~1 V8 {. G9 q/ S

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.+ ^+ D* |$ y5 l6 M# Q

• Support effective internal communication by recording and distributing all meeting minutes.

• Meet weekly with Program Managers to define priorities.

• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.

Key program support duties

3 ]$ L2 n6 G# k: X3 WInternational Projects and Public Engagement/Communications:

• Maintain inventory of communication materials.
) g5 `' i( c) N# l+ i8 y/ J" {7 z+ Z# K: p
• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

2 @. D% K8 S0 s% w2 ^$ G/ N4 d• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.6 C2 l% M& h+ \! I, f1 ]

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

6 e* g# h2 I7 l• Compile information packages for fundraising and promotional purposes.

• Provide administrative support for public engagement events and mail outs.

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport./ L0 t2 a8 j& O4 p' b" \! ~

Fund Development7 m3 K% n. S$ ?' q. l3 f) ^

6 m3 y/ \+ p8 a0 m• Provide logistical support for key fundraising events such as silent auctions

+ S) p) Z% E: ~$ x2 Q! H• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

( }! g5 h: o9 p; l7 {2 v• Coordinate volunteers for some fundraising events such as Casino and annual sales events.. u/ S2 t* N) q' M- i, @

1 r5 i, J- A& S2 A• Support logistical work required for CFCA’s Annual General Meeting

# c# Z$ k- [# j9 ySkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.% ~5 j' E4 c: U8 c
