P& y, k  F* yChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.

CHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.$ V8 ~7 L' G6 z7 N

1 V+ F' N. p4 o# E$ Q• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.

• Complete data entry in various programs.

1 Z1 O& ]! F3 F) ]+ C7 c" I• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.& y  {  H0 W0 m! f( \% u# d

• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.. M5 y) K5 E% b# }% B* E, G

• Manage office technology software licensing and hardware maintenance.3 X1 {, M) N5 E, I8 b6 K

: l  `. x" Y! w  N• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.$ U8 I: B$ J$ ?0 v* V( g: Y- h

• Support effective internal communication by recording and distributing all meeting minutes.

* Q1 d5 @5 |* T* `; m6 @• Manage all CFCA administrative communications such as liaising with financial institutions, service providers etc. related to administrative management.2 u0 G% A; @; \, Y8 [

• Manage mail outs for fund development or education purposes with support of Program Managers.

• Maintain inventory of communication materials.
* J7 @7 I+ t9 [# S& }9 I
. j% c( O5 V6 G8 F9 }• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.5 w" V9 {% Q" d7 j' C) I& q+ C

' R2 c- K( l3 P/ K3 g• Identify and maintain a current media list and database. File all media articles and press coverage of CFCA.: n% S; E/ G5 ~* Q) v8 K

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.: ?9 Q2 a) n0 F: T# _3 C

• Compile information packages for fundraising and promotional purposes.
& [7 X4 h6 `+ l8 [7 V' Y$ i9 R3 \# s6 J/ d! t0 s% @" `) O
• Manage database and support distribution of print publications.

, G6 `3 g& n+ E, J% G# e, _8 V• Provide administrative support for public engagement events and mail outs.

9 W" p* ~  e- x, n: @) C* {• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.' y: C! x1 Y2 |, v0 X/ v

• Provide logistical support for key fundraising events such as silent auctions: K% s4 }7 g" Y! L

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.$ _9 W% `  M+ ^

5 X3 Y- o# }8 D7 z• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

) v+ `0 b' _/ y1 [• Support logistical work required for CFCA’s Annual General Meeting2 a7 Q: V" o. ~5 k# p

• Assist in administrative tasks related to donor recognition and event reconciliation as required.

# x1 r6 d" x/ w2 aSkills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Starting salary is $18/ hour with benefits to be negotiated upon hire. Position will commence on November 01, 2009.
