Major Responsibilities: ! Q: x8 S+ ~7 p2 Y7 U0 V
2 J& V( v/ j$ QGeneral administrative, clerical and operational support for the branch - broken down into the three categories below.% q. J2 _$ Q0 F( b
# h* k; C# z. m$ K: v _Accounting and Admin:2 U! o5 p9 h, q" _
o Assist with generating new S.O.s, W.O.s and P.O.s.4 R- p5 `4 O/ d, |; M
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.
0 V8 j9 H- Z5 Uo Receive P.O.s in Glovia.; o5 R+ ^" \. O* i9 t1 V+ G
o Timesheet data entry for Glovia and payroll, on a daily basis.# l; B7 n" k3 z$ } D6 w
o Coordinate the processing of new employees with assistance from HR department.
! i5 b% ^( ^/ ]% E* B! r7 H; ~o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.
5 t$ Q, a }: }o Forward supplier invoices and backup detail to A/P for processing.4 C. v- A! _! X' g5 o
o Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.0 O- c, V/ k7 P2 T& Y! a" t
o Processing of Visa and/or MasterCard payments.6 O( M' A4 i$ ?# Z6 S) V
Operational: _6 b3 n5 [; L7 ?' Y* I
o Maintain a customer database for use by all branch staff.
) S- d* H; b! }9 e$ |; ~o Input customer data into Goldmine (when Goldmine is implemented).
5 @8 p! W0 x) ]- x- h* J; Ro Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.) j7 V7 b0 G7 a, @5 ?+ I' c; G
o Maintain service records and maintenance schedule for all company-owned vehicles.+ d2 o2 S1 s/ z; F$ C! G+ I
Clerical:
* D4 }5 K5 L* k) B( k: H6 Lo Telephone and reception.4 i4 R4 V6 o, }% m% ?, n% `
o Back up tapes, weekly, for branch server., s. ^+ ~5 e ^/ h0 ^% S* E
o Hotel and travel bookings.
9 s) e( G9 s2 D4 Wo Maintain inventory of office supplies and replenish as necessary. g! ]" m) x; Q, Q
o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.- f( J |6 ~* o" [- g/ ]. y. H9 a
o General office filing.3 S4 N7 t$ @) c# h
o Filing and archiving of closed work order files.

• Excellent interpersonal and listening skills.

% p/ |5 e" ^" P• Organization and multi-tasking skills.
