Position Title: Administrator

Major Responsibilities:

, F Z, g# h0 u+ Q- lGeneral administrative, clerical and operational support for the branch - broken down into the three categories below.6 R, f" Y* T& q* S( n0 u# P
, b2 T7 Y( \2 B, N, l) G" g# a
Accounting and Admin:: C/ j0 S i* O+ t0 d6 n
o Assist with generating new S.O.s, W.O.s and P.O.s.; A Y! M L8 o9 u
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.
8 G8 {4 ~9 g! b+ C% ]9 O5 fo Receive P.O.s in Glovia.
5 f5 N6 Y0 I& u% C/ @7 x" N V0 ko Timesheet data entry for Glovia and payroll, on a daily basis.
2 g P6 k. l7 r4 ^3 b, X8 V6 Bo Coordinate the processing of new employees with assistance from HR department.: T( z7 M6 Q" ]2 R9 i' B
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.$ U0 z& ^$ @3 k2 C, X% K
o Forward supplier invoices and backup detail to A/P for processing.8 z+ t& G2 b" b! T# k" ?; K1 E, m0 x
o Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.# L6 @! U/ S3 R! w w; n
o Processing of Visa and/or MasterCard payments.
& R \9 o/ W s" a0 p: K, l! dOperational:! `+ j/ I, `1 K2 t/ D
o Maintain a customer database for use by all branch staff.9 r ?4 X4 d8 N5 F
o Input customer data into Goldmine (when Goldmine is implemented).
6 j9 n2 [. ^: l1 c% ko Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.9 I* x! x/ l( K4 A
o Maintain service records and maintenance schedule for all company-owned vehicles.

7 s& B' _; I/ W" _# ^o Telephone and reception.0 O" a) W7 l$ m8 E
o Back up tapes, weekly, for branch server.
c: K6 V Q6 v4 y, G4 Fo Hotel and travel bookings.
" x6 u5 L; n1 p& N0 Eo Maintain inventory of office supplies and replenish as necessary.7 g) i) l! S. z; E
o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.

o Filing and archiving of closed work order files.
, i! V, N+ D' G+ U) ho Other administrative tasks as required and/or as assigned.

• Must be able to communicate effectively and professionally both verbally and written.+ }: O9 c- l: `' F' b, `/ T" e" m
• Organization and multi-tasking skills.

• Able to work independently as well as a team.
