Position Title: Administrator

Major Responsibilities: 0 r' x& U" J9 x$ ]8 k+ n% k

General administrative, clerical and operational support for the branch - broken down into the three categories below.

1 W; I$ U, r. l. V8 K4 g0 {4 AAccounting and Admin:- J( t2 L- M# O4 s' _
o Assist with generating new S.O.s, W.O.s and P.O.s.6 F1 ]" P5 M8 [/ o/ y( l
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.2 @0 X! p7 |3 c. _9 ?: L- e' S. V
o Receive P.O.s in Glovia.* S0 k! E* H6 N& i
o Timesheet data entry for Glovia and payroll, on a daily basis.- |$ J* U% H. b2 [; O' U6 u* N; o
o Coordinate the processing of new employees with assistance from HR department.. d7 o) h# b$ E( ?! m
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.; \5 \$ {, Y. E# V
o Forward supplier invoices and backup detail to A/P for processing.
: P* L' o0 a4 o: Fo Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.
, Z9 h# m0 ~' io Processing of Visa and/or MasterCard payments.6 z1 E( Z) E( X
Operational:: D' }' p0 j5 B! O5 S: }4 Y
o Maintain a customer database for use by all branch staff. P$ v0 q S# ], j. @$ h
o Input customer data into Goldmine (when Goldmine is implemented).$ ~. H+ L0 D- s9 h6 E
o Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.! R( n8 u3 L4 j! P
o Maintain service records and maintenance schedule for all company-owned vehicles.
* V6 A4 \6 e2 `0 L S1 u+ x" WClerical:
7 c8 w0 J! u- l6 K/ E" T. i& M1 io Telephone and reception.4 b# i0 o ~$ I# D$ z. e5 J- _
o Back up tapes, weekly, for branch server.7 k# M& P1 Y7 {# `
o Hotel and travel bookings.
1 r' Q& h. L1 y9 |o Maintain inventory of office supplies and replenish as necessary./ ` _/ R8 |! h& T3 Z/ m
o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.

o Filing and archiving of closed work order files.

Qualifications:

6 A/ ?: D7 Y% E5 |• Experienced in MS Office software, general office equipment.

• Must be able to communicate effectively and professionally both verbally and written.' y; K5 ^1 M* {& `. t; b: l
• Organization and multi-tasking skills.
