Position Title: Administrator

Major Responsibilities:

General administrative, clerical and operational support for the branch - broken down into the three categories below.

1 A) r6 O: R: Q+ p* Q* lAccounting and Admin:
7 b. m, v. u" m- [9 |9 D) C* xo Assist with generating new S.O.s, W.O.s and P.O.s.
$ q* R: R1 \6 j1 to Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.
) j2 Z a$ P6 |: w; \o Receive P.O.s in Glovia.
8 i P3 [3 W, g. a- H, @$ Co Timesheet data entry for Glovia and payroll, on a daily basis.! Q( ~( Y- z- `+ ^" r
o Coordinate the processing of new employees with assistance from HR department., X5 `0 p% y0 q$ B# b5 i
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.7 L1 ~8 H2 D9 Z7 O& }- L
o Forward supplier invoices and backup detail to A/P for processing.$ n I5 d4 O' a+ p
o Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.% n P/ g- a$ x$ i1 X
o Processing of Visa and/or MasterCard payments.; H( ^* ?* ~1 h1 S
Operational:# o# I' Z& o0 c9 ^" ?8 t8 d
o Maintain a customer database for use by all branch staff.
' f9 R3 t1 E, i5 x' X6 v4 s0 [o Input customer data into Goldmine (when Goldmine is implemented).
/ U6 x8 t) ]' g; G" |' Ro Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.; c8 w) t. v6 ]- N% s
o Maintain service records and maintenance schedule for all company-owned vehicles." b8 V& i3 t4 q* S1 q0 o* g
Clerical: m4 V& Z! E( `; j' [* @5 ?$ }
o Telephone and reception.
7 Y, {6 {$ D# R3 S g# b$ A! no Back up tapes, weekly, for branch server.
5 k; d6 g1 W& `0 a. u4 y3 Qo Hotel and travel bookings.+ q* k' n. B0 {* A9 u
o Maintain inventory of office supplies and replenish as necessary.
+ @- l" |# M+ ho Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.
' |. i/ e% r& ^- Mo General office filing.
' u' C# _ g! U7 f- I5 H5 z- Vo Filing and archiving of closed work order files.% g _1 a5 F" Z
o Other administrative tasks as required and/or as assigned.

Qualifications:

• Experienced in MS Office software, general office equipment.
2 C+ c% U( x2 ?( X V$ \. I• Excellent interpersonal and listening skills.( @; s5 p! T% i( G4 G- ^/ w& R
• Must be able to communicate effectively and professionally both verbally and written.) h5 n# Q0 m4 l2 D$ d0 |* R3 q
• Organization and multi-tasking skills.

• Able to work independently as well as a team.
