Position Title: Administrator

Major Responsibilities: 7 o6 V" c6 K4 _; w: E
6 W& Z/ T: f) H0 S& Y) N; o) yGeneral administrative, clerical and operational support for the branch - broken down into the three categories below.5 X7 P- i$ o5 w }$ U
( ~$ D& n, S) F9 |( E# B! M2 kAccounting and Admin:1 @* l( T+ A' ^
o Assist with generating new S.O.s, W.O.s and P.O.s.% J- x5 d& H4 D6 R- O( U; L: K! Y
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.
' f! X; X, D, K/ V3 r' ]o Receive P.O.s in Glovia.
4 O9 R+ ~0 ~. ^; F7 Y5 v( Wo Timesheet data entry for Glovia and payroll, on a daily basis.5 J8 Q" e7 ^5 G8 D) _3 h" j$ K h
o Coordinate the processing of new employees with assistance from HR department.* W) C- z/ x* O, P7 l% ]
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.
' B& f% l/ g8 wo Forward supplier invoices and backup detail to A/P for processing.
2 h/ s; u) o; X% Y, L- qo Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.: q2 O; P5 V6 c' o* H8 F7 [
o Processing of Visa and/or MasterCard payments./ m7 J0 ]) N7 O6 B
Operational:
1 C. Z0 S, Q! B, s" C9 e( Qo Maintain a customer database for use by all branch staff.2 \1 D4 A5 R( {
o Input customer data into Goldmine (when Goldmine is implemented).
8 B6 [* i0 W; ^1 T! e1 M$ zo Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.. \& O- L$ O) K# u9 a6 q
o Maintain service records and maintenance schedule for all company-owned vehicles.
1 U+ i) P. J% S. OClerical:
" R3 x+ P9 T& {$ n% X7 f2 Co Telephone and reception.. {& \2 A7 Y+ o, v2 M& R
o Back up tapes, weekly, for branch server.
' I( S1 H' R/ |4 ^o Hotel and travel bookings./ _6 w3 F0 q6 d. U$ W. v" Z
o Maintain inventory of office supplies and replenish as necessary.3 j, V. N; y+ O9 v' v" B. U; X; g
o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.

o Filing and archiving of closed work order files.

• Experienced in MS Office software, general office equipment.
# \: B: r# X# e" N& r• Excellent interpersonal and listening skills.
X6 d& U9 S8 K, N7 I- [0 ?• Must be able to communicate effectively and professionally both verbally and written.( B* N3 }/ ]2 ^) Z8 U0 q, S
• Organization and multi-tasking skills.
