Position Title: Administrator

( C2 z t3 R0 YMajor Responsibilities:

General administrative, clerical and operational support for the branch - broken down into the three categories below.! B. t p* E8 P7 K" c4 g; y
: W- q; c, G3 K# W" ^
Accounting and Admin:
/ ]$ b8 v1 H5 Q, E3 ao Assist with generating new S.O.s, W.O.s and P.O.s.8 c3 h2 Q1 G" t
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.; _ [6 g2 ~% d9 c1 D) o, l1 N. O6 I
o Receive P.O.s in Glovia.
2 @& t( A& j% ~5 Ao Timesheet data entry for Glovia and payroll, on a daily basis.2 O2 A: _4 l' @( [
o Coordinate the processing of new employees with assistance from HR department.8 o& L+ n8 N1 {$ k! Q
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.
. w( d( |, G5 V3 i- oo Forward supplier invoices and backup detail to A/P for processing.8 x* r! o; @3 O3 O/ b( L
o Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.
% S3 j: q+ M/ j; s* Q ]5 Ao Processing of Visa and/or MasterCard payments.& R( r, g" F* L, {& o3 }
Operational:: i& @5 ], R- E6 A; j1 }3 U" n: V: b: U
o Maintain a customer database for use by all branch staff.1 m. I. p/ r: g. A/ P
o Input customer data into Goldmine (when Goldmine is implemented).
' a$ b0 u; L" r3 w1 t+ |o Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.
3 N6 c) V8 T: r; C6 qo Maintain service records and maintenance schedule for all company-owned vehicles.3 P5 W; F/ L! q; e
Clerical:5 ~( m+ s: ?2 ^) B+ e
o Telephone and reception.
4 \" `, G: c/ [$ k! [2 L$ k5 ro Back up tapes, weekly, for branch server.2 V5 J6 b6 B0 o9 Q4 j
o Hotel and travel bookings. ^1 C! @; f {% W7 _5 v
o Maintain inventory of office supplies and replenish as necessary.
% Q. |! [/ ?5 ?* Xo Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.9 l7 k- E8 n; o y( y, E
o General office filing.% b# m5 J& V. A. { G( f. O
o Filing and archiving of closed work order files.* W7 E4 }' e- Y' T( Z
o Other administrative tasks as required and/or as assigned. b; ^4 A, Q' t6 ?. x% ]+ R% B1 {

• Must be able to communicate effectively and professionally both verbally and written.
