Major Responsibilities:
1 V0 I; }2 |+ l" x. s$ I7 l+ K; \8 j! M0 I- y, ~" ]
General administrative, clerical and operational support for the branch - broken down into the three categories below.1 m+ k' r6 G- g; E$ m
) E" O( g6 V6 L3 ]& s4 QAccounting and Admin:6 {; U/ Y9 k, a. X6 m) A+ t. W( Z
o Assist with generating new S.O.s, W.O.s and P.O.s.' I6 O: u# p+ Y
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing./ W( }* Z X- r$ E
o Receive P.O.s in Glovia.) x1 X! G( {. l( u" j8 X- w
o Timesheet data entry for Glovia and payroll, on a daily basis.
+ w9 w9 _4 P3 ^1 K4 T$ F, eo Coordinate the processing of new employees with assistance from HR department.
! P7 r6 f9 N+ ]+ L3 t$ r; b o9 no Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.- L Q: t# R: O/ ~$ Z9 Q5 S
o Forward supplier invoices and backup detail to A/P for processing.
8 C7 S4 x$ t) c7 }, Q, Q) y6 Q7 lo Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.
5 a J2 L: x2 a. Vo Processing of Visa and/or MasterCard payments.
% ~, F1 U5 T! w0 Z* B( v* DOperational:. U @; ~2 k) g$ e% n$ p5 m% k! P6 U
o Maintain a customer database for use by all branch staff.
9 q5 l( q& H3 h/ Y+ o* xo Input customer data into Goldmine (when Goldmine is implemented).
) F( a" p9 m- V# Do Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.# Z$ S8 X7 `* d# A d2 E: N
o Maintain service records and maintenance schedule for all company-owned vehicles.) H) D" m) v) t$ a
Clerical:/ m" v5 H0 R, [- e) _3 C+ [$ o9 T, C
o Telephone and reception.2 k, p4 T. L5 u
o Back up tapes, weekly, for branch server.
% C7 Q4 A) `6 b- t9 S# `o Hotel and travel bookings.- i5 i; v/ Y: L+ k- V0 |
o Maintain inventory of office supplies and replenish as necessary.
& o) h$ u! x8 c6 T4 j( j- yo Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.

o Filing and archiving of closed work order files.* Y" Q6 q9 c( x; O
o Other administrative tasks as required and/or as assigned.
