Position Title: Administrator

Major Responsibilities:

: ~" O, |! g9 ]" }General administrative, clerical and operational support for the branch - broken down into the three categories below.

3 C& @: n/ P3 NAccounting and Admin:! Z1 r* n+ w( b* T
o Assist with generating new S.O.s, W.O.s and P.O.s.4 ~9 c: W, c" x' C/ e2 d% ?
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.
/ i& b% F y J" A7 M7 ~o Receive P.O.s in Glovia.2 _0 a8 A7 A9 O v& m& e- O
o Timesheet data entry for Glovia and payroll, on a daily basis.* b" i# X; K* u" w, J& X
o Coordinate the processing of new employees with assistance from HR department., X; Z: F6 ]/ H
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.3 q1 R b$ S3 I ~9 }
o Forward supplier invoices and backup detail to A/P for processing.* P0 U- L2 l1 S/ x. \
o Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.
+ d. q5 k& l b: f' c' Fo Processing of Visa and/or MasterCard payments.

6 Z: ^& i1 l! n1 bo Maintain a customer database for use by all branch staff.1 Z' G7 Q& G4 c
o Input customer data into Goldmine (when Goldmine is implemented).
: F4 N2 w& h, j, N) U) \o Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.
* H9 D8 E/ r+ X. q0 [) r* ^) y3 M4 |o Maintain service records and maintenance schedule for all company-owned vehicles.

$ c( a/ A' T7 |. Z$ X7 v+ n+ Jo Telephone and reception.' x. R# d# Q; O0 \: P: A# ?: h9 r+ Y
o Back up tapes, weekly, for branch server.2 P; @: S2 s8 Q4 ^& o Z
o Hotel and travel bookings.1 d( @0 d; i6 a& [
o Maintain inventory of office supplies and replenish as necessary.7 g2 {( R9 G9 g' C7 Z+ T# E$ d6 J* o
o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.

Qualifications:

• Experienced in MS Office software, general office equipment.5 D) k6 z" ?# i
• Excellent interpersonal and listening skills.

• Organization and multi-tasking skills./ c8 ]$ k/ `& E0 N; a
