Position Title: Administrator

Major Responsibilities:

General administrative, clerical and operational support for the branch - broken down into the three categories below.

Accounting and Admin:
7 @3 w& o# a" Q' o, I5 I$ Jo Assist with generating new S.O.s, W.O.s and P.O.s.8 G% J( ^1 m; I2 i( c
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.( ~5 T% S0 Q) j% w' s9 _. Z; N
o Receive P.O.s in Glovia.
8 O, I' b! Z" {o Timesheet data entry for Glovia and payroll, on a daily basis.) ?( \# U& f2 L! D! g
o Coordinate the processing of new employees with assistance from HR department.3 Z, b- |( C, I3 G
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.3 w. y# `& a' h$ L: W5 L9 I& P
o Forward supplier invoices and backup detail to A/P for processing.+ M7 t6 V; f0 M6 ~+ H i4 D
o Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.
6 h. S/ U: _- }$ S6 d no Processing of Visa and/or MasterCard payments.

8 j! { z% s Mo Maintain a customer database for use by all branch staff.
9 D5 x/ Z' Q. F0 {o Input customer data into Goldmine (when Goldmine is implemented).; j6 N, j! F/ c8 n
o Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.' \4 K- W! O* [
o Maintain service records and maintenance schedule for all company-owned vehicles.
& T! a% j0 Q+ X7 PClerical:( m2 \4 q7 c& D4 L' K! ]* M
o Telephone and reception.
' l) _# ?; U+ o2 D# T; Y: mo Back up tapes, weekly, for branch server.
8 c$ B/ x( n4 Z5 r8 F' O4 {o Hotel and travel bookings.) ]+ ^; X+ Q, F5 Y$ H! M9 v
o Maintain inventory of office supplies and replenish as necessary.2 B# ^( d0 S2 W
o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.6 e8 @9 F$ N/ e2 n/ ]6 y4 n& N$ G2 t
o General office filing.
2 v4 ~9 J: ?& Co Filing and archiving of closed work order files.

Qualifications:1 G: F7 D0 O" j* C8 p# L1 E
5 Y) S' ] m/ E5 d• Experienced in MS Office software, general office equipment.
; T) t- b4 E) f6 }• Excellent interpersonal and listening skills.
/ {' S( E7 F2 v* i, {2 a• Must be able to communicate effectively and professionally both verbally and written.
6 f$ u' W# @* v& p; w$ ?• Organization and multi-tasking skills.
