Position Title: Administrator

Major Responsibilities:

General administrative, clerical and operational support for the branch - broken down into the three categories below.

Accounting and Admin:
3 W r2 |+ d d4 [o Assist with generating new S.O.s, W.O.s and P.O.s.* j; l0 G; a: W9 }% E# y
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.* {2 L0 r* Y+ W# |5 b5 N7 ?
o Receive P.O.s in Glovia.4 a0 W5 J4 K1 ]$ Z' z9 \
o Timesheet data entry for Glovia and payroll, on a daily basis.5 P3 H) k! g0 j9 Q0 U
o Coordinate the processing of new employees with assistance from HR department.1 x' \# Q2 Y! }+ x T
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.
0 i# g- \9 r' }' A* C" To Forward supplier invoices and backup detail to A/P for processing.
3 J; m) V7 i- x$ u) B9 q+ E6 fo Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.

Operational:
. \0 a$ b* B# K+ Ko Maintain a customer database for use by all branch staff.( I+ a! N4 r% h {
o Input customer data into Goldmine (when Goldmine is implemented).1 ^& v. P9 }8 Q
o Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.
) N/ J& |! \- {o Maintain service records and maintenance schedule for all company-owned vehicles.! }2 F$ u3 J" _
Clerical:& k' n, R# ? s: d& @- x( c
o Telephone and reception.
/ M1 s4 _7 ^- j- ? Ro Back up tapes, weekly, for branch server.
7 \. _5 m* Y' P ?o Hotel and travel bookings.
( T$ [, {% Q: k/ fo Maintain inventory of office supplies and replenish as necessary.
: a6 o+ m8 c( r5 wo Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.. g% }) n+ t% ?! r4 S, R
o General office filing.
9 S6 n" p6 h! I; [o Filing and archiving of closed work order files.3 v1 M* W$ P1 E. Z
o Other administrative tasks as required and/or as assigned., G7 U; g9 k& x; p @: A+ T

Qualifications:

• Experienced in MS Office software, general office equipment.5 |6 n. s7 J' y8 `$ N
• Excellent interpersonal and listening skills.
9 e& C n+ S4 ~0 n• Must be able to communicate effectively and professionally both verbally and written./ D4 F3 ?. R2 D P, _
• Organization and multi-tasking skills.
