Position Title: Administrator

General administrative, clerical and operational support for the branch - broken down into the three categories below.4 G" q, Z" u$ Q7 z9 w
5 C5 ~4 a! }, P" R/ |Accounting and Admin:' q( g1 b" r6 N ^8 X2 t) c
o Assist with generating new S.O.s, W.O.s and P.O.s.4 Z; ]& x' C( N4 d* `' {
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.
8 V% a" v7 Z; \! Jo Receive P.O.s in Glovia.; T0 p4 d+ d/ @; I: Q$ s) w, ^
o Timesheet data entry for Glovia and payroll, on a daily basis.
0 d% A: u* t3 q" Bo Coordinate the processing of new employees with assistance from HR department.
; t! l( o8 }+ e5 _/ _o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.
# \* H s% O0 T( t; l3 ro Forward supplier invoices and backup detail to A/P for processing.$ e$ x( l" {1 l3 V: T: d* e, d$ e
o Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.
( T: {: ^) B1 T6 ?" Vo Processing of Visa and/or MasterCard payments.
1 F, n/ r' v0 i% P" Y0 j+ x* {+ T# iOperational:
7 ?' e3 @: G4 }1 }o Maintain a customer database for use by all branch staff.
, r/ z3 S0 R& ?' }o Input customer data into Goldmine (when Goldmine is implemented).
3 H }: n( C6 R5 Ho Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.
7 p* _$ v2 l. H* u* ~! So Maintain service records and maintenance schedule for all company-owned vehicles.) y$ G( y) t/ e" d
Clerical:
* o; t+ C* x8 C ]7 F3 fo Telephone and reception.
4 i+ K0 m) d0 go Back up tapes, weekly, for branch server.5 G4 ]5 F7 M7 v6 Q- p
o Hotel and travel bookings.) H, s( m4 \ h5 Z6 t$ C* V
o Maintain inventory of office supplies and replenish as necessary., e! z$ E2 W+ M/ _/ L
o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.

o Filing and archiving of closed work order files.# Z( u5 t: J5 _5 l- N
o Other administrative tasks as required and/or as assigned.

• Experienced in MS Office software, general office equipment.

• Must be able to communicate effectively and professionally both verbally and written.4 |( K2 T, `6 Z/ ?) S8 V6 B+ K$ Z
• Organization and multi-tasking skills.
