Position Title: Administrator

General administrative, clerical and operational support for the branch - broken down into the three categories below.

* I0 o) h4 N0 SAccounting and Admin:
( @# Q8 }$ R* I+ ?1 k0 [o Assist with generating new S.O.s, W.O.s and P.O.s.8 t. a( C% c4 l; |
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.
6 D3 h, U7 {/ ~4 w H/ H; o/ Ko Receive P.O.s in Glovia.% l0 t* G8 {. k9 K$ G
o Timesheet data entry for Glovia and payroll, on a daily basis.( B" u8 f) W8 Q7 r, ~, P2 }8 B
o Coordinate the processing of new employees with assistance from HR department.
6 J- h' _4 i4 X3 _# @* o. S6 o% K3 ho Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.* @* }, U# Y0 m g2 t7 u2 R
o Forward supplier invoices and backup detail to A/P for processing.
& D3 m+ N Q6 F7 V' A2 ao Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.: x2 B, k8 q4 |+ t, e4 U' p
o Processing of Visa and/or MasterCard payments.: a) Q& n, m, L
Operational:
1 X" H* @" x: f+ E! Wo Maintain a customer database for use by all branch staff.2 V2 k, T" S+ G& U+ Y2 a
o Input customer data into Goldmine (when Goldmine is implemented).
) Q6 `; e4 Z9 M3 t! j; c/ x, x& o9 g2 @o Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.% R' C f9 F/ w0 x# |
o Maintain service records and maintenance schedule for all company-owned vehicles.! M9 Y1 g- U# R5 b9 C
Clerical:
/ ^) l6 I' Q1 a0 q/ n# @) D; to Telephone and reception.! J. A: f. Y* [3 ^( _
o Back up tapes, weekly, for branch server.
1 u* q- P( q8 F) e9 ao Hotel and travel bookings.
8 D# w( T! \2 Y, co Maintain inventory of office supplies and replenish as necessary.! I. h3 [9 Z* o6 B/ T" C
o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.

o Filing and archiving of closed work order files./ f2 u+ h* D; w( L% u1 e' N$ v$ {8 m

• Experienced in MS Office software, general office equipment.. ^ C& Z1 x, {
• Excellent interpersonal and listening skills.

• Proven ability to show initiative.
