Major Responsibilities: ; t4 p4 {. {5 J# R- r9 I

General administrative, clerical and operational support for the branch - broken down into the three categories below.3 X+ A& r; F: p' [: x& U) H, ]

Accounting and Admin:& s. F z @0 }
o Assist with generating new S.O.s, W.O.s and P.O.s.
* M. n3 F( s8 R. Q# s8 ^o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.
* A% \7 P' d) m& s+ ?" J* uo Receive P.O.s in Glovia.3 B9 w; R6 W- r8 j$ a. ]0 n) ]+ L
o Timesheet data entry for Glovia and payroll, on a daily basis.& e, C( s( X, x" [2 x' f
o Coordinate the processing of new employees with assistance from HR department.3 B3 ~$ l+ C2 N0 ]9 P5 m
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.( D$ C- Y! C# E3 V
o Forward supplier invoices and backup detail to A/P for processing.
% |6 `( V$ V% @" Mo Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.# Z# Y$ E5 i' I$ P! @8 e4 z
o Processing of Visa and/or MasterCard payments.0 H- _6 O, j) a* G: w$ V: J
Operational:& Y( M' m t$ M F3 c
o Maintain a customer database for use by all branch staff.7 M% U# n4 C y7 d8 t7 ]8 i- k
o Input customer data into Goldmine (when Goldmine is implemented).
6 u7 l& t" k1 q; i2 e% ?o Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.
) N7 V/ j6 G% }( _o Maintain service records and maintenance schedule for all company-owned vehicles.
! g7 a6 o# R# g$ M$ i9 \5 sClerical:
. {% ]# ?5 ]) E& V! ~o Telephone and reception.! U" L* P; W9 Q
o Back up tapes, weekly, for branch server., g3 y) g" m% P3 A: j
o Hotel and travel bookings.
0 k$ P; C' c8 c& D6 v$ Oo Maintain inventory of office supplies and replenish as necessary.
- ^9 J$ K& j$ Q! d3 @o Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.- @! H2 o3 v; Q ^
o General office filing.( h+ f( R1 l% d4 p6 W8 F: j
o Filing and archiving of closed work order files.

• Experienced in MS Office software, general office equipment.

• Must be able to communicate effectively and professionally both verbally and written.
