Position Title: Administrator

General administrative, clerical and operational support for the branch - broken down into the three categories below., Y: c' ?! T8 P( \& Q, `. ^
: O7 s( ]1 G2 g% z) f6 d) h3 q, CAccounting and Admin:
7 {. ~# O6 N" [1 j5 K- f# {o Assist with generating new S.O.s, W.O.s and P.O.s.& |0 Y% `, n5 y1 j! v8 k
o Close S.O.s and W.O.s, acquire P.O. from customer, cost and invoicing.# u: I3 u# y2 v3 l
o Receive P.O.s in Glovia.
& Q0 q+ s& O- L; y, ^& {o Timesheet data entry for Glovia and payroll, on a daily basis.
' v7 e B, l! {2 |& Uo Coordinate the processing of new employees with assistance from HR department.: ^6 S/ j/ B" ~8 C5 ?5 y# F
o Ensure new employees receive all necessary documentation, tools, equipment, uniforms, etc.
4 P6 M" a4 ]% R Ho Forward supplier invoices and backup detail to A/P for processing.
9 V' `7 \7 y' a& g4 D: Y5 e- io Assist with customer credit applications. Obtain completed customer credit applications and forward to Burlington/Edmonton for authorization.$ J$ [! S0 F% ^
o Processing of Visa and/or MasterCard payments.
6 g& d$ @4 r/ g; kOperational:9 ]+ O+ i; r! i' G5 W8 o- [
o Maintain a customer database for use by all branch staff.5 J$ S, [; |. O; u* z. N
o Input customer data into Goldmine (when Goldmine is implemented).
. H. l( U/ Q! V& a1 v; l+ Co Health and safety administration, under the direction of Branch Manager/Supervisor and Safety officer.
% B+ F9 E! k# Po Maintain service records and maintenance schedule for all company-owned vehicles.
" w' Q1 U9 R" L2 S y: N9 EClerical:
3 D X, w, ?1 h/ V& i p/ Do Telephone and reception.
+ F i% e v1 ^o Back up tapes, weekly, for branch server.
; u9 s- m3 D- ^' Z3 c( v0 @' ]o Hotel and travel bookings.0 {, F8 |/ s0 h* M* W7 S
o Maintain inventory of office supplies and replenish as necessary.
+ h- s- R+ H( l# _" U& z$ jo Co-ordinate any branch-wide Glovia & Internet problems, using local, Head Office and/or Client Support resources as required.
# { K; O9 f& _5 S+ O7 f/ Yo General office filing.
9 ^' Y1 B2 [$ a9 R9 D6 W2 Lo Filing and archiving of closed work order files.

• Experienced in MS Office software, general office equipment.

• Must be able to communicate effectively and professionally both verbally and written.2 {. O$ M }" l$ I' i) [* g
• Organization and multi-tasking skills.
