extensive, and are targeted at the all round smooth operation and
/ Y' C) s- B9 X5 Ifinancial and operational success of the Horowitz Theatre as well as 4 \4 o: Q" V+ |5 n7 D% X. G5 ^
the logistical organization and smooth rental of the additional / r& d" e! b( U
venues within the realm of the Students´ Union. In the light of that 8 D$ S0 U9 t" j$ Q3 w; g& u
breadth and complexity, it is not possible to fully define or * m/ O0 [& v/ W5 n1 F& M- z
describe all roles and responsibilities in a document of this kind. * ^6 Y: e( N: x/ C# n

a. To develop and implement a marketing plan for the venues that ( N, f0 G9 g7 v5 _1 @
focuses upon advertising and promoting the venue to faculty, 5 h: p$ j4 L! W$ I( A6 R8 t' O( J
students, and internal and external clients on an on-going basis.
3 J. W9 I$ R8 O% a$ }This strategy will include implementing and/or delegating the following:2 @+ F0 \, p7 }1 {% _
· To develop and maintain promotional materials, the Horowitz % @3 ?' i, t2 e: I, H" d2 X
Theatre and SU Venues home page, newspaper and other advertising; to
# @; e* A0 S; L x' w" X. ktake advantage of other internal and external advertising $ \5 @$ M3 x' U$ l# ~2 W
opportunities; and to develop press releases and other promotional

· To coordinate tours of the venues for potential renters.
* K2 K2 S7 k# H2 ^ p0 N· To promote upcoming events in the Horowitz Theatre through the 3 U+ u: J/ N; w" q' Q9 @ [
use of the Horowitz Theatre Home Page and the SU Events Calendar.

3. Staff and Supervisory Roles and Responsibilities( u8 Z* K# ^# C7 k- @

a. To ensure, at all times, that the venues are adequately and cost-
1 p% v6 B |4 T* d% X' f" geffectively staffed, and that the staff utilized by or within the 8 W3 Y+ A6 X* @8 x$ ^' R% [
venues meet the appropriate standards, requirements and needs, and . a1 ^+ {( P% F! ?1 f
contribute in a positive way to the smooth operation and success of $ T1 B0 [ b0 \- E' \) e% f
the renter´s events. This includes, but is not necessarily limited : [5 O6 c! G' u z; } ]. v
to, the following:
) j- v, z. @1 \( j, i, W· To be responsible, under the direction of the Manager of Venues
3 h6 A& C) j; S5 n3 Tand Programming, for all staff issues including hiring, disciplining,
5 N: l* V/ M. `' U. qevaluating and terminating, as necessary.
3 ~& Q6 E" C5 f! W. f6 }4 A3 A To ensure that the Horowitz Theatre is adequately supervised at
4 H0 |! u2 W' G5 V! J* ]5 Oall times, this includes the development and implementation of such ! W+ b8 B8 d- ?& c9 ?$ f3 R9 `
schedules and rosters as may be necessary to ensure the effective and
6 c/ X4 J% E% D) K1 F+ Icost-effective supervision of the venues at all times during which it M/ Y5 a0 m0 z1 w3 H* f
is in operation or needs to be in operation.
8 G: |( ^% @& `1 i( y' r. d· To work with the Technical Director, when necessary, to ensure
) P% ~' X3 D5 @- B8 ~: Wthat an adequate and appropriate level of part-time staff exists to 8 T( A5 C7 x1 g+ b F% j
facilitate the smooth operation of the venues and to ensure all
1 a1 A7 Z' z$ Y% J- }3 b) Wrenters needs are met.
0 n* p7 \. p& l. p0 M/ g( i, c· To work with the Technical Director to ensure that the skills 8 Y+ `: E! x" U, X. d
and attitudes of all subordinate staff are appropriate in light of * N0 U# _/ o9 `5 e
the roles they must perform. This includes providing adequate and ; B/ H! p F" a2 p! o( v. C
effective training (and re-training) in all applicable and
8 L# `0 }: S" `* E( B# vappropriate areas, and ensuring that the Policy and Procedures manual
( k: i) j" Y) N) l8 His kep up-to-date at all times.
5 j9 _! r9 \, b7 p* F· To ensure all staff are trained in and committed to providing
3 Y) q; G/ J ?5 }excellent customer service to all renters.4 n& {$ n" j! ?! Z5 g
· To work with the Technical Director to arrange staff $ p9 ?) v9 o. b5 k
scheduling. To handle payroll related matters, under the guidance
- l* W3 `2 D3 `2 tand direction of the Manager of Venues and Programming, concerning
& g! Y( d8 V j2 x. O0 Z8 Uthe staff of the venues.

the appropriate setup/tear down of each venue.

that additional requests such as licensed receptions are arranged.

systems and processes utilized by or within the venues meet the
+ q9 j2 K: P0 P% B4 @appropriate standards, requirements and needs, and contribute in a
/ D1 o. Z- _ L; Opositive way to the smooth operation and success of the venues. This
+ Z& x" a) k; q: Gincludes, but is not necessarily limited to, the following:
( E, `9 l4 X( @. _; f2 _0 W To provide input and expertise in the formulation of appropriate ! }* {# n7 j7 I
operating budgets covering the venues to the SU´s Manager of
7 j% I+ x9 `9 K) C% c8 Y( w+ m) xProgramming and Venues and to discuss and refine those budgets
3 A9 |/ U( o; D2 M/ f/ M$ E1 Z5 ^' qManager of Programming and Venues, and Manager of Finance &
# h) r& r" W% R5 CAdministration prior to their submission for final approval.$ D5 E" \/ y, [* c% d$ @4 A
· To manage the venues in a manner which adequately and effectively / J6 z7 G9 R3 y, A( S$ V
reflects the budgets approved for the venues and/or which reflects . M4 m/ Q) V0 T6 c
the best interests of the venues and the Students´ Union.
, Y: M, M+ a( R: ?, z· To function as the key player in the submission of financial and

compilation of monthly and annual financial statements, and such

aimed at improving the financial and/or functional effectiveness of

costing systems to be used in connection with the determination and ' I, K. o- o! j, F1 f4 j. t
setting of appropriate prices for rental and staffing rates for " _+ Y) H, A c( k! `: e
events held in the Horowitz Theatre.
$ F: I: S C& P: _; A· To develop accurate documentation to be used in connection with
3 V5 X$ V0 O- n5 b2 b# `- X$ @the billing clients, and to forward such documentation in a timely ( r. \+ t, L! j7 O$ ?
manner to the Accounting Department.
+ B8 O, A% x. n& X% g* E- w· To recognize, address and handle all matters relating to financial " B' H1 J9 g( K4 S8 W2 T
and administrative procedures and systems in a manner which reflects
0 D' [: t0 W- u0 W9 {! ethe requirements of the SU´s Manager of Programming and Venues and
; g0 B" j l6 Z5 z4 _Manager of Finance and Administration, and in a manner which # H$ r, Q( F) k' y$ p3 R7 _$ M7 k3 I
contributes positively to the smooth operation and success of the

5. Overall Roles and Responsibilities
& D) ?$ i' y; @/ `4 H* d; la. To ensure, at all times, that the systems and processes used in # r) Z1 [; |5 B0 \1 Z
renting the venues meet the appropriate standards, requirements and
! ~% X9 Q# h5 F% Z- Dneeds, and contribute to the smooth operation and success of the ! z- K$ e/ @- l) v- V2 _" |* W
venues. This includes, but is not limited to, the following:- d0 a+ k2 Y1 E0 |3 i7 T B
; \9 ]' U: p8 d5 m: a5 R· To recognize, develop and set in place such rental procedures as 0 Y3 W' [* d4 g4 j y$ m, H
may be necessary to ensure the smooth operation of the venues, this

( `, E& q. W! O6 I3 [2 P8 {in the areas of contracts, inventory management, contract evaluation,
" ]) t |2 i. s/ H. p8 ]pricing, costing, equipment usage, rental/contract invoicing,
( ]( g+ a1 i; y# h, z" q3 f3 Btogether with such other systems and procedures as may be necessary
}+ z+ x, Q7 E3 X' Vto ensure the smooth, secure, efficient, cost-effective and 6 [ D3 Q* z8 ]! ~1 S5 `
functionally-effective operation of the Horowitz Theatre.
, c/ _, M R7 o& x, `. T· To recognize, develop and set in place such operational procedures
: D- W! a: ~& W7 ?8 }8 eas may be necessary to ensure the smooth, efficient and cost-
( U: l8 I2 r3 R; \7 @ {effective operation of the venues.- s. e/ y, y$ M' B
· To negotiate rental lease agreements (contracts) relating to : K( G- \% P7 O. y% X
dates, rates, staff and miscellaneous charges.5 K: |; G% u% n% G
· To ensure that adequate inventory is available at all times and
3 ]" P8 C# z( Athat such inventory is stored and issued in effective and secure ways.

particular event in the venues.

* R: J- ~/ N1 o: z% Vroles they are to perform to ensure the success of the renter´s event.
7 p$ \4 p) i) X" C4 ]! I" |. Z) |· To produce quotes in respect to staffing costs for a particular * h# [1 {- `! z6 T4 N
rental with consultation with the Technical Director.! b, _4 r2 j! V* {$ t1 s& g C o
· To ensure that all queries raised with the venues whether from the
, a1 `- d: `- U1 WSU or renters, are promptly and effectively handled and adequately
: s5 o( N& b1 O eanswered, and to ensure that such action as may be necessary in
3 @# j+ O6 c$ p7 D8 V+ L+ Pfollow-up to such queries is taken in a timely manner.
6 A2 }; N9 l# p9 B6 G To ensure that the venues and its capabilities are adequately, 4 z& q9 e, a$ Q$ N+ b+ i U) H' T
effectively and cost-effectively advertised and promoted, and that
6 ~8 A" m O; O7 I% dthe cost of such endeavors does not exceed the budgetary provision
; J) u/ U# T" Q* T5 |3 G7 ymade for them unless prior approval is given by the Manager of ( G/ ?- U9 W9 Q) M5 [
Programming and Venues.8 ]# T2 Z& E0 k; h+ w5 M. m/ f9 i
· To act as an informed and knowledgeable resource in the case of
1 [. M0 i/ d( C7 G' N, Msignificant challenges and/or problems surrounding the tasks of
@2 Z. N( h# m8 Jmarketing, administration, operations, and any such other matters as 3 _7 ]* K" O4 D! j3 J; u# ?" z
may provide such challenges and/or problems.8 O; p3 R% F: q
· To attend such meetings as may be required to support the smooth
* u9 Z5 w. o. e9 Toperation of the venues or the Students´ Union as a whole.

· To recognize, address and handle all matters relating to overall
