extensive, and are targeted at the all round smooth operation and
" g0 D) F) f+ `* k* Yfinancial and operational success of the Horowitz Theatre as well as + o2 m; {! s `8 ?* c [$ M9 u
the logistical organization and smooth rental of the additional + r6 J$ P* n* B& Z
venues within the realm of the Students´ Union. In the light of that

describe all roles and responsibilities in a document of this kind.

a. To ensure, at all times, that the venues listed below meet the

positive way to the smooth operation and success of the individual

production and facility requirements.

safety regulations and building policies.

4 M' m( ?2 ~9 @- V! `2. Marketing and Promotion

a. To develop and implement a marketing plan for the venues that
3 u& q- `% T& O, o C+ Rfocuses upon advertising and promoting the venue to faculty, ' x. w0 R8 Z6 L& X' p
students, and internal and external clients on an on-going basis.
5 A9 v; j G7 ?. R, GThis strategy will include implementing and/or delegating the following:
# u9 U9 A& y0 g: n. x% N# }· To develop and maintain promotional materials, the Horowitz
9 {6 e$ l7 X+ J1 O4 t7 p9 g1 n/ v4 U& ?Theatre and SU Venues home page, newspaper and other advertising; to
4 {: W Z3 _$ M+ p v: Stake advantage of other internal and external advertising - b( J9 M2 ]$ ~$ c0 n
opportunities; and to develop press releases and other promotional
* e! ~' {$ I8 t! l; O( p/ ~9 ~literature on an ongoing basis.
# w$ G# q# {1 H$ ]· To coordinate tours of the venues for potential renters.
$ f2 s* S! {/ Z2 J8 L" o$ {" P· To promote upcoming events in the Horowitz Theatre through the ! P0 b; u& ]' t8 u Y' i
use of the Horowitz Theatre Home Page and the SU Events Calendar.

+ N2 y8 L$ z5 {- t' `7 x/ {3 F6 B3. Staff and Supervisory Roles and Responsibilities
( I3 e, }, c, _5 N, G2 g4 a2 E9 O0 f) H- K) L- J0 b7 s: y1 Q
a. To ensure, at all times, that the venues are adequately and cost- 9 x7 g# m# ?+ N. x
effectively staffed, and that the staff utilized by or within the * W0 A) ]+ U& W: Y
venues meet the appropriate standards, requirements and needs, and 0 J9 f- |+ X' f: p1 U, p0 P
contribute in a positive way to the smooth operation and success of
* b% R$ }" B) N6 D8 S, |" Z2 sthe renter´s events. This includes, but is not necessarily limited
8 X3 ?/ Z' X* Z" m% r7 vto, the following:
4 L4 R& ~+ ?- j/ y$ @· To be responsible, under the direction of the Manager of Venues
, F2 E1 b+ G8 ~6 C4 Z1 Hand Programming, for all staff issues including hiring, disciplining, 7 g/ m7 ^& ^8 L# F
evaluating and terminating, as necessary.3 E4 N) S. k( F/ m) q
To ensure that the Horowitz Theatre is adequately supervised at * z, }& t# d& Y) W8 T* ?' ^9 N
all times, this includes the development and implementation of such
' w4 b# q. O7 x9 `3 w) J& vschedules and rosters as may be necessary to ensure the effective and
8 S7 C. X# z6 P- X. `# X6 \cost-effective supervision of the venues at all times during which it 3 Y. j5 S& j2 Y: h2 M. [1 Z( S
is in operation or needs to be in operation.
0 n; a1 H y$ j/ ^- A8 _/ q* d· To work with the Technical Director, when necessary, to ensure * H% l) m4 d" B" k( n
that an adequate and appropriate level of part-time staff exists to
( k4 U5 e( l/ F8 Tfacilitate the smooth operation of the venues and to ensure all - H) u/ H9 O0 }
renters needs are met.
% ~# C# o. E% \· To work with the Technical Director to ensure that the skills
* I9 X% t- y. r @" U7 N, @ |and attitudes of all subordinate staff are appropriate in light of
4 W2 u1 f) b4 Z. R. }- m1 B+ G' nthe roles they must perform. This includes providing adequate and ; f3 t4 y/ \) z+ q1 r, M' ~
effective training (and re-training) in all applicable and ?' E' S0 g& W; X. ]4 C9 Q
appropriate areas, and ensuring that the Policy and Procedures manual
& v2 M( |! X" t: R. E: A+ [& gis kep up-to-date at all times.
( [; K, r) d l; U S· To ensure all staff are trained in and committed to providing
( U% @) |4 c# q8 h7 D4 d' G$ R aexcellent customer service to all renters., k( N) a" [; ^) G5 A
· To work with the Technical Director to arrange staff
+ d8 s4 ~- S7 \, y8 y8 ?3 A0 K Vscheduling. To handle payroll related matters, under the guidance
g9 P1 z7 _- M$ E. Wand direction of the Manager of Venues and Programming, concerning 7 f$ n- v1 G. ^! f0 s9 R
the staff of the venues.3 G! U. d4 e+ h( o
· Working with the Manager of Facilities and Operations to ensure * J, i8 L! X) [$ G5 L
the appropriate setup/tear down of each venue.9 V1 a/ N/ `8 y
· Working with the Manager of Programming and Venues to ensure
/ Q) J" l( O% | bthat additional requests such as licensed receptions are arranged.3 r5 [6 F* G- i$ v/ E% g* i

4. Overall Financial Performance5 j5 v% i6 P0 ]" F3 k; q; A

a. To ensure, at all times, that the Financial and Administrative ; h) F( f- M4 {& h' c% c, a
systems and processes utilized by or within the venues meet the + o" J$ O9 q% p6 q, e8 D. i
appropriate standards, requirements and needs, and contribute in a 9 }4 {7 P4 g7 [( ~, K8 g
positive way to the smooth operation and success of the venues. This

To provide input and expertise in the formulation of appropriate * r5 h, H4 `" H% }
operating budgets covering the venues to the SU´s Manager of
5 V. v h$ h4 b+ QProgramming and Venues and to discuss and refine those budgets 7 P+ E- `: k" x! w! d2 |
Manager of Programming and Venues, and Manager of Finance &
: M- n7 k, G ]! nAdministration prior to their submission for final approval.4 @$ z/ r; j# \& Q, F6 O
· To manage the venues in a manner which adequately and effectively ( r. A! u" F7 p4 m9 y, `/ B# A
reflects the budgets approved for the venues and/or which reflects
/ y( O/ p) f: h' |% d: Y0 m& Cthe best interests of the venues and the Students´ Union.
) m N0 R9 J8 L+ h9 b2 F0 N· To function as the key player in the submission of financial and
. p" ?7 R, I* h9 j" g8 hadministrative documentation covering the venues to be used in the : P4 t8 g$ k- i. G' q
compilation of monthly and annual financial statements, and such $ W% o# c1 o3 R5 q3 Z
other reports as may be necessary.% O1 q8 c6 a" e2 B8 p$ @7 y: b8 a
· To discuss those financial statements and other reports, together + w: y( r y+ Q' ~1 o+ w
with all financial and administrative procedures, with the SU´s ; C, M4 ~- I" L/ J( P3 j. k
Manager of Programming and Venues and Manager of Finance & 6 w0 Z t/ v+ u7 a0 E/ d4 w! w( \
Administration with a view to determining and implementing action 7 L! h5 R& I7 w+ t/ I
aimed at improving the financial and/or functional effectiveness of
% h: N2 X; S7 [" p& k8 y/ nthe Horowitz Theatre.
8 m+ s$ z1 j( d, t w+ e* f· To ensure the existence of adequate, effective and accurate job 1 I& D' I- C0 T+ e! M- O
costing systems to be used in connection with the determination and " W* h7 g/ T5 n3 N' n! D
setting of appropriate prices for rental and staffing rates for * v, k8 ]% I7 ]" U
events held in the Horowitz Theatre.
8 w9 P: g( t/ x+ e" U) S" s· To develop accurate documentation to be used in connection with
" U. Z- @& J% J2 \9 Ithe billing clients, and to forward such documentation in a timely . s# x2 z( m( h, t! W
manner to the Accounting Department.# H! P. X3 A% J
· To recognize, address and handle all matters relating to financial 6 }& y& @- j- s6 U) T1 Z8 ?# m
and administrative procedures and systems in a manner which reflects

Manager of Finance and Administration, and in a manner which

venues. This includes, but is not limited to, the following:

6 S6 D3 m2 f4 v9 ^· To recognize, develop and set in place such rental procedures as
, q9 E: J! ^. Bmay be necessary to ensure the smooth operation of the venues, this

$ I" q2 f) \: i2 iin the areas of contracts, inventory management, contract evaluation, 3 l) p. V4 T6 |" }# ?
pricing, costing, equipment usage, rental/contract invoicing, 6 ?* ?- Q. P# |% v6 z. b
together with such other systems and procedures as may be necessary 2 ~0 F4 Y1 D, ]6 r, w; Y" b) F
to ensure the smooth, secure, efficient, cost-effective and
7 l f6 Z) ~ i8 Jfunctionally-effective operation of the Horowitz Theatre.
! s: K" k, I& ?, d· To recognize, develop and set in place such operational procedures
: b* c' f' T, V! Ras may be necessary to ensure the smooth, efficient and cost- , @6 D# [/ Z% Q+ G$ H1 a* s
effective operation of the venues.' k% [/ s: E" ^, B+ @
· To negotiate rental lease agreements (contracts) relating to ! t, |! |8 W) w
dates, rates, staff and miscellaneous charges.+ w9 w- z- ~) ?* e" O* S
· To ensure that adequate inventory is available at all times and
: R( [" H, G7 m4 Ethat such inventory is stored and issued in effective and secure ways.
. e: T N4 _ s: B· To consult with renters as to facility issues in producing their

· To provide the venues on-site staff with such documentation and

0 }, x+ f3 u% oroles they are to perform to ensure the success of the renter´s event.
) ]) {6 j' \+ |- f% o4 y6 j, m' a6 Y7 K· To produce quotes in respect to staffing costs for a particular : C x4 c( ^7 t6 M6 e
rental with consultation with the Technical Director.$ j7 Y6 d e0 C! Z' [
· To ensure that all queries raised with the venues whether from the # g$ x2 O* W* w. O2 ?0 ^
SU or renters, are promptly and effectively handled and adequately
1 C4 L; `" a6 t7 v+ hanswered, and to ensure that such action as may be necessary in
" N4 T' w# U B% r1 ^, t) kfollow-up to such queries is taken in a timely manner.
/ i$ a0 d4 ?0 h- a3 o& T% g To ensure that the venues and its capabilities are adequately,

the cost of such endeavors does not exceed the budgetary provision # @5 S |% h/ [
made for them unless prior approval is given by the Manager of 8 f; P( `$ ?& ?$ M

· To act as an informed and knowledgeable resource in the case of
' t% c" O, n0 ]6 V* Isignificant challenges and/or problems surrounding the tasks of * s/ N' D/ z) b. M5 P& ?/ B
marketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth
