and Venues.

The duties of the Operations Manager - SU Venues are diverse and  
$ O1 t+ K: v' T+ xextensive, and are targeted at the all round smooth operation and  / c/ Q% Q7 Z8 E2 r
financial and operational success of the Horowitz Theatre as well as  7 b* `" q: \$ A# h* `5 ~! X5 d
the logistical organization and smooth rental of the additional    z8 f* W/ P+ i9 K3 e
venues within the realm of the Students´ Union.  In the light of that  3 n. o4 [9 y% {+ j! K
breadth and complexity, it is not possible to fully define or  
0 o; }9 r4 f% g! Ldescribe all roles and responsibilities in a document of this kind.   ' F$ H+ N- P5 m
However, the main roles and responsibilities of the Operations  9 r4 M: L! @: l3 W

! J$ P, h$ A* l: Y% j& k& F6 ea.   To ensure, at all times, that the venues listed below meet the  
. @; j% N* j2 \% `2 |appropriate standards, requirements and needs, and contributes in a  - c5 `& N/ @* v5 X  K7 ~, D
positive way to the smooth operation and success of the individual  3 s* t2 o' ~4 s
renter.* }4 w8 [, S& L: z* W
·     Myer Horowitz Theatre
6 C8 G  J3 B' X) b5 M4 j·     Dinwoodie Lounge
3 G- z. {/ ]& g9 Z6 b# B/ m·     SUB Stage

  P6 l/ `7 S" o( j7 W" `8 V* y( Zb.   This includes, but is not limited to, the following:) ?5 c+ g) n3 v6 x: |+ e5 m0 S
·     To plan the capital and supply expenditures to meet the  
( A7 y: i9 K+ S& \$ C8 @6 Gproduction and facility requirements.; K  M3 S) Q; \% ~8 z0 t, E
·     To ensure the day-to-day compliance of the venues with existing  " Q! r7 q3 f2 I) J9 `9 z( t" i, [% s2 y
safety regulations and building policies.

2.        Marketing and Promotion4 e0 v% P! r( S8 _# w& E# a3 y! A4 k* s

, o) O7 v4 @! {* F8 \3 ta.   To develop and implement a marketing plan for the venues that  " K3 Z! t- {5 D6 n7 X! o& J: j0 K* l
focuses upon advertising and promoting the venue to faculty,  
# Y6 F( H" b- z; i' d0 v! A% Pstudents, and internal and external clients on an on-going basis.  
# B8 t' h+ ~, M) U/ kThis strategy will include implementing and/or delegating the following:, k; t. t, U* g! n
·     To develop and maintain promotional materials, the Horowitz  
5 ]7 T7 W7 n' q3 B5 ^+ DTheatre and SU Venues home page, newspaper and other advertising; to  
2 C* u$ S1 D. z$ h7 E) T- @$ @3 ctake advantage of other internal and external advertising  
1 a8 d1 L! o1 t( Wopportunities; and to develop press releases and other promotional  0 C1 J3 J, z% C) Y* B
literature on an ongoing basis.
& S: C% H/ j% b·     To coordinate tours of the venues for potential renters.& F; ]4 X4 Z+ [. {# l! }
·     To promote upcoming events in the Horowitz Theatre through the  * H+ ^  Z" d; z
use of the Horowitz Theatre Home Page and the SU Events Calendar.( K8 Q5 }6 x0 B6 j2 G
·     To develop new external clients for the venues.& V& O9 _8 N: |, C& h) V' Z
) }. ^( ]" a- v" Y: H% c' u& [

( H; Z, u' N7 H" H3.        Staff and Supervisory Roles and Responsibilities6 W7 d$ E0 i; P0 ]" u

6 ?( a( m# |/ l$ }; ~& G( Ka.   To ensure, at all times, that the venues are adequately and cost- 8 x. n$ s+ U" }8 [: s' |
effectively staffed, and that the staff utilized by or within the  
, R3 _5 O, v1 nvenues meet the appropriate standards, requirements and needs, and  
: u  I2 K9 |/ W  r1 }/ h; |contribute in a positive way to the smooth operation and success of  , k6 I# [; l) z1 c$ \0 C
the renter´s events. This includes, but is not necessarily limited  
! U: D2 c: ?7 k) y+ i2 f; ^to, the following:9 |8 R  N; M. j5 _" |
·     To be responsible, under the direction of the Manager of Venues  
/ A* {% ?3 v9 C8 rand Programming, for all staff issues including hiring, disciplining,  
# a4 g+ b3 O( a9 h+ fevaluating and terminating, as necessary., _9 |! y# k9 ?' G/ }
To ensure that the Horowitz Theatre is adequately supervised at  3 n- M5 _9 B3 H; X$ M& W2 a
all times, this includes the development and implementation of such  
2 [3 K/ [& P) T- M8 D$ Y; h9 Uschedules and rosters as may be necessary to ensure the effective and  . e* q$ ]/ g5 b5 L: Z
cost-effective supervision of the venues at all times during which it  
, G) n) {( A! P: G2 x& p7 K) D) e1 Bis in operation or needs to be in operation.6 U, I1 U' y8 u9 }
·     To work with the Technical Director, when necessary, to ensure  
, ]7 I9 Q/ R) g2 ethat an adequate and appropriate level of part-time staff exists to  
% z6 A! V; o* n6 ~+ Afacilitate the smooth operation of the venues and to ensure all  
" \  o& `- y$ ?, a, Frenters needs are met.
* x: ]0 D: r" r7 d! j1 r·     To work with the Technical Director to ensure that the skills  
5 H) {/ _0 I' U5 ~7 X# ~and attitudes of all subordinate staff are appropriate in light of  : n& v- M+ h4 _' D4 ?/ V( N
the roles they must perform. This includes providing adequate and  2 r7 g- B# \( b% e$ m
effective training (and re-training) in all applicable and  , J* e3 D* E& a" F* E# r2 l
appropriate areas, and ensuring that the Policy and Procedures manual  
9 }! Z7 g/ \4 S1 V  W" @& A  _2 Ais kep up-to-date at all times.4 z5 Y' O; N' I5 d% Z7 E# L% {- \
·     To ensure all staff are trained in and committed to providing  
3 `( @% t1 D- r2 z! sexcellent customer service to all renters.$ [  R9 d" B- Z) K
·     To work with the Technical Director to arrange staff  
( M5 i8 d( W" P" B' s; xscheduling.  To handle payroll related matters, under the guidance    ]0 [7 y8 Y# L+ ?5 R- _$ [- u$ R% G( F
and direction of the Manager of Venues and Programming, concerning  1 t' e( r1 O. N7 |
the staff of the venues.
, ]& B. ^3 K( q( `* Y, s* {·     Working with the Manager of Facilities and Operations to ensure  
& `1 t* p* r. O$ N: z7 Athe appropriate setup/tear down of each venue.
* I% ?3 K* X% B9 j8 }- H+ M- `·     Working with the Manager of Programming and Venues to ensure  
9 A: E8 P# f( p3 Ethat additional requests such as licensed receptions are arranged.

a. To ensure, at all times, that the Financial and Administrative  ( e2 U! E: e, r5 |: h; W" N
systems and processes utilized by or within the venues meet the  
1 R# x0 A+ F6 b# ]% Gappropriate standards, requirements and needs, and contribute in a  " j6 U3 N8 d& c5 k$ Y# u" m
positive way to the smooth operation and success of the venues. This  8 X& E% T" a, G6 j0 Z+ M/ b; y
includes, but is not necessarily limited to, the following:' v$ N: @' Y/ o, P) }1 f( \. {
To provide input and expertise in the formulation of appropriate  
5 j, O7 E2 V9 K3 o) e% Voperating budgets covering the venues to the SU´s Manager of  
. i2 O) B# N* nProgramming and Venues and to discuss and refine those budgets  7 w" ?! l- Y% [# z9 X: g" f
Manager of Programming and Venues, and Manager of Finance &  
$ h7 d* S" L. K$ `# q$ xAdministration prior to their submission for final approval.
0 S1 F7 H, G5 w4 i% [6 u·  To manage the venues in a manner which adequately and effectively  . \' m: Q- D$ T9 \( U2 \: u
reflects the budgets approved for the venues and/or which reflects  
1 E- J% U" z( {4 B8 t+ {) H2 H. Rthe best interests of the venues and the Students´ Union.$ S/ a  @: l8 A  f: I  t
·  To function as the key player in the submission of financial and  - q7 o0 C2 X- W% C2 h  v" E. O
administrative documentation covering the venues to be used in the  
( e5 O% B7 Q# S- Ecompilation of monthly and annual financial statements, and such  
1 u( k4 f0 |: k% o2 [& a; \other reports as may be necessary.
  N4 y& ]6 i- Q·  To discuss those financial statements and other reports, together  
* o/ p" ^) \/ @" `' Lwith all financial and administrative procedures, with the SU´s  * s0 `2 g( k# x7 I, G! N% l5 Q
Manager of Programming and Venues and Manager of Finance &  % x9 g0 ?2 T; s/ o; `2 Y4 @
Administration with a view to determining and implementing action  
( |. a/ t, _! [1 Q$ yaimed at improving the financial and/or functional effectiveness of  6 n0 B8 P( P. O; i( j
the Horowitz Theatre.
! M- Z! m! R4 S3 N: h: V2 I3 `·  To ensure the existence of adequate, effective and accurate job  
$ d5 D4 x1 a: Y) p4 v- l) @4 Gcosting systems to be used in connection with the determination and  
5 A" i- c+ Y+ W" t) `8 rsetting of appropriate prices for rental and staffing rates for  
9 r. t& E) B7 s4 n. S( W# a) Cevents held in the Horowitz Theatre." W6 z1 v2 e* Y# S
·  To develop accurate documentation to be used in connection with  
, A  ~7 |3 i" o5 U* {9 e) Tthe billing clients, and to forward such documentation in a timely  / e" w/ h5 ~9 ~. G2 p: Q% ^! [+ y
manner to the Accounting Department.9 D5 G/ }9 C: a. e0 z& S6 b! S
·  To recognize, address and handle all matters relating to financial  
# ?( r) i' z7 l$ G2 s9 U' `and administrative procedures and systems in a manner which reflects  5 Y4 K' X5 U: S9 s  U0 c- \1 D% Y
the requirements of the SU´s Manager of Programming and Venues and  & K- E- b% h& g0 O- _' g. G
Manager of Finance and Administration, and in a manner which  ) f0 B( D# {/ T( ^3 Z4 M
contributes positively to the smooth operation and success of the

" G  d0 |$ }# U/ g5.          Overall Roles and Responsibilities
0 D# d* R4 y6 sa.   To ensure, at all times, that the systems and processes used in  
7 `' S" T. L, _7 B: U' r- ?4 `renting the venues meet the appropriate standards, requirements and  ! c; \. T4 t- n& @/ C( Y0 i1 G
needs, and contribute to the smooth operation and success of the  
; O: c! g0 L  R- Evenues. This includes, but is not limited to, the following:
; ?% r' t* U3 N( ~$ l
0 q6 x2 V% w* [4 j( m7 H, ?' j·  To recognize, develop and set in place such rental procedures as  0 Z2 {$ y- o% a3 h' d6 V. o
may be necessary to ensure the smooth operation of the venues, this  + ]' W# b1 d! X
is to include but not necessarily be limited to systems and processes  4 G8 T0 R; E* }5 h' }% R/ z
in the areas of contracts, inventory management, contract evaluation,  
8 L  u# A9 e+ j, Gpricing, costing, equipment usage, rental/contract invoicing,  , J' k4 q4 ^, p
together with such other systems and procedures as may be necessary  ) ^; y, U9 @* l- v" y" o
to ensure the smooth, secure, efficient, cost-effective and  # Y, @1 E0 b8 C. c0 Z
functionally-effective operation of the Horowitz Theatre.' A$ e% m% ?0 O, Y6 Z1 i2 z
·  To recognize, develop and set in place such operational procedures  
2 L' a/ X* v  qas may be necessary to ensure the smooth, efficient and cost-
; i8 T$ _, V; D* d  Ueffective operation of the venues.' T+ E1 o7 V" L8 e. w6 R
·  To negotiate rental lease agreements (contracts) relating to  3 H7 ], k* t1 |1 [# t
dates, rates, staff and miscellaneous charges.% O) |' B9 X! {
·  To ensure that adequate inventory is available at all times and  
/ n. ]3 `1 I3 V& @! o' {. mthat such inventory is stored and issued in effective and secure ways.( `3 z) ^4 o0 L" A  Y
·  To consult with renters as to facility issues in producing their  ( h+ }7 c: ^4 T6 }" s+ g$ K
particular event in the venues.
/ U! c( D* U; J$ d·  To provide the venues on-site staff with such documentation and  0 p& Q; D6 f; T3 F' Z
supporting information as it may need to effectively fulfill the  ) E0 ~- z1 P1 C" `1 x; Q" ~
roles they are to perform to ensure the success of the renter´s event.
! u5 [. Z& f3 }; _; E/ t·  To produce quotes in respect to staffing costs for a particular  " ^/ e, I: `/ |" S* e4 ^
rental with consultation with the Technical Director.* V$ v, n0 G2 y# R
·  To ensure that all queries raised with the venues whether from the  
* E$ _5 B' l  GSU or renters, are promptly and effectively handled and adequately  
1 q! D2 E$ L! G( K3 Tanswered, and to ensure that such action as may be necessary in  " T7 a! o: b/ W  v
follow-up to such queries is taken in a timely manner.
7 X/ `! X& p  ^  G! k To ensure that the venues and its capabilities are adequately,  # t% R- u0 m. H7 U
effectively and cost-effectively advertised and promoted, and that  " ]4 p/ k8 I0 ?
the cost of such endeavors does not exceed the budgetary provision  
; E4 ?( ^) s# e1 _made for them unless prior approval is given by the Manager of    n0 X' j5 ]7 e: P& m
Programming and Venues.
$ B, r  s+ Q, S9 ^! c·  To act as an informed and knowledgeable resource in the case of  
+ ~3 ~& y  h0 V6 n6 E* h6 F: Csignificant challenges and/or problems surrounding the tasks of  
, s% l5 g* w; c- [/ Z: D0 pmarketing, administration, operations, and any such other matters as  & A8 i5 Z/ D! ]+ v8 O" k
may provide such challenges and/or problems.9 Q. e) {4 `* I) o
·  To attend such meetings as may be required to support the smooth  
# u) f+ ~: _8 c" zoperation of the venues or the Students´ Union as a whole.

·  To recognize, address and handle all matters relating to overall

Manager of Programming and Venues, and Manager of Finance and

, p, h/ L6 B& ^1)             Minimum two years related post secondary education, or  ) D' D! i4 v+ d) I( `
an acceptable combination of education and experience.! h: I: P: J; F5 t; M9 J4 ?9 b
2)             Supervisory experience.
2 M5 A: y, z, h8 {7 B' j$ X3)             Ability to create new initiatives with little or no  $ z- j1 U1 t3 X! ~
