venues within the realm of the Students´ Union. In the light of that

appropriate standards, requirements and needs, and contributes in a

To ensure that the maximum potential of renters is met.

This strategy will include implementing and/or delegating the following:
1 O# k, W0 G$ H! }8 L· To develop and maintain promotional materials, the Horowitz
( z' ~# ^7 T: Q- U/ |Theatre and SU Venues home page, newspaper and other advertising; to $ T; h4 Y$ u9 R( [$ t4 A
take advantage of other internal and external advertising
8 s, H% G! u% g8 G9 l/ m' Popportunities; and to develop press releases and other promotional . {( @3 |0 Z: h) {& O- P
literature on an ongoing basis.
5 P% S& m5 x: [7 M- U0 q3 T0 P; y· To coordinate tours of the venues for potential renters.
# U# t8 g' X1 V8 x9 g0 S. [· To promote upcoming events in the Horowitz Theatre through the & I: v) P6 F3 v) }/ W( }! a
use of the Horowitz Theatre Home Page and the SU Events Calendar.

5 [8 h: O0 W/ a# Q r" {& f- P# W3. Staff and Supervisory Roles and Responsibilities
& c3 V) L/ f3 s F2 ]8 I: X- H9 K7 E
a. To ensure, at all times, that the venues are adequately and cost- 5 A8 H( A# @) V
effectively staffed, and that the staff utilized by or within the 6 t) P8 ~& T5 g0 t* d
venues meet the appropriate standards, requirements and needs, and
E! j1 N/ W6 e& {& V; p5 l3 ocontribute in a positive way to the smooth operation and success of
$ k0 [$ K+ Y. X# P8 `2 Jthe renter´s events. This includes, but is not necessarily limited / F& Y! K- e$ S
to, the following:& T, ]: X3 M" \
· To be responsible, under the direction of the Manager of Venues / q3 o# E: [' u( p" L0 n6 J+ [; p
and Programming, for all staff issues including hiring, disciplining,
{! @5 h* h. z- H# c6 Tevaluating and terminating, as necessary.
0 m, V9 [" @/ X! S To ensure that the Horowitz Theatre is adequately supervised at
P& }( j9 a- D3 rall times, this includes the development and implementation of such - F) i8 B$ y" N
schedules and rosters as may be necessary to ensure the effective and
7 g' I* f) T8 G4 \. Q' Q" ocost-effective supervision of the venues at all times during which it
2 a! @# c3 u6 S( Pis in operation or needs to be in operation.
g9 [+ G3 K4 w+ l+ P· To work with the Technical Director, when necessary, to ensure 9 x# Q8 U$ w. [7 @- i
that an adequate and appropriate level of part-time staff exists to
4 ]6 \. [! }; bfacilitate the smooth operation of the venues and to ensure all
; e6 H P: a, M; I5 Rrenters needs are met.1 G$ @( f6 w z& q
· To work with the Technical Director to ensure that the skills
3 W2 O. Y. y! L8 K" X2 Pand attitudes of all subordinate staff are appropriate in light of / H( g# q" [7 Z) k1 f
the roles they must perform. This includes providing adequate and
+ C7 J, b, s7 G2 oeffective training (and re-training) in all applicable and
5 Y" N" p! V( k! ^appropriate areas, and ensuring that the Policy and Procedures manual + a8 N$ \. m! L9 W0 c2 X- j( _, H
is kep up-to-date at all times.
5 S1 }( `2 c [; h$ \· To ensure all staff are trained in and committed to providing ' K' ]$ D8 k3 A5 d( u+ o
excellent customer service to all renters.. [3 s2 d* D1 C
· To work with the Technical Director to arrange staff * E$ V2 @ g u1 W
scheduling. To handle payroll related matters, under the guidance

the staff of the venues.
) ~0 M6 V) _( Z% F· Working with the Manager of Facilities and Operations to ensure

· Working with the Manager of Programming and Venues to ensure ! i: G! M3 f9 }3 V: W# Q! ?
that additional requests such as licensed receptions are arranged.

4. Overall Financial Performance

& G) K9 o, l+ V0 S$ qappropriate standards, requirements and needs, and contribute in a
$ V' }2 w( ]& h: p' T- S+ m2 epositive way to the smooth operation and success of the venues. This 0 L% t1 x" S+ Y6 S' s
includes, but is not necessarily limited to, the following:
0 @- \- F1 m8 |' ]- E$ S k { To provide input and expertise in the formulation of appropriate
: w/ H7 ?, X' ~# Q( _ u) k% Soperating budgets covering the venues to the SU´s Manager of o& R5 E4 n6 b0 h
Programming and Venues and to discuss and refine those budgets

Administration prior to their submission for final approval.: W; ]* f @0 I9 c1 ]
· To manage the venues in a manner which adequately and effectively ( p; l" g+ i' m L3 ^+ g- D0 V2 t
reflects the budgets approved for the venues and/or which reflects

administrative documentation covering the venues to be used in the

· To discuss those financial statements and other reports, together 0 q- I' i) j. ]5 M/ Z( G
with all financial and administrative procedures, with the SU´s

Administration with a view to determining and implementing action

costing systems to be used in connection with the determination and 3 J I! l& d, i6 v$ ?+ t
setting of appropriate prices for rental and staffing rates for
4 M1 N0 o( L5 wevents held in the Horowitz Theatre.
/ E6 u" X, {; N! V1 K· To develop accurate documentation to be used in connection with
0 j6 Z, N- E3 \/ vthe billing clients, and to forward such documentation in a timely 8 L% [6 T; s/ t7 s4 D- ^. C
manner to the Accounting Department.
; q2 @! }5 C4 M· To recognize, address and handle all matters relating to financial : o; o6 k& j7 _7 t# R3 v
and administrative procedures and systems in a manner which reflects 2 g `# ?! h* Y! ]2 l4 {* Y% U: B# r
the requirements of the SU´s Manager of Programming and Venues and
. z% Q: e6 q9 w+ m! UManager of Finance and Administration, and in a manner which ' _, h' A+ g( W0 y3 x! P+ m
contributes positively to the smooth operation and success of the

5. Overall Roles and Responsibilities% g; o" c: m7 z) J5 _4 u& \
a. To ensure, at all times, that the systems and processes used in
9 T9 ?. Z( e1 z; g `+ b! V- x1 irenting the venues meet the appropriate standards, requirements and
9 X4 b/ X# B4 u* w: @6 J% Jneeds, and contribute to the smooth operation and success of the + L: l9 [- l5 p1 n: p% }7 s
venues. This includes, but is not limited to, the following:7 T& s) l2 y: W4 U4 Q4 ^

· To recognize, develop and set in place such rental procedures as
9 K4 o" t) f' F( `+ y2 Zmay be necessary to ensure the smooth operation of the venues, this 0 p$ B- K% l5 s1 N+ q# u% g
is to include but not necessarily be limited to systems and processes $ T5 p6 V- e# z2 O
in the areas of contracts, inventory management, contract evaluation,
& c' @& u, f3 Z- M# P3 {pricing, costing, equipment usage, rental/contract invoicing, & a: c. }6 \" \ F
together with such other systems and procedures as may be necessary
; A; @5 A w; `) C9 Ato ensure the smooth, secure, efficient, cost-effective and ; K6 g7 z6 s1 `" @! w
functionally-effective operation of the Horowitz Theatre.

w+ _( ~5 _% {6 `$ \as may be necessary to ensure the smooth, efficient and cost- 3 z! Y- \" c+ b- G+ p) \

· To negotiate rental lease agreements (contracts) relating to & C* t3 L( `7 W$ w9 a+ d
dates, rates, staff and miscellaneous charges.
! c/ T' c' n+ [· To ensure that adequate inventory is available at all times and ) Y/ p- u, q e5 D6 m5 P# r
that such inventory is stored and issued in effective and secure ways.
% X# p- k: G/ d3 M. |6 j" u· To consult with renters as to facility issues in producing their
3 V+ P( ^& M, c* j& U' C/ \particular event in the venues.0 U7 f0 E: r' m t9 E( k1 g' I
· To provide the venues on-site staff with such documentation and 6 k7 [5 ]6 _+ y5 D1 \1 m3 m7 T2 {+ V% e
supporting information as it may need to effectively fulfill the

· To produce quotes in respect to staffing costs for a particular
. N% u ^5 M. O6 _% G; _rental with consultation with the Technical Director.
) T [3 J" {6 Q3 ?, p' I9 k· To ensure that all queries raised with the venues whether from the 0 |7 t9 B7 \: g( j. ~
SU or renters, are promptly and effectively handled and adequately
( }: I$ c/ W! p3 C0 Y/ o# qanswered, and to ensure that such action as may be necessary in 4 w1 U3 Q6 \% ^5 x
follow-up to such queries is taken in a timely manner.; z/ L/ i$ w% k% i$ `6 J5 Q1 e- t& J
To ensure that the venues and its capabilities are adequately,
' {4 ^& A9 J1 |. p! @9 Weffectively and cost-effectively advertised and promoted, and that
9 s- U c; p6 Q4 b Y, xthe cost of such endeavors does not exceed the budgetary provision
0 k' l2 u* s5 E# o! D" Mmade for them unless prior approval is given by the Manager of
' s* I: B, ^- F7 k- @Programming and Venues.0 Q3 z) v, ?* l5 C6 h8 t
· To act as an informed and knowledgeable resource in the case of 7 h( [8 I. D4 H# D
significant challenges and/or problems surrounding the tasks of " [, m3 l4 G1 ^- m
marketing, administration, operations, and any such other matters as

· To attend such meetings as may be required to support the smooth

secure operation of the venues.
