ROLES AND RESPONSIBILITIES

extensive, and are targeted at the all round smooth operation and  - ]' k% R  G1 o3 J, W8 P1 _
financial and operational success of the Horowitz Theatre as well as  
, a5 H5 L: n, _" c1 ]" {the logistical organization and smooth rental of the additional  
  W& O) [- ]! l* D3 _venues within the realm of the Students´ Union.  In the light of that  
) @& I4 x5 I! ]; j# }$ R  k2 Obreadth and complexity, it is not possible to fully define or  
  d5 C# |( y1 c5 w8 Ydescribe all roles and responsibilities in a document of this kind.   
7 F) v/ l) J* @. h" PHowever, the main roles and responsibilities of the Operations  ) m' b8 Z. \8 Y/ H% [# }

appropriate standards, requirements and needs, and contributes in a  
. `# y4 ~( x) J  \2 Qpositive way to the smooth operation and success of the individual

·     To plan the capital and supply expenditures to meet the

·     To ensure the day-to-day compliance of the venues with existing

To ensure that the maximum potential of renters is met.3 E9 ]$ L4 a# @% k9 x# U) ?6 H5 @

. c) C3 [7 M0 @. e% Na.   To develop and implement a marketing plan for the venues that  . ]0 s  k7 m0 s9 w
focuses upon advertising and promoting the venue to faculty,  * W& ~) L8 ]2 K) o/ ?& l0 h7 K1 c
students, and internal and external clients on an on-going basis.  & y- Q* f! Q9 }
This strategy will include implementing and/or delegating the following:3 C" ?! N6 l; y  G6 A
·     To develop and maintain promotional materials, the Horowitz  % o# O  j6 D) x8 y9 c6 C7 t
Theatre and SU Venues home page, newspaper and other advertising; to  
# n, ]2 U" w. {4 D. utake advantage of other internal and external advertising  
, I7 I9 S! b# |' `1 S" F4 r* V# I8 qopportunities; and to develop press releases and other promotional  ; n1 Q; E" \0 ^7 h( l" F0 O
literature on an ongoing basis.5 Y; x: D& V# c# Q# A0 K7 W
·     To coordinate tours of the venues for potential renters.# _( |$ V) }! p# m5 M
·     To promote upcoming events in the Horowitz Theatre through the  . c1 m! T; p  x- b+ @# S: p% K: g
use of the Horowitz Theatre Home Page and the SU Events Calendar.
0 n% E; M5 A) \% X, p2 D, ~/ T·     To develop new external clients for the venues.* [( p+ b) z9 H- \: e2 V' m" H/ s

+ d8 P' I& E+ j: i3.        Staff and Supervisory Roles and Responsibilities
; v% f3 K9 E! o3 Q  c7 C
3 e* P% F+ i# [* u2 Z% p* v0 D& Ia.   To ensure, at all times, that the venues are adequately and cost- 5 _! u) d5 z: v0 y* [' E; _3 Q4 r
effectively staffed, and that the staff utilized by or within the  
  x, X. q) E5 F# k: ~* r4 a) ]venues meet the appropriate standards, requirements and needs, and  
2 T+ j- G; @+ ^7 t; c$ J  qcontribute in a positive way to the smooth operation and success of  
# k; E! C8 T: t0 t2 S) xthe renter´s events. This includes, but is not necessarily limited  5 D& D4 Y  x: P! g5 B$ F
to, the following:5 u0 q- |) n) d$ B" B: b+ _; _
·     To be responsible, under the direction of the Manager of Venues  # z  J7 w4 u2 L% W% X% _# T
and Programming, for all staff issues including hiring, disciplining,  
) K( c) \% ^4 @( A3 fevaluating and terminating, as necessary.
+ F. E- {6 }9 R+ p6 a( e6 h3 t To ensure that the Horowitz Theatre is adequately supervised at  1 j# b0 q/ `8 u$ ?
all times, this includes the development and implementation of such  
. c7 a" M; i) m2 {' uschedules and rosters as may be necessary to ensure the effective and  6 F' B$ I0 f- W# N3 o
cost-effective supervision of the venues at all times during which it  2 _: e/ P  d0 w$ {
is in operation or needs to be in operation.
- ?! g4 H- C% {/ A: E" G) ]$ t·     To work with the Technical Director, when necessary, to ensure  ( \) |3 D- b/ e0 H+ ^7 U0 q& Y8 B
that an adequate and appropriate level of part-time staff exists to  & J9 e9 m( l) C% p. K1 ~
facilitate the smooth operation of the venues and to ensure all  
- V: H. Z2 B5 Drenters needs are met.
4 A8 }# ^+ B$ a·     To work with the Technical Director to ensure that the skills  
9 V  @+ e! U# ]" ^) a, T5 ?and attitudes of all subordinate staff are appropriate in light of  2 x2 ~- _/ j9 l' v
the roles they must perform. This includes providing adequate and  4 N5 V, Z. c4 r$ v9 X3 Q6 N
effective training (and re-training) in all applicable and  
4 ^4 @6 `, V- v+ m' dappropriate areas, and ensuring that the Policy and Procedures manual  
5 d7 c: }; {) T4 D) @is kep up-to-date at all times.
, k7 P2 N  J% l( T6 C·     To ensure all staff are trained in and committed to providing  
' @. ~9 J' L2 K. Yexcellent customer service to all renters.$ B0 v; e" w3 M3 Z  m
·     To work with the Technical Director to arrange staff  
1 ~2 [+ F9 b. ^( Hscheduling.  To handle payroll related matters, under the guidance  . t( h  j& A$ G8 C
and direction of the Manager of Venues and Programming, concerning  
7 L0 w$ x" ~- L- ]' L) E' O$ Sthe staff of the venues.
  g% a2 Y- z( c7 ?·     Working with the Manager of Facilities and Operations to ensure  , Y. ]$ I6 j8 e/ u3 m4 w" K
the appropriate setup/tear down of each venue.
/ Q3 ^2 e# y! L( c" ^8 E) ~·     Working with the Manager of Programming and Venues to ensure  : v8 f% P5 U# m) X1 H9 e
that additional requests such as licensed receptions are arranged.' _; L2 L4 f  J( f+ @# m

  r8 C& U+ B7 k7 G4.          Overall Financial Performance; G6 ^6 A2 f* E

. y/ Z4 @: l4 q, P5 H) ?a. To ensure, at all times, that the Financial and Administrative  
' R( L2 R1 v# U- J5 [! \/ Msystems and processes utilized by or within the venues meet the  
! b; D3 n3 N7 e( {" G( ?! Fappropriate standards, requirements and needs, and contribute in a  
& l( D7 m% K9 V6 E% cpositive way to the smooth operation and success of the venues. This  / {4 d3 T# {" q. {  L, c1 `. o
includes, but is not necessarily limited to, the following:
0 [) t& y1 R1 g3 @ To provide input and expertise in the formulation of appropriate  
' a7 f7 f" x9 L  J% joperating budgets covering the venues to the SU´s Manager of  - W  G' R+ t' I
Programming and Venues and to discuss and refine those budgets  
* t& V. ~; p1 y  v5 b$ T4 lManager of Programming and Venues, and Manager of Finance &  
4 D, [% f$ f( R8 d- |+ C5 xAdministration prior to their submission for final approval.
: v/ U8 p( w5 C4 ?7 j7 ?·  To manage the venues in a manner which adequately and effectively  6 t; W: b4 s+ x* ^5 C
reflects the budgets approved for the venues and/or which reflects  
- c+ I6 y. D% x1 y" _the best interests of the venues and the Students´ Union.! M6 |" n* b6 p/ n. N
·  To function as the key player in the submission of financial and  
( e! ?% d" s' y7 P! }& ]administrative documentation covering the venues to be used in the  
' e0 e  x# R% T2 p9 ?; n( G: Rcompilation of monthly and annual financial statements, and such  ( i& f* L9 l& J9 f, a, h' d
other reports as may be necessary.
. Y2 G# v1 V0 L0 ^0 @% F+ r·  To discuss those financial statements and other reports, together  8 O- N* q3 k# s' t1 ^5 i% ^5 t4 r* V
with all financial and administrative procedures, with the SU´s  2 c$ `% U6 f. q( _% b
Manager of Programming and Venues and Manager of Finance &  ! S# |9 G* k& V& k
Administration with a view to determining and implementing action  
9 g3 r0 d" o/ F, Iaimed at improving the financial and/or functional effectiveness of    w8 i5 a# ]$ C8 W
the Horowitz Theatre.* I$ o* C+ h/ z6 ?$ E
·  To ensure the existence of adequate, effective and accurate job  " f  W" R/ w4 G* S6 t6 ~/ n
costing systems to be used in connection with the determination and  : i6 |' }% @# [0 |
setting of appropriate prices for rental and staffing rates for  
6 Y) S: V; V0 M" o- Q3 cevents held in the Horowitz Theatre.- R9 `' \9 U: T" Q7 ]
·  To develop accurate documentation to be used in connection with  
( }6 ~" f: U# [! u0 Q& ^the billing clients, and to forward such documentation in a timely  
' |: {1 U+ q1 E1 |! Ymanner to the Accounting Department.. F8 }" ]$ m- _* M$ k4 l
·  To recognize, address and handle all matters relating to financial  $ C4 U2 g3 E: J" T- U5 {( q( N
and administrative procedures and systems in a manner which reflects  6 _& G7 ]( S& y/ Y$ Q! {4 u) i3 y; j! w
the requirements of the SU´s Manager of Programming and Venues and  
* U+ K; U1 ~0 R; K8 [% KManager of Finance and Administration, and in a manner which  
3 i' B5 x' v6 U7 I5 R9 |8 d, T. tcontributes positively to the smooth operation and success of the  
& \% F; u  e4 P7 F  o/ {venues.
* |4 t5 i9 Z$ f7 Y) s$ G) C8 X% d3 P" p& [
5.          Overall Roles and Responsibilities. H& e- |( d: Z* B# e
a.   To ensure, at all times, that the systems and processes used in  : b( i% t8 B$ I, F9 p& P6 [7 h8 r
renting the venues meet the appropriate standards, requirements and  1 I4 @. p6 w8 Z- F: _! E, o8 {
needs, and contribute to the smooth operation and success of the  
$ c3 r6 p- X- y0 s0 j& s/ R. m' _venues. This includes, but is not limited to, the following:2 X+ \* m2 L) q
4 i. r! C/ Y% I6 L
·  To recognize, develop and set in place such rental procedures as  ; ^6 ^) u2 c6 x
may be necessary to ensure the smooth operation of the venues, this  . ^7 E0 x2 R. c- m; a
is to include but not necessarily be limited to systems and processes  9 ~  k; w: @" s& L$ k
in the areas of contracts, inventory management, contract evaluation,  
" F8 B) i$ ]- n$ ^5 ~* p( V5 opricing, costing, equipment usage, rental/contract invoicing,  
# }1 w/ \5 a9 Itogether with such other systems and procedures as may be necessary  - |; Y! ^+ h- u5 T; h, K8 W
to ensure the smooth, secure, efficient, cost-effective and  
' l' O. ^8 R/ j# K# C) C8 h6 cfunctionally-effective operation of the Horowitz Theatre.1 Y" z1 d0 \& d
·  To recognize, develop and set in place such operational procedures  ; }/ Q0 E. _6 s2 U2 b1 z
as may be necessary to ensure the smooth, efficient and cost- & X7 Q. x$ j7 X: B9 N* F# t* d
effective operation of the venues.) K" o' l3 M$ O) F: Y
·  To negotiate rental lease agreements (contracts) relating to    X" o6 |5 \& }! i# y5 O" B
dates, rates, staff and miscellaneous charges.
" o$ H7 `9 B3 n* `- ]: Y9 s3 Z/ h·  To ensure that adequate inventory is available at all times and  9 K, G' f3 A. q+ D
that such inventory is stored and issued in effective and secure ways.7 `& X7 t7 ]1 H
·  To consult with renters as to facility issues in producing their  " S% i1 g0 Y( |  g# ~$ P% \
particular event in the venues.
  [5 U* ]. O: C+ C/ H" k5 c' N·  To provide the venues on-site staff with such documentation and  
3 [- M' `! k$ csupporting information as it may need to effectively fulfill the    \9 z1 o8 F$ Y, C+ I, P8 L
roles they are to perform to ensure the success of the renter´s event.
6 ]$ `1 a* y% e( S+ o·  To produce quotes in respect to staffing costs for a particular  4 t# V7 x5 z( I/ |7 a6 G9 B
rental with consultation with the Technical Director.1 q8 u8 [# J, U6 [
·  To ensure that all queries raised with the venues whether from the  
" E) b! j" F; O- zSU or renters, are promptly and effectively handled and adequately  + z5 c# x& ]2 S% r
answered, and to ensure that such action as may be necessary in  
& _* n9 \, {' D5 cfollow-up to such queries is taken in a timely manner.3 w9 q$ O# I2 w! m* I1 i/ m
To ensure that the venues and its capabilities are adequately,  ! j) s4 O3 O9 o4 I: a. M7 u
effectively and cost-effectively advertised and promoted, and that  " Z2 u3 _* t  k- ~
the cost of such endeavors does not exceed the budgetary provision  * A2 I- j$ E* j
made for them unless prior approval is given by the Manager of    t0 N6 G7 f1 G: e5 f3 Z8 ~7 t/ Q) @
Programming and Venues.. V, j5 c: `5 J# V5 s' C5 c1 \0 w0 U8 a
·  To act as an informed and knowledgeable resource in the case of  % U8 b  x2 g# d4 J" O$ A
significant challenges and/or problems surrounding the tasks of  . @4 X% C: B4 `/ d, \. O: f: M
marketing, administration, operations, and any such other matters as  
$ P) a% D& Y; vmay provide such challenges and/or problems., T8 m. \/ A6 Y$ F1 u
·  To attend such meetings as may be required to support the smooth  
# ?' i1 r# K" L/ l  ?operation of the venues or the Students´ Union as a whole.1 I) y' E8 z  H) e
·  To perform other job-related duties as may be required by the  
' I7 Z+ s" o% b3 V7 ^Manager of Programming and Venues in order to ensure the smooth and

·  To recognize, address and handle all matters relating to overall

Manager of Programming and Venues, and Manager of Finance and

1)             Minimum two years related post secondary education, or  + M4 C. |9 N; p4 Q$ b
an acceptable combination of education and experience.

3)             Ability to create new initiatives with little or no    U, q, y' o3 @
